2. Storyboard
For my pre-production work I had made a storyboard which is for
the music video that I will be doing, I included drawings of what
each scene would look like, and I added in the camera shots and
camera movements that I will be doing.
A storyboard is a planning document and the purpose of this is to
show my work by illustrating scene by scene.
The advantages of making a storyboard is giving the audience an
understanding on what I am trying to make by breaking down the
concept of what my product is, this also works well with
communication because if I were to show this to my client, they
could add in improvements to the products I have presented.
Doing this also reduces making mistakes when I make my music
video as I have already planned what it looks like which will make it
easier for when I start to film.
3. Flat plan
What I have also include in my preproduction work is a flat plan this is an
essential source to produce a poster, this is used to visualise on how the
promotional element is going to look like. This contributes with my
organisation on how my poster is going to presented and what the poster
is going to include, which also helps me with any mistakes that could
occur.
This flat plan shows everything that needs to be included within a
promotional poster such as the main image as this is what sells the poster
and is the main element because this is what the viewer would look at
first. What I will be doing is including photographs that I will be taking of
the band using different coloured gels and lighting to make it standout
more and add drama, I want to make the image so that it matches with
the theme of what the band is.
What I have also included in my flat plan is the necessary information that
is needed for the poster, this includes the band logo which is the most
essential typography to add as the viewer needs to know who the band is.
Something else that I included was the bands social media platforms, the
reason for adding this in is because it is a way to promote the band and
also how the viewer can find out more information about them, I wanted
to use Instagram as it links with my target audience and the survey
responses that I had received which suggests that Instagram is the most
effective platform.
Overall, I think that this has turned out good as it gives me visualisation
on how I can make my poster and what elements are needed, although
what I didn’t add in is what colours I will be using on the poster, but I am
going to be making different drafts using different styles and I am going to
be using colours which match the band.
4. Script
Following my planning for when I am ready to do my
practical work, I had decided for my audio piece I will
be doing a podcast interview so beforehand I needed
to plan about what the podcast is about and I did this
by writing a script this it to ensure that no mistakes
would happen.
The advantages of making a script before I decided to
record my podcast is a way to prepare myself for the
recording. so that I can convey the purpose of what the
podcast is going to be about clearly and concisely.
Doing this ensures quality for the audience and it also
makes the editing more efficient.
I had also taken screenshots showing the digital version of my podcast script
which I had written on writer duet this shows a more professional look and its
more organised because it shows scene by scene and it matches the overall
message of what the podcast is going to be about.
5. Resources list
I had also made and equipment list which specifies
what resources are needed, where I can get those
resources from and how I can obtain them. The reason
for the equipment list is for my planning as I added in
detail of all the equipment that I would need for my
audio visual, audio and print pieces.
Doing this ensures that I know what I would need for
when I do my practical work and I also know where I
can get the equipment.
This is vital for pre-production as this shows my
professional planning and organisation and when I am
ready to do my practical work in the studio, I will have
everything I need already prepared to film.
6. Cast and crew list
I had also made a cast and crew list, this is for my pre-
production planning before I film, this includes the title
of the project, the director/producer and also everyone
who is working on the set and what their roles are, and
their contact details.
The purpose of doing this is so that everything is
organised and the crew that are involved in the
production of this filming knows their roles and
responsibilities. This also helps make sure that
communication is organised and well-structured as the
document shows how the crew can be contacted which
will help with any delays that could occur. A cast and
crew list is a tool which helps with better coordination
and planning.
7. Cast and crew list-
podcast
For my pre- production I had also made another cast and
crew list for the podcast that we are going to do with the
band.
As we had to get into groups to make this podcast rather
than doing this as a whole class. I had included everyone
that was in my group and added their role that they have
been given.
This purpose of doing this is to show my organisation skills
as I had prepared beforehand about who will be apart of
the podcast and we had also communicated together
about who will be doing each role. This is to make sure for
when we go and do the podcast everything will be well
structured and ordered so that mistakes do not occur.
8. Contributor form
This is another document that I had included for my
pre-production work which is a contributor form,
This is used to report all contributors to the filming.
This includes the title of the project, the date of
when the document has been done and the
necessary information which underlines everything
about the filming.
This helps contribute to the planning of the filming
that is going to take place during the production, so
the document that has been written up is detailed
and accurate.
9. Location scouting
I had included a location scouting sheet which includes
the necessary information that is needed for this
document which is; where the location is, the address
and contact information I have also included the time
and dates.
