  3. So we will start off this presentation with a definition of Learning Analytics and why it is an important aspect of your LMS. Learning Analytics can be described as “The measurement, collection, analysis, and reporting of data about learners and their contexts for the purposes of understanding and optimizing learning, and the environments in which it occurs” - source Learning Analytics is the process of using data generated by or through a learning platform to gain a more detailed understanding of the users experiences, interactions and outcomes whilst using that system. Traditional classroom based training can, obviously, generate a lot of information which in turn can be used for learning analytical purposes. However, Learning Analytics is perfectly suited for online based training platforms, like Learning Management Systems. Due to the amount of potential events that can trigger data collection as well as the ever expanding database of information, LMS’ act as the ideal tool for collecting learning data. So the Learning analytics process is also well suited for online or digital systems. These applications and tools allow you to inspect, arrange, present and analyze the data making it easier for you to gain a better understanding of the information. The insight you gain from learning data analysis can allow you to identify the effectiveness of your platform at delivering learning material, where customers are most engaged with the content and even shortcomings of particular modules or quizzes within a specific course or section. Ultimately, all this information can be used to better understand your audience, tweak system or corporate processes and deliver your training more effectively with better results.
  4. - Reporting is a fundamental part of the larger movement towards improved business intelligence. - Reporting is the act of producing Reports. - Reports can be distributed in print form or via email, they are typically accessed via a corporate intranet. - Dashboards relay important and critical information in simple, easy to understand formats. Typically in real-time. - For today, our focus will be more oriented towards the activity of extracting information in report format.
  5. In short, there is no definition. You need to decide and understand what it means for your Learners and work to ensure they achieve it.
  6. As we have seen reporting using Learning Analytics has a number of different components, which all require their own expertise. There may be a variety of systems in play that all need to talk and communicate for this data to be effectively processed and made available. The reporting piece itself can be a challenge.
  7. Getting complete access to all the date contained in the system can be challenging, often there is limited sets of information provided.
  8. We have found that the the biggest hurdle that organizations come across, and what can sometimes prevent organizations from implementing any kind of data and analytics system, is lack of necessary skills. Companies are afraid to invest in reporting because if the few people who have the necessary skills leave the organization, then they don’t have the resources to use the analytics.
  9. Analytics plays a huge role in other digital applications, Google Analytics being a commonplace resource for capturing and analyzing site activity that the majority of people have heard of or worked with. Google Analytics can be used to track the number of website visitors, as well as their activity/behaviour when on the site or even specific pages. This data can then be used to adjust the design, content, and functionality of their website to match the needs derived from behavior. Learning analytics can be used in the same way but with the emphasis on the learner’s interactions with the LMS and the learning content. This information can be fed through reporting solutions that process the data and extract information that can be used to adjust the design, content, and functionality of their learning programs for more effective training.
  10. Market research conducted between 2015 and 2016. 43.75% of corporate organizations increased their budget for learning analytics solutions 56.25% kept it the same 0% decreased their budget Analytics in general is an incredibly hot topic. Companies are looking to better understand the effectiveness of their systems so they can be made more efficient, cost effective and profit generating. Learning analytics adds another dimension to this with the requirement to understand that learners are understanding and retaining the topics that they are studying.
  11. Now that we understand what Learning Analytics is and can be used for, we will breakdown some of the important steps required to gather specific information. These can be explained through some simple why, what and how statements, which we will go into detail on through the next few slides.
  12. Understanding the use case for collecting this information can sometimes be a step that is overlooked with you wanting to get straight to the juicy information. So understanding the purpose of the data extraction process or even the specific information you are looking to gather is a great place to begin when diving into learning data.
  13. So starting with a strategy or objective
  14. To begin, start with a strategy. Identify what you want to know at a high level and for what purpose, ideally? With all the data that is generated by your LMS, it’s easy to get overwhelmed. Instead of starting with what data you could or should access, start by working out what your business or organization is looking to achieve with this information and why it is important for your company’s success, this should alight to company goals and outcomes. To use an example, your organization may have a number of staff members that have taken first aid certification programs, which are managed or hosted through your LMS. These certifications typically remain valid for a number of years but the individual will need to recertify some time in the future. It is vital that staff remain certified and knowing who is certified is an important first step. If they are not certified it is important to know their progress within the program, any areas they are struggling in and if they needed further assistance with any of the course components. This example covers a variety of different areas and can likely be expanded upon even further. There is likely a wealth of data that can target specific portions of this requirement. This is something that we will address through the next slide.
