PROJECT MANAGEMENT
BY BEN SMITH
WHAT WENT WELL
MANAGING PEOPLE
Logistics
I created call sheets that
helped me with arranging
when and where
I needed someone out of
my actors or a member of
staff.
Finance
In the pre-production phase of a
media project, I used BECTU to
gather information about the pay
rates for the different members
of staff I needed. This
allowed me to plan my budget
around the costs.
Creative Processes
The creative processes that I
used is auditioning to get
actors and staff suitable for
the project.
MANAGEMENT OF RESOURCES (BOTH HUMAN AND
PHYSICAL)
Logisitics
Through the use of call sheets,
scripts and location recce, I
was able to efficiently plan the
management of actors, staff
and any props, costumes,
equipment and makeup for the
pre-production phase.
Finance
For finance to cut down any
costs on actors, staff, props,
costumes, equipment and any
makeup, I looked through
stores and websites that
offered discounts to film
projects or where they
sold the needed items. For
actors
and staff, I looked through job
agencies for people who
are looking for work.
Creative Processes
To reduce the costs of
having actors or staff come
in when they are not
needed, I creatively came up
with schedules that
combined filming sessions at
one location so I
could attempt to collect all
the footage needed with
those actors or staff in one
or a handful of go's.
MANAGING TIME
Logistics
I made production schedules to
avoid paying for members of
staff when they are not needed,
I planned out the
times for when I
was planning on filming, I
created a schedule that tells
staff and actors when they are
needed and when they are not.
Finance
To improve
the budget, I efficiently
planned out the times for
staff and my actors
reducing the impact
towards the budget freeing
up some money for
emergencies or any last-
minute additions.
Creative Processes
The creative processes that I
used to manage times was that I
used time schedules, production
schedules and call sheets to keep
my actors and staff informed on
where they need to be.
BEING PROFESSIONAL
Logistics
I was professional when I made
my budgets, scripts,
storyboards and any other
document, as soon as I finished
the audition for when I
was looking for actors.
I was professional when I told
my actors what they will be
doing and how they
would accomplish it.
As soon as I had my actors I had
them sign the contributors
release form.
Finance
When I was creating the budgets, I
researched online
for information about the pay rates
for all the different members of
staff and on renting the equipment
out. For when I was booking the
equipment out I had to use a
booking form to reserve it for me
to use.
Creative Processes
The creative processes that I
used was that I made story
boards, diagrams when
needed, scripts and I made
schedules that told staff and
actors their times and where
they need to be.
ENSURING PROGRESS IS SUSTAINED
Logistics
When I did my project to make sure, that progress was being sustained I created
schedules and plans that told me what else I had to do after finishing one thing.
Creative Processes
The creative processes that were used in my project were spider leaf diagrams for my
idea generation and whenever I made a change I improved both the script and the
storyboard.
MANAGING RISK
Logistics
At the planned locations, I made a risk assessment on all the risks that there might be
and ways to prevent them from happening. I made all members of staff check through
the risk assessment so that they understood all the risks and procedures to prevent
them.
Creative Processes
The creative processes that I used in my project were risk assessments on the
locations where my project is taking place.
I also used BBC health and safety sheets to list off all the possible risks with any of
the resources or equipment.
MANAGING CRISIS
Logistics
The crisis's I had to deal with were when my actors weren't showing for
recording. This was solved by replacing them with other actors who did
turn up.
Creative Processes
The creative processes I used was making schedules that were coinvent to
my actors, only for them not to show up, so I replaced them with other
people and tailored the schedules to the time they had free.
KEEPING DOCUMENTATION UP-TO-DATE AND
RELEVANT
Logistics
I made a list of the
documentation needed and
then as I kept track of what
was done and what I needed
to finish.
Finance
I made sure that the
budget and any
purchases were documen
ted and up to date.
Creative Processes
I made lists, tables and bullet points
on what I had planned and on what I
still needed to do.
I creatively created a story board for
my project and then worked on it to
keep it up to date with
any changes that were made.
ASPECT
WHAT COULD BE
IMPROVED
SUMMARY OF ANY PROBLEMS WITH PROJECT
MANAGEMENT
Logistics
I found that sometimes
there could be too much
paperwork, causing you to
misplace it somewhere.
Finance
I found that on the internet different
companies had different pay rates and for
equipment the prices for renting the
equipment varied depending on that
company. This led to the budget changing
whenever I found equipment at cheaper
rates to rent.
Creative
Processes
Some of the problems I
had was that when I
was auditioning for
actors that the
auditions could take
time and over all reduce
the time available for
pre-production.
WAYS YOU COULD BE BETTER IN FUTURE
PRODUCTIONS
Logistics
In my next production I could do
better with the different
documentation that I needed, by
speeding up, add the names of
the required equipment on to
the booking form.
Create copies of the
documentation in the chance
that they go missing.
Another thing I could do is find
better sound effects for my
project.
Finance
Next time I could
improve my next
project by having more
prop, costumes and by
having more actors to
provide the audience
with more content,
because of this the
budget will be
increased in size.
Creative Processes
The creative process I could do
with improving would be the
story board by adding in
more scenes providing the
audience with more content to
watch and talk about.
