Contracts Related
• Tendering – Pre-Qualification, Technical Documents, Information gathering, Supplier
contact, Background review, Negotiation, Applying and attending tender meeting,
executing the jobs once contract is awarded.
• Daily Progress Report (DPR), Project Execution Schedule (PES), Chopper Manifest,
Project Completion Certificate, Milestone certificate etc.
• Notifying the contractor to begin work, Monitoring contract activities for compliance
with work progress to ensure services are performed according to the quality, quantity,
objectives, timeframes and manner specified within the contract
• Review progress reports, status reports, and timesheets as required
• Monitoring expenditures, ensuring funding availability when contract extends over time
period
• Verifying accuracy of invoices and approving invoices for payment
• Reporting any contract disputes immediately to the department procurement office
• Communicate with both buyer and supplier on contractual issues.
Secretarial / Admin / Corporate Related
• Preparing brochures, newsletter, Social media network, coordination for conducting
seminars, entrance exams, career counseling programmes, conducting sponsors meet,
visiting the districts and meeting the underprivileged people, checking their

• Independently manage internal communication and drafting of business
correspondence on behalf of the MD's/E.D’s/SGM’s.
• Supervise the MD's/E.D’s/SGM’s office, execute and maintain office standards, policies
and procedures.
• Electronic Calendar Management, which requires skills to effectively prioritize and
schedule the MD's/E.D’s/SGM’s appointments.
• Provide decision making support on crucial matters, support him on day-to-day business
operations.
• Prioritizing meetings and actionable and independently handling time management for
the MD's/E.D’s/SGM’s.
• Coordinating and prioritizing the daily activities of the MD's/E.D’s/SGM’s & performing

• In-charge of Documentation/Drawing section (R&D division) to handle drawings. Filing
of drawings / documents etc. Maintaining of numerous Technical and Non-Technical
files. Also responsible for handling Catalog library. Customizing Work orders, spare
work orders, work order amendments etc
• Liasoning with the Airline offices, Check-in and Check-out procedures for guests,
handling cash, drafting / assigning contracts for different organizations, maintaining of
Front office accounts, Interaction / co-ordination with In-house departments, secretarial
work such as typing, preparation of duty charts, etc
• Generation of MIS Reports such as Food cost reports, Hourly sales, Daily sales, Weekly
sales, Monthly sales, Product Mix Analysis, Statement of average check and cover,
Complimentary and Discount Statement, Credit statement, Statement of Transfer in and
Transfer out. Inventory and Consumption sheet, break up of cost of goods sold,
outstanding payments to different companies etc. Random checks of cash, KOT, with
the tables, tips collection/distribution, checking the quality of food and beverage
• Assisting the Directors in their day to day operations. Interacting with different
departments. Collecting/preparing/checking the MIS reports and finally submitting it to
the directors. Documentation of Contractual and Non-Contractual letters,
corresponding / interacting with Buyers and Agents (overseas and local)
• Keeping track of all the shipping documents required for clearing the shipments i.e. Bill
of lading, Invoice, Country of origin & Packing list reaches us before the vessel arrives.
In any document is pending, inform the factory and follow up for the documents.
Checking the contents of the documents, sending it to the clearing agents, they prepare
the D.O and Bill of entry and send it to us. Coordinating with the liners, transporter and
installation engineers