And any other necessary information that is related to
the location that I will be filming at.
This is towards my planning before I do my practical
work, this is an important part of pre-production and
the purpose of doing location scouting is to find a
place that works for what you are going to film, and it
fits the theme of what the script is about.
10. Location release
For my pre-production I had also made a location release form, I
included this form as this is a necessary part needed before I start
filming as this is used to show that the filmmaker and the team has been
allowed permission by the owner to film on the property.
For the location release form, it includes all the relevant details about
the shoot that the owner would need to know which is also including the
signatures. The form also clarifies what rules the owner wants to impose
while filming so it guarantees the owners compensation. This is an easier
way for both people to communicate about what is needed for the
filming and the rules.

11. Risk assessment form
For my pre-production work to help
prepare for the production I had made
a risk assessment form this is a
document that determines possible
mishaps, their likelihood and
consequences if something were to
occur, and the tolerance. This results
may be shown in a quantitative and
qualitative. This is also shown in a 5-
step process, identify, assess, control,
record and review
A risk assessment can also be explained using the equation of
the risk=likelihood x severity which includes the level of risk that
the hazards faces so by multiplying the likelihood and severity
you will get the results showing if it is severe or not.
I had made this form as this important
before we go and film, this document
helps me identity possible hazards
that could occur at the location I will
be filming at. This is required as it is
my job as the producer to protect the
cast and crew who will be a part of
the production. So, I must research
what risks could occur in the media
room and then include control
measures.
As I make this document outlining all the important
information needed. This will help for the
production as the cast and crew can look over this
and review so that they can also understand what
they need to do to be safe. as this is a film
production to prevent hazards also helps to
minimize the chances of delays.
12. Filming schedule
This is the filming schedule that I have made for preproduction, the
screenshots that I have taken showcases the necessary information
which includes health and safety, locations and useful contacts. This is
just to show if an accident were to occur this document shows the local
hospital, police and a link to the risk assessment form that I have did.
This is used for anyone that that will be on set on the filming days so
that they understand the important contacts.
I had added in the location details for the filming schedule document,
this is just to underline whereabouts the filming is going to take place
it also contains the address and phone number.
This document also contains useful contacts which include the taxi
station, A&E and police station this is used if anyone will need travel,
or they need information for emergency contacts. I also went on
google maps and took screenshots of the locations and placed them
into the document.
13. Filming schedule
A filming schedule is used to outline all filming that will be taking place
on the day, this can help ensure that resources are used efficiently and
that production stays on track and that no delays would happen.
This is other screenshots that I have taken for the filming schedule,
which includes the filming schedule and kit. The filming schedule is the
most important part of this document as this shows how the filming will
go throughout the day. This involves specific details about the
equipment that I will be using and what the filming is going to be about.
This is important document for film production and its also flexible as I
can make amends if needed, but as a producer its my job to make sure
that everything is prepared and organised ready to film,
14. Call sheet
For my pre-production, I included a call sheet which I had
filled out this is a document which gets sent out to the
cast and crew this includes the location, cast crew times,
and shooting schedule for each day of the production. The
purpose of doing this is important as this helps organise
all the cast and crew who are apart of the filming and it
ensures that everyone knows where to go and what time.
It is also helps to indicate everyone who is required to be
on set on the day of filming, the call sheet will also keep
everything organised and scheduled as every production
has a specific number of filming days so using this will
make sure everything goes to plan. This will also make
sure expectations are met as it lets the production team
and cast understand what scenes will be filmed that day.
15. Budget planning
For my planning before I go and film, I had also
made a budget planning document which is a
financial plan that outlines the details of the costs
for the filming. This includes expenses for the cast &
crew, equipment, location, and the post-production
of the filming and this will show the entire cost.
Filming budgets are needed as the producer will
make sure that the document is detailed and that
all expenses have been calculated. This ensures that
everything has been organised and that the
production stays on track of the amount of money
that they have for filming, this is also to avoid going
over the budget.
16. Time management
– Gannt Chart
This is a screenshot of the gannt chart that I have
which is to show my progress of the project and
when I have scheduled and completed the tasks
that I have needed to do for the pre-production
brief. This helps as it provides a visual timeline of
how long I should take to do each task and to plan
which order I will be doing them in which will
contribute with my progress, and it also shows that I
have completed each task before the deadline.
