Head HR - Operation. 
Talent Acquisition: 
· Define and Set the sourcing plans for specific channels based on the recruiting targets and 
budget and ensure it is in line with the company’s business and marketing strategy. 
· Understanding and following Recruitment policies and SOPs 
· Preparing Recruitment Requisition summary. 
· Understanding of recruitment and selection requirements. 
· Instruct, review recruitment materials such as Job Descriptions. 
· Screening and shortlist resumes, scheduling interviews, conduct preliminary round of interviews 
and coordinate with Department HOD with regard to final selection process. 
· Recruiting employees and contractors directly through network, job portals, Internet, agencies and 
referrals. 
· Maintenance and Updating of the Interview Results in the Recruitment Database. 
· Perform candidate interviews, reference inquiries and salary negotiation. 
· Releasing Offer/appointment letters of final selected candidates. 
Induction and Joining formalities: 
· Call the candidate 2 days prior to joining confirming his joining on time or not. 
· Complete joining formalities for the new member and collect the required documents (as per joining 
checklist). 
· Fill up the Salary account opening form and provide the ID card. 
· Provide the employee with the induction manual.
· Introduce the employee to the organization and his/her colleagues and supervisor, and make them 
aware about the policies of the company. 
Employee Relations: 
· Ensure all queries, grievances and escalations across processes are resolves within committed 
timelines; conduct Investigation in Employee grievance/disciplinary cases. 
· Communicate with employees on a daily basis and if any issues are raised, inform the respective higher 
authority 
· Managing & providing speedy resolution to queries & grievances to maximize satisfaction level. Ensure 
positive discipline and healthy IR environment. 
· Support workers & Staffs at the time of closing, and ensure that achieve the production target and 
provided and motivated them as per company Policy. 
· Birthday wishes, and Festival celebrations. 
Employee Confirmation: 
· Informing HODs to initiate the confirmation process. 
· Ensuring timely confirmation of staff. 
· Release the confirmation letter received from the Head Office to the employee. 
Training and Development: 
· Handling the entire life cycle of Training & development activities as per ISO & TS requirements. 
· Training need identification as per PMS and Seniors Feedback. 
· Accordingly prepare the Training Calendar. 
· Coordinate with the higher management regarding the training schedule. 
· Get the training feedback form filled and signed from the Trainees. 
· Communicate the feedback received from the employees to the trainers. 
· Tracking the Training Effectiveness & Evaluation. 
· Accordingly Prepare the Mapping competency & Skill Matrix. 
Performance Appraisals: 
· Responsible for tracking the completion of the probationary period and initiating the appraisal process. 
· Communication of PMS process by organizing/ conducting workshops and via email. 
· Co- ordinate and follow-up with internal departments to ensure that the process is completed 
on schedule. 
· Recording performance from the employees, in the specified format for approval. 
Salary and Compensation Management: 
· Maintenance of Payroll Database. 
· Leave/Comp off card maintenance. 
· On time disbursal of Salaries against the deadline. 
MIS AND EMPLOYEE RECORD AND PREPARING PAYROLL DATA : 
· Create, maintain & update employee databases & personal files of the employees. 
· Updating and maintaining company and off roll employee files.
· Maintaining MIS Report (Recruitment Report, Costing Report, Attrition Report, Compliance Report, 
Manpower Consolidate report, Admin expenses report, Accident Report, Training Record, Training 
Effectiveness & Evolution Report) 
· Generating of the following reports like Daily Time Sheet (DTS), Absentee Report, Late Arrival Report, 
Error Report and Updating of Manual Entries. 
· Online attendance record updations in Biometric. 
Resignations & Settlements: 
· Talk to the employees and find out the reasons for resignation or exit. 
· Communicate with the employees Manager regarding the same. 
· If relieving is confirmed, finalize the late date, notice period, and communicate to the 
employee about the formalities. 
· On relieving day, conduct an exit interview and have the form filled. 
