Agenda Project Baseline & Tracking Earn Value Management Lab Exercise 3 Reports Advance Customization Working with Multiple Projects Lab Exercise 4
Project Baseline and Tracking Baseline To preserve the original data / budgeted data. It’s a static reference point for comparison MS project allows up to 11 baselines. Baseline Full Project Baseline Part Project Update Progress Manually Through Project Server Set Progress Line To depict Status of various tasks as of progress date
Project Baseline and Tracking View Baseline Gantt Chart Table Revise Baseline Overwrite Create New Baseline
Earn Value Analysis It’s a method to measure the performance against the baseline PV or BCWS Planned value or Budgeted Cost of Work Scheduled EV or BCWP Earn Value or Budgeted Cost of Work Performed AC or ACWP Actual Cost or Actual Cost of Work Performed BAC Budgeted amount for total work, it’s equal to PV at end of the project
Earn Value Analysis SV Schedule Variance = EV – PV, greater than 0 is good, means ahead of schedule CV Cost Variance = EV – AC, greater than 0 is good, means under budget. CPI Cost performance index =EV/AC, more than one is better SPI Schedule performance index=EV/PV, more than one is better
Earn Value Analysis EAC Estimate at Completion=BAC/CPI ETC Estimate to Complete=EAC-AC VAC Variance at Completion=BAC-EAC
Earn Value Analysis Example Let’s say you have to furnish your office Make the table , cost 1000 ( 5 days) Make the 4 chairs , cost 300 each( 8 days) Painting , cost 2000 ( 3 days) Status at the end of 5 th day Table complete , cost 1200 3 chairs complete , cost 800 painting complete , cost 2100
Earn Value Analysis Example At the end of 5th Day PV =  1000 + 750 + 2000 = 3750 AC = 1200+800+2100 = 4100 EV = 1000+900++2000 = 3900 BAC= 1000+1200+2000 = 4200 SPI=EV/PV =3900/3750 = 1.04 CPI=EV/AC = 3900/4100 = 0.95 So we are ahead of schedule, but over budget.
Earn Value Analysis Example How much is required now EAC =  BAC/CPI = 4200/0.95 = 4421 ETC =  4421-4100 = 321 SV= EV-PV = 3900 – 3750 = 150 CV= EV- AC = 3900 – 4100 = -200
Lab Exercise Exercise 1 Baseline your project Update Actual Results for task Check Variance Revise baseline of one task only Shorten Duration, Reduce Work, and Reduce Cost of few tasks Check variance reports Exercise 2 Earn Value Exercise
Reports Basic Reports Overview Current Activities Cost Related Assignment Workload
Reports Creating your own reports Visual Reports Export Data to Excel
Advance Customization Creating Project Template Create a Project Complete all tasks Save as template Create a new project and select your template
Advance Customization Customizing Fields Field Type Field Attribute ( Look up, formula) Calculation on summary Values to display Using customized fields
Advance Customization Formatting Views Toolbar Commands Forms & Macros These are seldom used WBS MS Project maintains WBS code internally
Working with Multiple Projects Master Project Collection of individual project, where changes in master project are replicated to individual projects and vise versa
Lab Exercise Reports Run Basic Reports That Summarize Data by Project, by Resource, by Task, or by Cost Develop a New Basic Report Run Visual Reports That Summarize Data by Project, by Resource, by Task, or by Cost Save project data in excel Customization Create one date field and one number field Rollup fields to summary ( date on maximum, number on sum) Insert customized field in your view
