1. Final Evaluation
Logistics
Managing People
When it comes down to the origination of the production it is key that everyone always
knows where they need to be and when. Call sheets are made to ensure this happens. It
organises talent and crew on the day ensuring they get to the right places on the right time;
along with the correct equipment being requested in time for filming. The call sheets are a
important part my production, as not every cast member is needed, it helps save time
overall and ensure all talent and crew have an understanding of where they need to go. For
my production it was key as it was shot outside of school times so people were not already
present together.
Management of Resources
For resources it is key, equipment boking forms were used as a tool of organising
equipment, to ensure they are available on the day of filming. The forms help organise what
is needed for what day, stopping any important equipment not showing up. These were key
for the smoothness of my production due to the equipment being used by many students, it
helps ensure we all had fair time to film, and know when we are able to access it. This
reduced the stress of the production itself as everyone was organised due to the equipment
booking forms, which meant no tension was created between other when wanting the
equipment.
Managing Time
The management time is key to ensure time and money is not wasted during production,
and that’s where the production schedule sheet comes into place. The sheet ensures that
time is used effectively and productively, and everything has its own time slot, so everything
runs smoothly when the day of productions occurs. The pre-production, production and
post production table helps estimate the time which it will take to complete each segment
of filming, and how that effect the cost overall, in order to meet the deadline which are set.
The reasoning this is so important is to ensure everything runs within due time, and all
talent and crew are organised. When production starts there will be a very short set amount
of time to run, so planning was key to ensure we hit the deadline, without any issues
occurring stunting time development. For my production it was outside so most scenes has
to be shot within the same day else the lighting and atmosphere, so planning was key within
my production to ensure this all happened effectively, as more complex shots needed more
planned time. While the pre-production, production and post production really helped me,
as it looked at all potential risks planning times, and bookings which would be needed
helping me hit deadlines and stop any wasted time.
2. Being Professional
Being professional throughout the entire production helps, everything run within a smooth
and quick manor, as there will be little issues, and no tension. Staying professional means,
keeping to schedules, and following instructions so everything follows an organised pattern,
as already planned out, in pre-production. In order to be professional throughout my work I
have ensured all paper work, and documentation is being produced within the correct way
and format. These documents may include, ideas generation, proposal, script, story board,
lighting plans, production schedule, location recce, risk assessment, budget, call sheet,
booking forms and contributors release forms. These documents help me ensure all cast
and crew are on time , at the correct location and that equipment is ready on the correct
day to which it is needed. While risk assessments helped me to consider any potieical risks
which could happen on the day ad help me make plans in order to reduce the factor of the
risk itself. While a story board and script ensure everyone knows the ideas and themes
which will run throughout the production.
Ensuring process
This process is so important as it helps your make sure all documentation, is correct as you
have to check it yourself and see if the management process of it all flows and makes sense
towards your production. This can include anything from, human resources, equipment,
cast any other key factors contributing towards the success and process of the production.
This process also include making sure cast and crew now where they are going, where and
what time though the paper work which is presented; so ensuring that it is all correct is vital
to running a smooth production. As well as equipment being booked for the correct days,
and arriving on the correct days
After I filmed every day I was upload my footage straightaway and identify which shots
where needed and which were needed to be re-shooted. This process allows me to plan
extra time if filming is needed, which would not delay filming.
Managing Risk &Managing Crisis
To ensure risks are managed accordingly, crew and talent are introduced towards all the
health and safety hazards which would be present on set. In order to prevent risks, making
sure cast and crew are aware is key, as any other un thought of hazard may occur at any
time, while showing and prevent some potential risks helps minimise the risk of something
happening itself. This is all throughout though the use of a risk assessment plan, where any
risks are highlighted beforehand, along with a location recce which analysis the location and
whether it is suitable to work in.
While to avoid crisis having back up battery’s, in case one may run out, stopping a delay
within filming which could occur. As well as having a ack up of footage in case the original
files may corrupt, which would help avoid any unnecessary re-shooting needed to be done.
Up to date Documentation
Documentation is key to filming as it helps you have a organised plan to follow, and
documents to help back up anything such as copyright. It helps avoid any confusion as
everything is set in stone within these pieces of documentation. In order to ensure these are
all correct I have ensured all documentation is up to date, and if anything needs to be
updated it will be.
