POSITION: Administrative Services Coordinator
DESCRIPTION: Coordinates building projects. Ensures good communications and acts as a liaison
between in-house staff and outside venders. Performs backup Receptionist and opens
the building daily, provides Executive Office relief when needed, performs backup for
the mailroom and provides clerical support for the Administrative Services
Department and Technical Services Department. Designs digital signs for vendors and
various in house events.Hosts special events,and closes building when needed.
Maintains Public Relations when required by events orby daily occurrence.
REPORTS TO: Senior Director, Administrative and AV Services

DUTIES/ESSENTIAL
FUNCTIONS AND
RESPONSIBILITIES:
(In Order of Importance)
Building Services
Coordinate building comfort and control systems including troubleshooting and
placing service calls with Property Management for mechanical, electrical, and
plumbing systems.
Contact Property Management regarding facilities issues,ex. loading dock access,
cleaning requests,maintenance issues.
Coordinate office services including repair/maintenance of furniture and
equipment, signage,plants, office supplies and vending contracts.
Meet vendors and escort them to the general assignment area.
Coordinate the daily activities of building engineer and janitorial staff.
Review invoices related to projects assigned to this position.
Assist in conducting new employee building orientation and perform telephone and
voicemail training.
Take pictures of new staff and add them to Staff On-line.
Coordinate Conference Center calendar including scheduling,room set-up,A/V
support,etc.
Create and monitor logs to track work performed within the NCTA suite by
multiple vendors and contractors.
Assist with communications to NCTA staff related to moves and changes within
the facility.
Provide backup support for Administrative Services Manager in his/her absence.
Coordinate special projects and other duties as assigned.
Technical Duties include:
Create and update digital signs (Infocaster) for the lobby.
Contribute to maintaining positive relationship with Comcast and update account
as needed (cable cards, Set-top boxes).
Maintain and update tracking hours for Broadband Home, Anteroom, Boardroom,
Theater and Video Teleconference.
Turn on Broadband home, internal stairwell and restroom TV’s daily.
Assist with tours and screenings during events.

Receptionist duties include:
Staff Reception Desk from 7:30 a.m. to 9:30 a.m., during receptionist’s daily lunch
and afternoon breaks and when receptionist is out of the office.
Open building – sort newspapers,check and distribute messages in NCTA’s
general mailbox.
Greet all visitors, couriers and vendors.
Answer and directs internal and external telephone calls.
Receive materials from messengers and delivery services and route the
material to the addressee.
Log-in deliveries from couriers, Federal Express, DHL, and UPS in order to fulfill
tracking requirements.
Production duties include:
Provide backup assistance to the Production Managerwhenever necessary.
Administrative Assistant duties include:
Provide general office assistance to the Senior Director, Administrative and AV
Services.
Prepare/maintain files.
QUALIFICATIONS: Pleasant and accommodating manner with willingness to provide excellent
customer service at the first point of entry into NCTA.
Strong communication and telephone skills
Strong, accurate data entry/typing and proofing skills
Acute attention to detail and excellent follow-through
Ability to work as a team player with minimum supervision
Bachelor’s degree
Entry level to three years of experience
MS Word, Excel, Outlook, and Adobe Photoshop CS3.
Must always be punctual