· Collect company assets which were issued to the employee during his/her tenure. 
· Calculate his leaves, any deductions, any amount due towards the employee and inform the 
accounts team to settle the employee’s accounts. 
· Inform the IT Department to deactivate his Company Email account. 
· Document his exit documents in his employment profile. 
· Prepare exit analysis report. 
Legal Compliance & Grievance Handling: 
· Handling and supervision of legal aspects. 
· Ensuring Factories License & Factories Renewal as per Factories Act 1948. 
· Statutory compliances state wise under ESIC Act, 1948, follow-up for their sub code, 
registration for eligible employees and ensuring benefits to them (Take caring Monthly Contribution). 
· Checking of PF withdrawal and transfer forms under the PF and Miscellaneous Act, 1952 
(Take caring Monthly Contribution). 
· Ensuring compliance of minimum wages under the Minimum Wages Act, 1948. 
· Labor Welfare Fund – Ensuring the amounts are paid timely Act 1965. 
· Ensuring availability of Fire extinguishers as per Fire and Safety Act. 
· Ensuring Contractor Labor License and Renewal as per Contract Labor (Regulation & Abolition) 
Act 1970. 
Administration 
· Holds responsibility for providing a clean and hygienic work place and coordination with 
the housekeeping supervisor. 
· Security: Responsible for executing a safe and secure work environment for the 
employees. 
· Assess effectiveness of alarm systems and other security devices like fire extinguishers, 
emergency exits, etc. Ensure that security equipment effectively protects employees, assets and 
customers. 
· Taking care of hotel booking for expats/guest visiting that region. 
· Procuring and maintaining the UPS, power backup machineries at the sales offices. 
· Coordination with the maintenance agency, repair furniture, chair, whitewash, lights, 
floor covering washing, work station, etc.
· Managing tea/coffee vending machine, drinking water for employees, procuring and 
maintaining a record for office stationery items. 
· Vehicle Maintenance: Ensuring proper usage of company vehicle and maintaining a 
record of expenses related to it. Arranging vehicles from external agencies for staff.

Resignations & Settlements: · Talk to the employees and find out the reasons for resignation or exit. · Communicate with the employees Manager regarding the same. · If relieving is confirmed, finalize the late date, notice period, and communicate to the employee about the formalities. · On relieving day, conduct an exit interview and have the form filled. · Collect company assets which were issued to the employee during his/her tenure. · Calculate his leaves, any deductions, any amount due towards the employee and inform the accounts team to settle the employee’s accounts. · Inform the IT Department to deactivate his Company Email account. · Document his exit documents in his employment profile. · Prepare exit analysis report. Legal Compliance & Grievance Handling: · Handling and supervision of legal aspects. · Ensuring Factories License & Factories Renewal as per Factories Act 1948. · Statutory compliances state wise under ESIC Act, 1948, follow-up for their sub code, registration for eligible employees and ensuring benefits to them (Take caring Monthly Contribution). · Checking of PF withdrawal and transfer forms under the PF and Miscellaneous Act, 1952 (Take caring Monthly Contribution). · Ensuring compliance of minimum wages under the Minimum Wages Act, 1948. · Labor Welfare Fund – Ensuring the amounts are paid timely Act 1965. · Ensuring availability of Fire extinguishers as per Fire and Safety Act. · Ensuring Contractor Labor License and Renewal as per Contract Labor (Regulation & Abolition) Act 1970. Administration · Holds responsibility for providing a clean and hygienic work place and coordination with the housekeeping supervisor. · Security: Responsible for executing a safe and secure work environment for the employees. · Assess effectiveness of alarm systems and other security devices like fire extinguishers, emergency exits, etc. Ensure that security equipment effectively protects employees, assets and customers. · Taking care of hotel booking for expats/guest visiting that region. · Procuring and maintaining the UPS, power backup machineries at the sales offices. · Coordination with the maintenance agency, repair furniture, chair, whitewash, lights, floor covering washing, work station, etc.
