Communication:Meaning
 According to Keith Davis, "Communication is the
process of passing information and understanding
from one person to another person.”
 In other words of Robbins and Coulter,”
communication involves the transfer and
understanding of meanings.”
 In other words,we can say that communication is the
process of exchange of information, ideas, feelings
and understanding among human beings. It is the
process of conveying meaning through words, figures,
symbols, pictures, body languages etc.

 Facilitates planning- Effective planning occurs
when every one responsible for it has
access to complete information affecting
areas of planning.
 Facilities decision making- The quality of decisions
largely depend upon the quality of
information. Hence, effective
communication system means qualitative
decision.
 Facilitates coordination- Coordination is the work
impossible with communication.
 Facilitates changes- Change is the way of life.
Organisation also faces changes. Managers
prepares members of the organisation to except the
changes and without communication it is not
possible.
 Effective control- No manager can exercise effective
control on organisational activities without proper
communication system.Controlling involves convey
the plan, collect the information, compare actual
performance and then take corrective measures.
 Effective staffing- Staffing involves recruitment,
selection, training etc which cannot be performed
without the communication.
 Smooth functioning of enterprise- This leads to effective
planning, effective decision making, effective
control and effective staffing.

 CHAIN NETWORK- It is two way communication
from top to bottom to top of the hierarchy of
management.

 CIRCULAR NETWORK- It is a network where
communication moves in a circular way.
 WHEEL NETWORK-It is a network in which the
members of an organisation usually do not
communicate directly with each other.

 FREE FLOW- It is a network in which members
can talk to anyone freely.

 FORMAL COMMUNICATION- Formal
communication means the communication
which travels through the formally
established channels. It established the
single path of communication which links
the various positions.
 INFORMAL COMMUNICATION- Informal
communication channels are not established
by the management. Such channels are
divided by the people to socialise are

 DOWNWARD COMMUNICATION- It is the one which flows from
top to bottom of the organisational hierarchy. Such
communication may be in the form of plan, orders,
instructions, politics etc.
 UPWARD COMMUNICATION- When messages are transmitted
from bottom to top of the organisational hierarchy. It is said
to be upward communication. Such communication
involves progress report, problems, suggestion, request etc
 HORIZONTAL COMMUNICATION- When communication takes
place between persons of same level then it is said to be
horizontal communication.
 DIAGONAL COMMUNICATION- Such communication is in
between people who are neither in the same department
nor on the same level of the organisational structure.

WRITTEN COMMUNICATION- When message is
expressed in written words.
VERBAL COMMUNICATION- When message is
expressed through the words of mouth or
spoken words.
GESTURAL COMMUNICATION- Communication
through postures of body parts is called
gestural communication.
BARRIERSOFCOMMUNICATION
 POORLY EXPRESSED MESSAGES- It means wrong choice of
words, phrases and faulty construction of sentence.
 COMPLEX ORGANISATIONAL STRUCTURE- Long chain of
command, large span of control, confusing relations
creates distance between sender and receiver.
 STATUS BARRIERS- Position of a person in organisation
may create communication barriers.
 LANGUAGE BARREIRS- Sometimes the language of the
sender and receiver of the message is different.This
factor also contributes to poor communication.
 SEMANTIC BARREIRS- It means the barrier caused by the
meanings of the word or symbol.
MEASURESTOOVERCOMEBARRIERS
PROPER LANGUAGE- To avoid semantic barriers, the
message should be expressed in simple, brief
and clear language.
CONSISTENT BEHAVIOUR- To avoid credibility gap,
management and ensure that there action and
deeds are in accordance with there
communication.
GESTURE AND TONE- One should have appropriate
facial expression, tone, gestures and mood, etc
to make communication effective.
