ADMINISTRATIVE FUNCTION (IR & Admin. ,HR)
Master List of File maintain, Legal Register with File maintain, Internal Audit Facing,
Employee Relation including legal compliances, discipline, grievance handling procedures and
maintaining effective employee relations among Fifteen hundred employees.
ADMINISTRATION including Security System and canteen administration, conducting fire
fighting training programmers. Arrangement of newspapers. Looking for transportation of
the company. Labors colony quarter, staff and allotment.
Looking for transportation and maintenance of law of the company. Identifying and recruiting
workforce as per site requirement. Day to day routine Industrial Relations Functions.
Monitoring the I-card dept
.Spot checking with labor report Labor Management & Control. Monitoring for Preparation
of wages sheet of Departmental workmen as well as Sub contractors workmen. Management
of accident cases and post-accident procedures Preparation of Management reports as &
when required & routine reports.
*Transaction with local administration &Labor Departments ,Vehicle log-sheet monitoring,
Maintain the good relation between workmen & managements ,Material received ,Keeping
an Eye on the work force and reporting to management for any untoward activities by the
sub- contractors & workmen
*Labor Management(Facility & Control). Transaction with local Hospital for an Emergency
,Preparation of Management reports as & when required & routine reports. Transaction with
local administration, Labour Departments and various Trade Unions. Hotel, VIP Guest House
and staff Housing Administration, Transport Arrangement ,Liaison with banks, client etc.
Handling of Employee Grievances at different levels ,
*Work as Team members to keep maintaining the bad atmosphere ,Monitoring performances
of agency staff ,Coordinate training programs(internal) and nominations for external
programs Perquisites /Coordinate and monitor for mobiles, telephones Admin. Schemes,
etc..Recruiting, training and developing staff. ,looking after the health, safety and welfare of
all employees, organizations often employ specialist staff in some of these roles.
* Prepare and maintain accurate records, files and reports, including responsibility for
maintaining personnel records. Organize and work independently on multiple assigned
tasks/projects and complete assignments within specified deadlines. Communicate
effectively verbally and in writing to all levels of staff and management, outside officials and
agencies, and the public, expressing ideas and instructions clearly and quickly. 5. Work well
under pressure.
* Accurately follow verbal and written directions from senior management. . Recommend,
develop, interpret and clarify personnel procedures and policies.
*Liaise between two organizations and coordinate their activities .provide technical
expertise of their parent organization. ;liaising with a wide range of people involved in policy
;negotiating with staff and their representatives (for example, trade union officials) on issues
relating to pay and conditions ;planning, and sometimes delivering, training, including
inductions for new staff; Joining formalities.
*Handling Employee Database (Both in Soft Form and Files Management) Leaves and
Attendance Management, Managing, Exit-Interviews(NMR), Full and Final Settlement
Employee Relation -Handling all the queries of the employees. Be it related to Salary, Leaves,
Attendance, and Transfer etc. Appointments/Meetings-Prepare agenda in advance-Arrange
meeting facilities , such as Microsoft Word, , Excel,, etc., to produce correspondence and
documents and maintain presentations, records, databases; devising and maintaining office
systems; booking rooms and conference facilities; attending meetings, taking minutes and
keeping notes;
*liaising with staff in other departments and with external contacts; ordering and
maintaining stationery and equipment; liaising with external contacts to book travel and
accommodation; organizing and storing paperwork, documents and computer-based
information; photocopying and printing various documents, sometimes on behalf of other
colleagues. Other duties may include: recruiting(NMR), training and supervising junior staff
and delegating work as required; arranging both in-house and external events.
*Office maintenance ,Couriers distribution, Notice board -responsible for all Housekeeping
and Security supervision and also regular visit to the areas of /premises of the organization
on regular interventions..-con-training of workers and welfare work-also a part or
implementation of policies and rules made by the management -part of statutory compliance
and maintaining records-responsible for statutory work like licenses
attribution.
