Project Management Task
What Went Well
Logistics Finance Creative Processes
Managing People
To manage people duringthe
production I created the call sheets and
made sureto send them to everyone
involved,so they were aware of when
they were needed and where.
By havinggood management the production
was ableto followthe call sheets aboutwhen
the castand crew were needed.
To ensure that I managed people effectively
through the production I created call sheets
containingthe dates and times people would
have to be in the location. The scriptwas also
used to manage people as they were aware of
what their dialogwas and the actingthey
needed to do in the scenes.
Management of
Resources (both human
and
physical)
I managed the resources by basingthe
booking forms from the dates off the call
sheets. By doingthis I was ableto make
sure that the castcould make the dates
before getting the equipment. The
budget was also used in managing
resources as I used a day rate to see the
costs,by usingthe day rate system I
could see how many days I needed the
equipment.
By usingthe booking forms and call sheets I
reduced the amount of time I needed the
actors and equipment as it was sorted out
before the filmingbegan, hence I would not
need to pay extra for actors or hireextra days
from the budget.
For the management of resources I used the
call sheets as well as ensuringthatI signed
booking forms for the use of the equipment on
each location.
Managing Time
To manage time I created production
schedules,and planned each shot time
againstthe storyboards and scriptto
ensure the time planned allows for
multipleretakes and what the actor’s
movements are in the scenes.
By planningthe time effectively in the
production scheduleI reduce time wasting
and therefore the costs would have increased
for actor overtime or rebooking equipment.
I created production schedules to plan each day
of filming,I included the equipment set up
times as well as an estimated times for multiple
takes. I also used the storyboards and scriptto
plan out the time it would take to filmeach
shot.
Being Professional
I was professional by planningthe
schedules and makingsure that the
equipment was ready for filming.I
would also makesure all thedocuments
where filled out likethe risk assessment,
call sheets and bookingforms.
I save time by planningthe production
effectively and makingsure the documents
were filled out properly, and therefore I saved
money.
I ensured that the documents likebooking
forms and call sheets were filled outcorrectly
as well as makingsure with the castand crew
where able to filmduringthe certain times.

Ensuring Progress is
Sustained
To ensure the production was
progressingI created a production
scheduleto endure the tasks likefilming
a certain scene was complete. In
addition to this I used a production diary
to showwhat was done each day and
whether the production was
progressing.
I used a filmingscheduleto plan out how long
each stage of the production would take; in
addition to this I made a production diary to
record what I was doingon the project and to
keep track of what the castand crew
completed.
Managing Risk
I created a risk assessmentto reduce the
probability of accidentor injury.The risk
assessmentwas used to make the cast
aware of what was dangerous in each
scene and be cautious on set.
The financial aspectof managingrisk would
to stop equipment being damaged, which
would increasethe budget. By usingthe risk
assessmentthe equipment was a hazard to
the castor crew.
I created the risk assessmentto reduce the
probability of accidentand make the castand
crew aware of any dangers.
Managing Crisis
I managed crises by planningthe
production effectively; this meant that I
used the call sheets to ensure the actors
knew when the shootwould take place
as well as the risk assessmentto stop
equipment being broken. I also used the
budget to see what equipment I needed
and for how long.
By reducing the confusion between the actors
and crew I used the call sheets and budget to
plan the equipment effectively, which in turn
reduce the budget as the production was
finished quicker.
I created the risk assessmentto reduce the
chances of injury or damage, as well as the use
of call sheets and filmingschedule.
Keeping Documentation
up-to-date and relevant
I kept the documentation up to date by
usinga production diary,which
contained information about what
shoots I completed and the forms that I
had filled in.I also used organised house
keeping where I would upload the
footage based on the dates they where
filmed on, and put any addition material
likesound in a separatefolder.
By keeping the documentation up to date I
saved time as I didn’t have to go back and fill
out the forms properly, which also reduces
the budget as the project was finished
quicker.
I used the production diary to record the
progress of the production and keep
information aboutwhat I needed to do such as
get contributors releaseforms or to organise
the housekeeping. The scriptwas also changed
duringfilmingand scenes cut from the
storyboard this were show in the edit decision
list.

Aspect
What Could be Improved
Logistics Finance Creative Processes
Summary of any problems
with project management
The project was affected by the
equipment set up time as the
production couldn’t startwith out the
lightingin the outdoor location,this held
back the shoot. In addition to this the
times the actors could filmwere
affected as the scene with both actors
had to have free time the same day.
The financewas not affected largely as itwas
a short filmproduction.
The creative process could be improve by more
detailed storyboards as when the footage was
edited together the time was longer than
expected therefore scenes where cut from the
edit decision list.
Ways you could be better
in future productions
To improve I would allocatemore set up
time in outdoor locations dueto the
conditions and the type of equipment
needed.
I would also ensurethat the call sheets
where made further away from the
filmingdate, as the actors would be less
likely to have other things planned,
therefore meaning the filmingschedule
could be easily followed with out re-
schedulingshoots.
For financewould improve the budgeting of
the production as I would compare the
quality of equipment, weekly rate and day
rate to ensure the budget is not increased
over filmingby bookingaddition equipment
or re-shootingscenes.
I would have more detail in the ideas
generation to ensure the scenes could be set
up within a certain amount of time as well as
the camera angles and actors beingplausiblein
the storyboards.I would continually up date
the production schedulebased on the amount
of time the scenes take to ensure the footage is
not longer then expected.
