DEVELOPMENT
- Receiving pitches on behalf of team - often first-in-line for such requests. Reviewing and forwarding to producers with comments
- Compiling research on potential projects, using print and internet sources. Forming concise packets for easy reading
- Creating pitch decks for agents, investors and networks. Synthesizing feedback and working through several drafts
- Setting up workflow documents and spreadsheets - regarding finances, talent, schedules, resources and deliverables
PRE-PRODUCTION
- Scheduling crew members - confirming availabilities and negotiating rates with freelancers
- Securing locations - conducting scouts, getting freight entry permissions, assessing equipment needs
- Coordinating with equipment rental houses - creating orders and managing pickups and drop-offs
- Obtaining insurance certificates, rental contracts, and permits by communicating with risk management and legal teams
- Creating and distributing call sheets to crew, talent and executives. Making sure all parties have necessary information
PRODUCTION
- On set, field manager for NY shoots; remote assistance for crews outside NY. Filming in studios and on location
- Directing load-in and load-out of crew and equipment. Watching over set-up and providing assistance as needed
- Handling ad-hoc needs - sound issues on location, talent delays leading to overlap, last-minute requests, etc.
- Managing Production Assistants and interns, who handle craft services and other runs
- Greeting talent upon arrival and obtaining appearance releases from them
- Overseeing data offload with camera and sound team, ensuring proper workflow is followed. Managing hard drives
POST-PRODUCTION, CLEARANCES & DELIVERY
- Main contact point for edit room, coordinating delivery of footage, creation of transcripts, and other needs
- Managing initial culling of materials, by sorting director and editor selects in a searchable manner
- Screening the cut throughout various stages, providing feedback to producers and director
- Working with edit staff to fact check and create lower thirds, subtitles, credits, graphics and transcripts
- Participating in final sound mix, online and quality-control sessions. Providing notes to director and producers
- Clearances - obtaining and organizing paperwork for fair use materials, archival footage & stills, music and underlying rights
- Creating and sending physical and digital deliverables to broadcaster, including cue sheets, project drives and wrap reports
TALENT MANAGEMENT
- Speaking with talent’s representatives, including managers and publicists, regarding shoots, meetings and paperwork
- Handling talent’s specific needs - including arranging car services, preferred hair & makeup teams and more
- Updating booking logs that detail talent’s availabilities, contact points, relations to project and confirmation statuses
- Assisting with forming questions for interviews - analyzing what’s already been reported, what’s engaging and what’s new
FILM FESTIVALS & AWARDS
- Main contact point on behalf of production company, for domestic and international film festivals, as well as awards. Notably:
Oscars, Emmys, Peabodys, duPont Awards, Sundance Film Festival, DOC NYC, New York Film Festival, Cannes and IDFA
- Submitting entries - communicating with festival/awards staff to provide film info, tech details, marketing copy and screeners
- Keeping track of festival requests, pending submissions, rejections and acceptances
- Assisting with delivery and return of encrypted DCPs and back-up BluRays, adapting to each festival’s specific requirements
- Providing photo and video assets to film festivals for promotion
- Ensuring film team is set up if attending - tickets, badges, travel, RSVPs for events & parties. On-the-ground support as needed
MARKETING & PUBLICITY
- Writing and editing initial copy for promotion, including press releases, film summaries, director’s letters and crew biographies
- Coordinating premieres and other screenings for film team. Handling invite lists and other event logistics
- Logging press mentions of production company and released films. Saving reviews, long profiles and other articles for future use
FINANCES
- Supervisor of all accounting - tracking every incoming and outgoing transaction of multiple bank accounts and credit cards
- Handling timely payment of all bills, including invoices and expense reports, mainly by check or wire transfer
- Ensuring proper tax paperwork is in place - including W-9’s. Initiating processing of 1099’s as necessary
- Assisting with forming preliminary budgets and cash flow schedules, using past projects’ data and current projections
- Reconciling ledgers and assisting with actualizing budgets for final reporting
- Preparing and processing payroll of all employees and freelancers
