This document provides instructions for using a Gantt chart spreadsheet template for project management. The template allows users to input task details like name, start date, duration and progress. It then generates a 12-month Gantt chart to track the project schedule automatically. The template can be customized by defining weekends and holidays, and extended to support more tasks or a longer schedule period beyond 12 months.
Gantt charts have evolved to become a primary means of communicating project plans and schedules. However, Gantt charts or bar graphs are limited in what it can present. They lack the ability to show the interrelationships and interdependencies which control the progress of the project. Gantt charts are subjective vs. rule-based, therefore, not reliable tools for construction scheduling. Logic Gantt charts (with CPM logic ties) are not subjective but fail to convey a sense of logical flow. See how the Graphical Planning Method (GPM) is a better alternative to the prior logic Gantt charts.

MS Project - Lesson #1A - Basics of Project Scheduling - Part 1
Objectives - MS Project 2010
· Understanding Project Scheduling
· Introduction to Microsoft Project
· Working with Project Tasks
· Basic views, time scales and reports
Whether you are a project manager or not, project management techniques are extremely helpful in meeting goals and objects. Project management techniques define a path to a specified goal and then supervise the implementation.
MS Project can help you establish your initial plan as well as monitor progress. MS Project can quickly produce reports and other information that will help keep management, customers, and your project team informed. To get the most from MS Project, not only do you need to understand project management terminology, you also need to be familiar with the software itself. Therefore, do not attempt to quickly finish the lab, but take your time and read all instructions carefully.
Understanding Project Scheduling
A typical project is composed of tasks and resources. After tasks are identified, you organize the tasks in a logical hierarchy, also called a Work Breakdown Structure (WBS). Eventually, this sequence will show the interdependencies of each task. Then each task is given a duration. In MS Project, this can be in weeks, days, hours or minutes. You can also specify a milestone, which will represent an event that marks the completion of a group of related tasks.
To accomplish any task, you need resources. Resources can include people, equipment, material or special facilities necessary to complete a task. Resource availability and scheduling are important constraints to completing a task.
Once you establish a plan, complete with tasks and resources, you will often need to refine the plan before saving it as a baseline. The baseline is your guideline to help manage the project.
MS Project Basics
When you first start MS Project, a blank project file is displayed in Gantt Chart View. (If you need to open an existing MS Project file, the file extension is .mpp.) Let's take a look at the main window:

The above image is the default screen for MS Project 2010. The right side of the screen consists of the area for the Gantt Chart. The left side of the screen is the Entry table where tasks, durations, and other task information is entered. The Entry Table and Gantt Chart are separated by a moveable Divider
Pay particular attention to this layout. The Entry table is where we enter our tasks and durations. The Gantt chart will eventually show our tasks and durations in a graphical bar chart. The other part of significance is the divider. This allows you to show more or less of the Entry table/Gantt chart.
In Project 2010 the menu bar is set up into Ribbons. To access the various ribbons, Tabs are selected across the top of the menu bar. Within the ribbon the various sections are divided into groups:

Embracing GenAI - A Strategic ImperativePeter Windle
Artificial Intelligence (AI) technologies such as Generative AI, Image Generators and Large Language Models have had a dramatic impact on teaching, learning and assessment over the past 18 months. The most immediate threat AI posed was to Academic Integrity with Higher Education Institutes (HEIs) focusing their efforts on combating the use of GenAI in assessment. Guidelines were developed for staff and students, policies put in place too. Innovative educators have forged paths in the use of Generative AI for teaching, learning and assessments leading to pockets of transformation springing up across HEIs, often with little or no top-down guidance, support or direction.
This Gasta posits a strategic approach to integrating AI into HEIs to prepare staff, students and the curriculum for an evolving world and workplace. We will highlight the advantages of working with these technologies beyond the realm of teaching, learning and assessment by considering prompt engineering skills, industry impact, curriculum changes, and the need for staff upskilling. In contrast, not engaging strategically with Generative AI poses risks, including falling behind peers, missed opportunities and failing to ensure our graduates remain employable. The rapid evolution of AI technologies necessitates a proactive and strategic approach if we are to remain relevant.
2024.06.01 Introducing a competency framework for languag learning materials ...Sandy Millin
http://sandymillin.wordpress.com/iateflwebinar2024
Published classroom materials form the basis of syllabuses, drive teacher professional development, and have a potentially huge influence on learners, teachers and education systems. All teachers also create their own materials, whether a few sentences on a blackboard, a highly-structured fully-realised online course, or anything in between. Despite this, the knowledge and skills needed to create effective language learning materials are rarely part of teacher training, and are mostly learnt by trial and error.
Knowledge and skills frameworks, generally called competency frameworks, for ELT teachers, trainers and managers have existed for a few years now. However, until I created one for my MA dissertation, there wasn’t one drawing together what we need to know and do to be able to effectively produce language learning materials.
This webinar will introduce you to my framework, highlighting the key competencies I identified from my research. It will also show how anybody involved in language teaching (any language, not just English!), teacher training, managing schools or developing language learning materials can benefit from using the framework.