  15. Now that we have the objective and overall scope of the report we can start to think about what data best provides the information that we are looking for.
  16. KPI’s or Key Performance Indicators are measurable values that demonstrates how effectively a company is achieving key business objectives. Organizations use KPIs at multiple levels to evaluate their success at reaching targets. KPIs within the LMS could reference a number of different contexts within the platform from general site logins to specific responses to questions. The KPI values will feed directly back into the business case or requirement and demonstrate the performance of the system and or content within it.
  17. Here are some of the common KPIs that you can typically find within an LMS. Some common datasets include: Course completion Grade Activity score Quiz attempts Site logins Progress tracking Courses purchased Time spent engaged Any piece of information captured through the LMS can potentially be used as a performance metric if it offers insight into the effectiveness of the learning system. For the first aid certification example that we used earlier. using certification completions, due dates, expiration dates and course progress would be useful to gauge where users are within the content and what their rate of progress is. Identifying the key metrics that describe your analytical requirement allows you to move forward with the implementation and development of the report or reports themselves and this is where we will move to next.
  18. So following on with the question ‘trend’ we can move onto the final step which is the how.
  19. Once we have identified the business objectives and KPIs we now need to decide how to access this data so we can build the necessary views and reports of the information. The first aspect of this is identifying the application or tool that will allow you to perform the learning analysis. This functionality could be built into your LMS platform directly or via a third party application. Third party tools could be purpose built with Learning Analytics in mind or more general applications that could be used across a variety of different data sets. The analytics solution you will choose will provide you with tools that can be used to manipulate and present the learning information to your requirement. It should also be flexible and configurable enough to accommodate current and future reporting requirements without any significant modifications. There are many reporting solutions available, all with quite different feature sets, so you have a number of potential options available.
  20. Now that we have a method for accessing and presenting the data we can get down to the nitty gritty and start building out the different views of the data so we can start analyzing the results. The reporting solution you pick will allow you the ability to create the reports that you need. The system will be integrated with your learning data and allow you pick and choose the different data fields that comprise the view you are looking to build. Some systems may have prebuilt report sources available, whereas others may provide you with the flexibility to use SQL giving you full control over the data that is returned. So at this point we should have everything that we need to start building out the different reports and views of the data. Easy hey! Reporting can be quite a challenge so we will follow this section up with a number of techniques that help effectively deliver the appropriate reporting information. But taking the time to identify the goals and objectives of the analysis process will help to cement the overall purpose of the report that needs to be built making the reporting more focused and easier to perform.
  21. In this section we will go over a few of the different techniques used when implement learning analytics reports
  22. Approach your data through chunks of time. Learning analytics is the practice of aggregating, analyzing, and drawing information from your LMS data. When starting to work with these analyses to get useful information, the best angle to take is to approach your data through chunks of time, to analyze things by week, month, semester, term, quarter, or year. This allows you to create informative and cumulative data sets, allows you to properly assess incremental advancements in your analytics, and affords you the opportunity to have incremental interventions that can be assessed and demonstrated in the next report. Look at your organization’s calendar - On which time cycles do you operate? If you are evaluated by quarter, for example, you will want to filter or create reports every half quarter in order to properly asses for incremental advancements in your analytics.
  23. The best way to truly leverage your learning data is to make data analysis an ongoing process. This ties back to our first point in that analysis of your data on a regular basis is the best way to measure improvements and outcomes. Having a report and reporting process run on a frequent basis keeps the information relevant, allows you to see trends more clearly and gain better insight into the data allowing you to make accurate predictions based on visible trends. ---- Look at using real time reports or dashboards can be created that can be opened and viewed at anytime to give you a live view of the data. Reporting solutions make this part simple as an initial configuration phase can mean that a report can be executed in a fully automated manner without any user or administrator intervention. The wonders of technology.

Charts provide a high level snapshot of any particular dataset and are an effective tool when discussing the outcomes and trends identified through the learning data analysis. Reporting solutions typically include a library of chart types out of the box, giving you full control over the look of your report. Many include live or interactive versions of the report that allow for on the fly filtering, drill down or zooming into the desired area of the chart.

