Managing People
When managingthose I required to help
with this video, I organised
documentations such as call sheets –
informingmembers of the crew what
time I would need them, as well as,
which location to arriveat.This
documentation also included if we were
shootinginsideor outside.
By havinggood management skills,the flow
of the production went successfully.This also
allowingthe production process to stick
firmly in the budget set.
Crew and castmembers involved in this shoot
all had to sign a contributor’s releaseform to
ensure they would be around for the entire
production process. The scriptwas also used as
a way of managingthe cast,as they can see
which scenes, they were in.
Management of
Resources (both human
and
physical)
To manage the resources for the
production bookingsheets were created
in order to keep everything organised,
and to see what equipment I needed for
each individual shoot.
The budget set asidefor equipment were
strictly followed due to the arrangement of
both bookingand call sheets.This ensured no
extra equipment was being used and that the
crew and castwere working insideof their
scheduled times.
The creation of booking forms allowed me to
see what equipment needed to be used for that
day. They came with information such as how
much of each equipment was needed (e.g. 4
LED lights).
Managing Time
To ensure that all times were stuck to,
both crew and castfollowed schedules
for both the production and editing
processes.These were planned using
the storyboard to ensure all scenes in
the video would be filmed.
Followinga strictschedulemeant that no
members of the crew were workingovertime.
This way there are no extra payments to be
made.
I created production and shootingschedules for
the predicted time of filming.These showed
the times allocated for shooting,as well as,the
expected duration of the shoot – followed by
time for the set up and packingaway of
equipment.
Being Professional
My professional behaviour on this shoot
coincides with each individual aspect.I
was ableto take control of the
scheduling;followed by other activities
such as lookingfor locations and
completing the relevant documentation
to ensure my crew (and the production
process) were safe.
Makingdocumentation such as this also took
the financeinto consideration.I was ableto
manage the budget and splititinto the
different sectors needed for the production
process – making itas costefficient as I
possibly could (and stickingwithin the
budget).
In order to maintain a professional manner on
the shoot, I created budgets, schedules,
booking forms,storyboards,scripts etc.
Overseeing each individual aspectof the shoot,
ensuringall crewand castmembers were
aware of what they needed to do. It allowed
the production process to run as smoothly as
possible.

Ensuring Progress is
Sustained
To ensure the progress of the
production was sustained,I followed
schedules (such as the production
schedule) to keep track of what had
been filmed. I also checked the files,
keeping evidence of what days (and
scenes) had been shot.
The production scheduleand the creation of
folders for video files would ensure that
progress was being made in the production of
the video.
Managing Risks
To manage risks,risks assessments were
made for each location and set there
would be filmingon. This highlighted the
dangers of what could happen,
eliminatingand comingup with
solutions in order to avoid accidents.
Financially,creatinga risk assessmentmeant
the equipment used was safe.It reduced the
risk of harm coming to the equipment.
I created documents such as risk assessments
to be aware of what things could put the crew
at risk (in the different locations).Risk
assessments arehelpful to avoid any accidents
on set and whilefilming.
Managing Crisis
In managingcrises,itis importantthe
director (myself) was on set to ensure
the crew was safeand doingtheir jobs.
The risk assessments and call sheets
helped to ensure that whatever possible
crisiswas ata set – it could be
resolved/eliminated.
In managingcrises,itis importantthat the
budget, risk assessments and call sheets
worked hand in hand. This allowed me to see
the overall equipment being used and what
potential damage could be made in each
location.This ensured no money was being
spent on extra equipment.
The risk assessments,call sheets and
contributors releaseform were created to
ensure any possiblecrises were lowered. They
work together to guarantee any accidents are
covered and that the crew is safe.
Keeping Documentation
up-to-date and relevant
In order to keep relevant documentation
up to date, a production diary would
have been used to ensure the
production schedulewas on time. This
contained info about the shoots,days
and timings and how long a shoot/scene
lasted (to film).
The documentation diary allowed me to see
what shots and scenes had been filmed. This
helped the production to stay in budget and
not havingto go back and re-do filming
schedules and other documentation.
Creating a production diary helped to keep the
shootingof the video as organised as possible.

Summary of any problems
with project management
Some of scenes being shot needed to be
re-filmed to produce a better-quality
shot. This meant that actors needed to
come back to shootthe scene they were
in.
This didn’t even the budget largely as there
was time set asidein caseany scenes went
wrong.
In terms of creative processes,the storyboard
could be developed further to establish more
accuratetimings to each shot (as they lasted
longer than originally planned).
Ways you could be better
in future productions
In the future, I will reviewthe footage of
the scene on location;to ensure the
shot is what's needed and fits the
expectation of the production.
Financially,I would check the budgeting of
the production; to ensure it went sideby side
with any days that were spent re-filming
shots.
I would alter the production schedule to ensure
the castand crew aren’t spending longhours
filming(especially in an outsidelocation),this
allows timeto perfect a shot if it goes wrong.