1. Gantt Chart
1.1 Background
A Gantt Chart is a type of bar chart that is useful for showing the scheduled and actual progress of
a project. Developed by Henry Gantt in the 1917, the Gantt Chart is now regarded as the standard
project management charting technique. Its simplicity allows it to be easily understood by many
people and with the use of a computer software, a Gantt Chart can be generated and modified
very quickly and easily.

2. Gantt Chart Spreadsheet
2.1 Overview
This spreadsheet provides a flexible and extensible Gantt Chart on a 12-months schedule. It is
very simple to use. The user simply keys in a few inputs like task name, start date, duration in
days and percent completed, after which, a Gantt Chart will be generated automatically for
tracking the project. The spreadsheet is arranged in a manner to be printed easily in Landscape
mode or it can be saved to a PDF file using Excel to be emailed to the relevant parties. The
diagram below shows a sample of the spreadsheet Gantt Chart.
2.2 Gantt Chart Inputs
All the worksheets that require inputs to generate the Gantt Charts are marked with the word
“(Input)”. On the worksheet, fields that require inputs are marked with “*” for easy identification.
The diagram above shows the input worksheet “Month 1 (Input)”. All the input fields required are
marked with “*” and described below.
Project Start Date* - The start date of the project. The spreadsheet will be generating 12
output worksheets for tracking a project over a 12 months period. The start date allows
the spreadsheet to determine which month to start generating the schedule.
ID* - A two digit number for identifying the item/task of the project.
Items* - The names of the items or tasks of the project.
Start Date* - The start date of the specific item/task. The date is in MM/DD/YY format.
DY* - The duration of the item/task in days. The start date and duration will be used to
calculate the End Date as shown in the diagram above. It is important to note that the
6. Pg 2-3
Gantt Chart

calculation of the End Date takes into account weekends and holidays like Christmas and
New Year. Holidays can be defined in the “Holidays (Input)” worksheet.
DID* - The predecessor's ID. The predecessor item needs to be completed before the start
of this item. In this spreadsheet, the DID is used for the user’s own tracking purposes. The
spreadsheet does not enforce the dependency.
PCT* - Percent Completed. The spreadsheet will use this field to determine the actual
progress to be displayed on the Gantt Chart. The amount of work that is completed is
shown as a darker shade of black while the work in progress is shown a lighter shade of
black.
2.3 Holiday Inputs
The Gantt Chart spreadsheet allows weekend and holidays to be defined and encompassed into the
schedules. Weekend and holidays are defined in the “Holidays (Input)” worksheet.
2.3.1 Weekend
In the diagram below, the first section shows the definition of weekend. A “Y” will indicate the
particular day of week is a weekend holiday.
2.3.2 Holidays
The second section allows holidays to be defined. It is important to define all the holidays within
the 12-months schedule period. This will allow the Gantt Chart to incorporate all the holidays and
generate an accurate schedule. The holiday’s date is in “MM/DD/YY” format. The second column is
used for describing the holidays and is optional. A maximum of 40 dates are supported, beyond
which the holidays will be ignored.

2.4 Gantt Chart Outputs
This spreadsheet outputs a 12-months schedule in 12 different worksheets. Each worksheet
displays the schedule for a particular month. The worksheets are named “Month 1”, “Month 2” and
“Month 3” etc. In each of the worksheet, a Gantt Chart is included to show the progress of the
project.
The diagram above shows the Gantt Chart generated in one of the output worksheets. The top left
hand corner displays the month of this Gantt Chart. Each worksheet contains a unique month over
a 12-months period. The next two rows show the days of week and days of the month of the Gantt
Chart.
The darker shade of black shows work that are completed and the lighter shade of black shows
work that is still in-progress. The “x” shows the holidays defined in the “Holidays (Input)”
worksheet.
8. Pg 2-5
Gantt Chart

2.5 Printing
These spreadsheets can be printed quickly and easily in Landscape mode in Microsoft Excel.
Simply set the “% to normal size” option to include all the fields in the worksheets.
To print several worksheets at once, simply click the tab for the first sheet in Excel, then hold
down CTRL while you click the tabs of the other sheets that you want to select.
2.6 Extending the Gantt Chart spreadsheet.
The spreadsheet can be easily extended to support a longer period and more number of
items/tasks.
2.6.1 Extending Items/Tasks
To support more items/tasks in each of the months, simply copy the cells in each of the output
worksheets from column A to column AL in row 34 to the next. The row to be copied is shown in
the diagram below. The rows for each of the worksheets named “Month 1..12” needs to copied.
2.6.2 Extending the schedule period beyond 12 months
To support a longer schedule period, simply copy and paste the “Month 12” worksheet and rename
the new worksheet to be “Month 13”. Only the cell in H2 needs to be modified. The original and
new formula in this cell is shown below. Simply add 1 to the “months” field below.
Original
=DATE(YEAR(C2),MONTH(C2)+11,1)
Modified
=DATE(YEAR(C2),MONTH(C2)+12,1)
The change allows the new worksheet to generate the Gantt Chart for the 13th
month of the
project. Repeat the steps above to modify the schedule period to the one that is required.
