The document discusses various aspects of project management for a film production. It describes how call sheets were used to organize crew and actors by listing location, dates, and shooting details. Booking forms tracked equipment availability and costs. A production schedule and diary planned filming and editing days. Risk assessments aimed to reduce hazards. Documentation like call sheets, forms, and the diary helped manage resources, people, time, and risks to sustain progress and control crises. Future improvements could include finalizing call sheets earlier, better budgeting, and adding more details and camera angles to scripts.

Project Management Task
What Went Well
Logistics Finance Creative Processes
Managing People
In terms with managingthe crew I
formed a call sheet, to let the crew
members and actors know when they
are needed at specific times as well as
the location beinggiven
Due to the call sheets, itmade it easy for
everyone to followprovingit was an effective
way of organisingfor different scenes within
the filming,as this helps them know who is
needed.
For the call sheetto be effective I featured
things such as the location, the dates, the
actors needed, estimated time for the shots to
be finished.The scriptand storyboard were
also used to give an overall background of what
each shotwas supposed to be like, giving
directions to both crew and actors of what is
needed for the scenes in terms of dialogueand
a visual perspectiveof objects in each scene to
fit within my vision
Management of
Resources (both human
and
physical)
In terms of managingboth human and
physical resources I used a bookingform
sharingthe same elements as the call
sheets in terms of featuring the dates
because in the bookingform I will need
to know when the equipment will be
availableto use, as well as this I also
needed to consider the costs of the
equipment so I had to sortout the
budgeting as a manageableresource
forming the day rates, quantity and how
many days the equipment is needed for
Due to usingboth the call sheets and booking
forms itmakes organisingthefilmingshoots
to be well organised and reduces the time
needed to set everything up and with the
budget form would sortout the costs of the
equipment before production so by then we
would have already havebeen prepared.
For the managingresources and people to be
effective I made sure that both call sheets and
booking forms have dates assigned to keep
things organised in terms of when the
equipment will beavailableto use so we can
plan the filmingvia usingthecall sheets.
Managing Time
In terms of managing time, I used a
production scheduleto plan out the
days for editing, filmingand many
aspects of the production working
alongsidethe scriptand storyboard
when filming different shots per day.
By planningusingthe production scheduleit
reduces a lot of time wasted as we would be
prepared duringthe production phaseto film
the shots with no problem usingthe call
sheets and bookingforms in mind
I formed the production scheduleto plan each
day of filmingand editing,includinghowlong
each multipletakes, would lastas well as the
number of them and with the help of the
storyboard and scripthelped gave instructions
of how to produce certain shots duringthose
takes.

Being Professional
In terms of being professional, theway I
worked towards that is by usinga
variety of different methods to plan
duringthe whole production phase with
booking the equipment and instructing
people on what days and location to go
to for filming
The benefit of doing this professional isthatI
savea lotof time thanks to each of the
documents to help make the production
phasego easier,makingsure they were all
filled out.
I made sure each document was filled correctly
for the production to go forward considering
the budget given for the costs of equipment,
costumes and such as well as the call sheets to
make sureeveryone, crew and actors knew
when to be ready for filmingand such.
Ensuring Progress is
Sustained
In terms of making surethe progress is
sustained I usethe production schedule
to plan the days of filmingas well as
editing and other aspects that go with
the phases within that document
By usingthe production schedule to plan out
how longeach scene would take, as well as a
diary to keep track of everything includingcast
and crew.
Managing Risk
I formed a risk assessmentto make
everyone wary of the risks thattake
placewithin filmingand this would help
reduce those risks or reduce those risks
from going even further.
As well as the possibleharmto the crew and
actors there is another risk in terms of a
financial problemwith in casethe equipment
takes any damage, as this also counts as a
hazard as the equipment can be a factor of
what causes harmto the crew.
I formed the risk assessmentto reduce the
possibility of an accidentto happen onto the
crew and actors as it's my responsibility to look
after them whilststill producinga film.
Managing Crisis
In terms of managingthe crisisI used
the call sheets and risk assessments to
take control, the call sheets to let the
crew and actors know what is goingon
in terms of the days of shootingand
such,as well as informthem of the risks
that can take placeand usingthe
booking form to check on how long I will
be usingthe equipment for and keep it
in the production diary.
Overall,all thedocuments reduce confusion
to the crew and actors in terms of planning
effectively to get the best results, whilstalso
being wary of the costs for the budget and
the availability of equipment in bookingforms
and the crew in the call sheets.
By usingthe risk assessment,it helps me take
control of the situations when filmingas I
would be aware of the risks and inform
everyone about it,with the use of the call
sheets, bookingform and the production
schedulefor the whole planningprocess
Keeping Documentation
up-to-date and relevant
In terms of keeping on track with the
documentation I use a production diary
through the courseof each production
phase(pre, production and post). The
diary informs me about every shoot
done with the date, how long ittook as
well as information from the other
documents from the call sheets and
By keeping track of documentation, it saves a
lot of time due to the factI do not have to
look back at pastdocuments due to
everything will bethere in front of me within
the diary so I will nothave to worry.
By usingthe production diary, ithelps me keep
track of all my documents so I know where to
go next as a sort of guide to the production
process, and keep the information I require
example contributors releaseform, risk
assessments etc.

keep things well organised
Aspect
What Could be Improved
Logistics Finance Creative Processes
Summary of any problems
with project management
In terms of the problems that occurred
within shooting, one of them has been
setting up the equipment such as
lightingin some location likethe bridge
at school or scenes within a graveyard
Overall,the financewas not affected
whatsoever due to itbeing a shortfilm,if it
were a longer, I would have to consider the
costs and would need a bigger budget.
In terms of the creative process, the script
could be improved to add more factors to the
film, even though I was awarethat the film
would possibly reach longer than the expected
time limit.
Ways you could be better
in future productions
In terms of ways that I could have
improved is makingsurethe call sheets
were finalised earlier within production
for filmdates as the actors and crew
could be busy or consider any other
restrictions thatcan take place,and
work out a way to set up more quickly
In terms of finance,I would improve the
budgeting by comparingthe quality of many
things that are costly, and make sure the
costs don’t go over the budget duringfilming
in terms of buyingequipment and such
I would want to add more information in the
idea's generation givingit more of a
background and make sure I use a variety of
different camera angles to make itseem
interesting.