3. Most documentation is done within pre-production, which includes cast bookings
equipment bookings and many more key aspects, which help conserve time when it comes
to the entail filming.
Finance
Managing people
The finance for pre-production is planned within the budget section where all costs for the
cast and crew are already pre planned out. When looking into the pre-production the
budgeting plan in important because as it organises where talent and crew will be
and is only down to talent and crew turning up on time at the correct place. This links to the
finance due to if we have equipment booked for a certain day we would know we need to
organise talent and crew to arrive on that day, alongside transport and catering expense
due to the long shooting hours and distance.
When linking this directly to my production I had to ensure all paper work was finished
alongside the equipment being booked at the correct times for shooting. All my cast and
crew were on time, and there was no issue with the transport which may affect the costs of
filming due to a delay. All my filming was outside so weather had to play a key part, while
was not an issue when coming to filming, meaning the budget was not affected.
Management of resources
The management of resources can be affected by the double booking of equipment. This
may lead to an overall delay into your shooting which can cost more money, due to
equipment not being available and need to be booked out again, (which may be a long
waiting list). Another was it may be affected is if equipment is damaged when, the time
comes to use it, which again can lead to an overall day towards the production. However if
the production itself was responsible for the damage of equipment a pay-out for the
damages would be an added expense to the production itself, which could be a big damage
to the finance of it if the damage was high.
While within my production to avoid such things, the planning of pre-production I have
made a detailed plan following the expenses for resources which are in plan to be used,
which help prepared for filming and exclude any potential risks such a double booking and
the damage of equipment.
Managing time
Timing is something which is strictly followed within productions, in order to hit the
deadlines which are put in place. This is all down to the sole fact that time is money. The use
of the pre-production helps plan all ideals in advance and have a clear plan for when the day
of production occurs, meaning there is no planned delays such can delay the production as a
whole. While if this was not the case and no plan were in place, it could lead to the
expenses of the production increasing, as there is nothing to follow in sense of a time plan.
The considerations for pays cast and crew, for equipment will have no concept, so expenses
may gradual increase if plans are not followed as there will be no plan for anything.
For my production I have ensured I have planned in detail, all plans within pre-production
are complete so when it came to the day of filming all plans were in place and I had set
times for the completion of my work. Due to this no extra finances were needed to be
added due to following this process. However, time was pre-considered about the potential
of needing to re-shoot parts again, so this did not come as a shock after filming.
4. Being professional
Being professional when considering the finance ensure only the key expenses are spent
and things brought are essential. This ensures only the expense needed are used ensuring
money spent is relevant which is most important if the production is being funded by an
external party.
Within my production ensuring all props, equipment cast and crew are booked while
nothing I don’t need are expensed on
Ensuring process
by ensuring all parts of my pre-production are store, such as a script, story board and
schedules it allows me to ensure all potential work is in place before filming takes place
itself, as following the process means no financial expenses are a surprise when filming
takes place as plans are put into place to provide the information on such things. This will
help minimise the delay and ensure everything is covered in terms of finance. As well as this
in terms of the health and safety ensuring all precautions are put into place is vital for the
production and its legal representation. Risk assessments help ensure risks are prevented
and minimised before filming occurs, to ensure delay if not a direct issue.
While when considering my own production, all documentation was complete so no
surprise expenses were put into place, when filming occurred.
Managing Risk &Managing Crisis
When considering the management of risk and crisis its key all key documentation is put
into pace so it is seen that all precautions have been put into place to avoid any risks when
filming occurs. Consequences that might affect the finance in terms of the risks and crisis
happening is if anyone is injured during the filming. When this occurs due to the
documentation signed (contributor release form) which helps cover the production if any
injuries occur as all cast and crew sign that they have full responsibility for themselves.
In terms of my production I have ensured all cast and crew signed a contributor released to
ensure the production is cover in case of such event occurring.
Up to date Documentation
Ensuring you keep all documentation up to date helps ensure everything is organised in pre-
production. If this is not done it can affect the finances put into place, as the documentation
not being up to date may lead to miss commination and the wrong information being put
out. The disorganisation of this may delay production itself, causing for expenses being
spent to cover time which is lost. Within my production all documentation is updated when
needed to ensure everything flows on the day of filming, to ensure no extra expenses are
needed.