  26. With a fully interconnected workplace it makes it incredibly easy to share information. A key component of any reporting solution will be the ability for the information to be readily distributed. Traditionally report tools would allow the information to be exported to spreadsheet style formats which can be used locally to inspect the information. With significant technological advances, these applications can now make the reports easily shareable allowing you to access the report information from a variety of desktop and handheld devices. Automated email scheduling functionality allows the report to come to user on a regular basis. Many systems include interactive views that can be easily accessed directly through the LMS via embeddable reports. This allows for all information to be easily located and accessed through a central repository. Taking this one step further, information can be directly shared with other systems allowing for tighter integrations between business system allowing for even deeper crossing referencing of the company’s data and greater sharing possibilities.
  27. And for the final point, reflection. This is the ultimate goal of the reporting solution and really what the all the other points have been leading up to. Discussing the data, seeing the trends and understanding the the meaning of information is the goal of the entire process. This is the most significant step and the one that starts to bring about change and improvement based on the information that was collected. Whether this was designed for identifying ineffective modules within a course or seeing how long learners took to complete a first aid certificate a round table discussion is where process changes are made and the system as a whole is improved. Learning analytics provides greater insight into data generated from learning resources and activities. This information can be interpreted in any number of ways but it should always be used to improve the learning process and make the LMS and company more effective as a whole.

We’ve found that people like to track engagement, this is seen KPIs such as Number of logins The amount of active courses and the number of course visits The amount of views learning resources and activities have, this can also be broken down into the amount of time Activity submission rates When all this is being tracked it allows you to get a picture of what is being used in a course and what is not. You can compare completion results with activities
  30. Track the amount of time spent on the site, in a course, in activities and learning resources This allows for insight for instruction design purposes, for example You can see if on average people are spending no time in an activity you designed that you know should be taking 10 mins Or on the other side of that equation, if you designed an activity that is meant to have 10 mins spent on it and people are taking 30 you know something could be going wrong As an aside, this date might also be useful if you have courses which require a certain amount of accredited hours
  31. When looking at the effectiveness of learning you need a way to collect this information In Moodle and Totara we use feedback and survey activities to get insights from learners on what their experience is like in courses and on the site With the reporting provided its possible to get insights into the exams running on the site, allows for question analysis This allows for a breakdown of the number of attempts for each question, number of correct, or incorrect responses You could find there are problem questions The other interesting think made possible with this is you can start to take this information and compare it across groups of learners, breaking it down by manager, trainer. Is Jill’s team performing better than Bills Do certain trainers have better success rates than others or are there simply challenging courses that seem to be tripping up everyone
  32. For training in many industries tracking compliance training is important If you have a system that allows for tracking of attendance, completion of courses, certifications with expiry dates You can then get reporting on that information This provides an audit trail and can also easily and effectively provide a view into who’s certification is approaching expiry
  33. Start with a strategy - jumping into the report building can seem like the obvious first step but as always a good plan will focus the analysis process getting you the results you want to see faster. Use KPIs - Identifying the information that matters to your organization is key to understanding the performance of the system. This should align with company goals and objectives. For example, if you wanted to provide a safe workplace and that is a goal of the company you might have a KPI for tracking safety certifications as a KPI. If you are launching a new product and the goal is to sell more of that product, you might have KPIs around a course focusing on that new product, are people passing the exam for this product and are there certain areas that people seem to be scoring poorly on Identify a reporting solution - Reporting and analytics are very hot topics currently due to the power you have to crunch through the data, additionally, we are tracking more now than ever before (clicks, likes, scores, time spent, completions, etc). There are many different options available so make sure you pick a solution that is flexible, user friendly and ultimately allows you to achieve your reporting needs. Approach the data through time increments - A nice and obvious, but very achievable and useful step. Basing your reporting in chunks of time fixes the data at a particular moment and really allows you to perform ongoing analysis of you learning data, capturing trends. Use charts - These are perfect tools for discussion. Everyone loves a we designed and meaningful chart Feedback - Can sometimes be the neglected part of the report process but this is the end point of any analyses. All of the points preceding this allow you to effectively understand and present the information so you can make the appropriate decisions about your results.
