Reception - Observation
In pairs or trios if needed, you will be observed
whilst covering our reception area here at
Waterside (30 minutes each pair)
 You are to familiarise yourself with the
paperwork at Reception
 If the phone rings, you need to answer it (A
hand-out is available to guide you)
 If someone comes to reception, you will need to
ask them to sign in and help them with their
enquiry (Paperwork available)
What are you being observed
on?
Turn to page 11 in your workbook and look at your
Visitor’s Log.
 1.1 Welcome visitors and establish the purpose for
their visit
 1.2 Follow organisational procedures for receiving
visitors
 1.3 Answer routine questions
 1.4 Make visitors feel welcome during any period of
waiting
 1.5 Use appropriate tone and language, including
body language, when dealing with visitors
Feedback from Task 4
 Quite a few of these, once assessed, were not
professional (you are representing a business), you
didn’t even discuss the key point (no tickets) and you
gave no apology.
 I have put feedback on those where I am not satisfied
with the standard of email so please complete this
again.
Think of yourself as someone who works for
either the ticket company OR for the theatre
itself.

 Log on to your email account
 Send me an email, in reply to the following;
Hello, I have booked tickets for a theatre show
on the 17th of December. I haven’t received my
tickets yet. Please could you send me details of
where the venue is, door opening times and
when the show finishes.

Criteria to be assessed: 3.1 Produce routine business documents
using the appropriate communication style
How to track additional
evidence..
 Number each piece of your additional evidence (AE)…
(1, 2, 3, 4 and so on)
 Sign each piece of AE – this is for authenticity
 Look at your trackers – White sheets, front of your workbook
(You have one tracker per unit)
 Look at your AE 1 and see which criteria is meets on the tracker
– When you find which criteria it meets, put a 1 in the third
column (Next to the letters AE)
 Move on to AE 2 and repeat.. carry on until complete
 Make sure all AE is in the back of your file in number order.