Creative Process
Managing people
The process of managing people within pre-production, when taking into consideration the
creative process itself. Documentation which is key towards the creative process itself is and
the process running smoothly is firstly the call sheet. The call sheet is a piece of
documentation which makes the actors aware of the time and place which they are needed,
in order for shooting to run successfully. Another key piece to follow is ensuring that the
actors understand the version of the scene and what they need to portray though the
5. scenes and styles presented. As a director it is important to ensure all actors know their
roles beforehand and see if they meet the criteria based on the vision created for my
production. This may also be accompanied by a written description of how the lines should
be presented and how they should be perceived to the audience though the camera.
Management of resources
Managing resources within the creative process includes looking at the different forms of
pre-production and identifying what kind of equipment will be needed to achieve the
versions created in pre-production itself. For equipment to be freely available identifying
when it is needed though looking at the story board helps us plan what is needed and when
helping to achieve the success of the production overall. Along with the story broad the
script also accompanies the aid in deciding when equipment is needed and what.
Managing time
The management of time is key in order to prepare the correct documentation. From
developing the ideas for my production, all documentation was always up to date, as this
helps reach the final idea within production. This helps to show us what needs to be done
and the time frame it will needed to be within as well as making it accessible at any time
during production. The production schedule which was created allowed us to plan each day
of production, which takes into consideration the time, shots, angles and where the shot
will be and for how long. This documentation helps keeps order and ensures everyone
knows what is needed of them. As well as allowing the talent and crew what is expected of
them, it also allows you to plan out what will be needed the day before shooting allowing
you to prepare for any unexpected finances or the loss of time.
Documentation which was needed included:
Being professional
This aspect is all about making sure that all resources that can be provided;
Ensuring the process is smooth, due to all the cast being provided with the correct
documentation, along with guidelines, ready to use and all up to date every time any sort of
change is made. As well as this following rules and regulations as well as having a
communicational team ensuring this is all done within a professional level. Things I took into
practice were things such as before filming took place I made sure that everyone owns a
copy of scripts so that all talent are fully aware of their lines beforehand, and are prepared
for when cameras actually start rolling, saving time overall on set. When filming took place I
had my own version of a script and the story board allowing me to see what shots that I will
need to be dong , in order to avoid wasting time on my behalf.
Ensuring process
the ensure that the process was made, it was important to set targets and things to have
achieved each time we had planned to shoot, which would have been set in pre-production
and the overall overviewing of the content in order to improve it. Though this process itself
it is important that all documentation is up to date and changed when changes are added to
ensure no time is wasted.
Managing Risk &Managing Crisis
This process is to ensure all risks are eliminated, and that release forms are signed before
production which allows the contributors to stay aware of hazard in each location.
6. Up to date Documentation
This is all about ensuring all pieces of documentation is always up to date and follows any
chances, which helps ensure no confusion occurs during it.
Below are the different types of documentation which are needed to up to date:
- Ideas generation
- Proposal
- Script
- Storyboard
- Lighting plans
- Production schedule
- Location recce
- Risk assessment
- Budget, call sheet
- Booking forms
- Contribution release forms
Improvement
It is important to identify what went wrong and where there is room for improvement
within production; as it helps makes your production process easier within the future.
Logistics
When filming scenes the issues that occurred was when filming outside of school, and
ensuring everyone can shoot on the day which was scheduled, to ensure everything was
going due to plan. If any issued were raised about the day and time which would draw up a
new time and day in order to suit everyone and have no delays as I pre planned extra time
in case things like so would happen.
Finance
After finishing everything, and relooking at my film as a whole I noticed errors within
scenes, and mistakes within the shots which I had made. This error was seeing a crew
member assisting in the filming process at the side. This would mean more time and money
had to be taken out to reshoot that scene, however I was able to crop the scene and ensure
that crew member was not scene within the shot. Next time to improve I will I have
carefully set up each shot and ensure all crew are not in shot.
Creative process
When looking at this I changed my original idea many times, during pre-production itself
and the production process as a result of trying to get as close to my idea aspirations as
possible. Alongside these changed I had to ensure that all pieces of documentation followed
as I changed certain aspects of the work ensuring everyone was up to date with changes
which occurred. If I was ever to do such a thing again, I would ensure to always prepare my
documentation as I was shown how helpful having it all in place is.
