1. Unit 4 Pre-Production Portfolio Learning AimD
Project Management Task
What Went Well
Logistics Finance Creative Processes
Managing People
-Call-sheets to make sure that actors
know where and when they need to be
for the production
-Creating a simplebudgeting plan for catering
and to make surethat actors get in and out of
the shootingplacesafely which includes
getting the taxis
To ensure that actors understood the vision of
the scene and what needs to be portrayed, as a
director and producer it was important to
introduce actors with their roles before hand
and see if they tick the criteria based on my
vision. This also included written description of
how the lines should bedelivered and what is
the motif which was also doneon the script
and given out to each individual
Management of
Resources (both human
and
physical)
-Equipment booking forms made sure
that the equipment are booked before
the filmingand therefore availableon
the production days, allowing us to have
the right equipment without wasting
production days becausesomething is
missing
-After each production I looked over the
footage to identify possiblereshoots and
therefore, I identified the possiblereshoot
day before the filmingdays haveended so
that I can straightaway book the equipment
as well as the talent without me waitingand
wastingtime as well as money.
-In order to identify the equipment there was a
storyboard to help us identify what we will
need in terms of achievingthe visual sideof the
production
-Scriptallowed us to identify what kind of
equipment and when will be needed to be
booked in order to achieve the verbal side of
the production
Managing Time
-Production scheduleplayed a bigrolein
makingsure that the production time is
used wisely and productively as itwas
tellingwhere and what needs to be
done in the specific time
-The pre-production, production and
post production tableof estimate time
that it will taketo get each aspect
completed helps to keep the focus and
productivity in order to work towards
those goals
-Duringeach production,knowing what to do
and where for the each minute of filming
allowed us to usetime wisely which means
that more things can be done duringand
therefore, reshoots may not be necessary
meaning that we will notneed to book
equipment again and wastemoney on the
transportand getting the casttogether.
Accessible
-The production scheduleallowed us to plan
each day of production in terms of time, shots,
angles where the shot will beplaced and how
longI should take in order to create those
amount of shots per shoot in order to keep the
crew and the talent focused to get everything
on time.
-Production schedulealso allows you to plan
out what will you need the day before the
shootingwhich prepares you for any
unexpected expenses or avoids losingtime
because an item is not there
-Keeping the professional connection -Makingsure that everything is paid for,as -Before the filmingI made surethat everyone

Being Professional
between talent and the crew in order to
keep the team communication clear as
well as the production productive and
smooth
-Being organised by ensuringthat the
project is ready to be taken to the
production level documentation wise
and equipment and prop wise
some of my actors had to travel a longer
distanceto the filmingplace
-Some of the filmingdays required longhour
night shoots which meant that I had to
prepare food, drink, shelter and Taxi in order
for everyone to get safely home afterwards
which also in some casescenariostook some
pressureaway from the actors,allowingthem
to perform better
owns a copy of the scrips so thatall thetalent
know their lines before the cameras start
rolling,allowingus to savetime on set
-I made sure that I had a copy of my own
storyboard with the shots that I am going to be
filmingon the day in order to avoid wasting
time on searchingthe rightdocuments or
makingup visuals on the spot
-Makingsure that all of the documents areup-
to-date and not givingthe actors and talent
wrong information
-Makingsure that the content I have created
fits the target audienceage category criteria for
it to be published within thatcriteria
Ensuring Progress is
Sustained
-After each day of shootingchecking the
footage and making notes on where the
mistakes were made or what could be
changed in order to make the scene look
more effective, so when it comes to the
re-shooting day,I know exactly what
needs to be done
-Writingdown what went well and what
could have been done better after each
written task or production in order to
set the goals for the next lesson
-Documents and other information
needs to be kept up to date to keep the
talent and crew cautious of the changes
so that they can adapt
-Production schedule,scriptand storyboard
allows you to stay focused and therefore, get
everything done in time, meaning that you
won’t have to add any expenses to your
budget on equipment and castand location
expenses
-Risk Assessments also play a part in ensuring
that the process is sustained through making
sure that each contributor is awareof the
health hazards thatmay occur duringfilming
and therefore, medical fees and time-loss can
be avoided
-Call-sheets also allowthe production
company to save money because if each
contributor shows up on time in the right
place,it saves the filmingtime for the
production
-Use the notes made from the feedback that I
have wrote and makingsure that those parts
are improved
-Reviewing the goals madefrom the production
diary in and makingsure that they are reached
by the end of the filmingor class
-Providingthe talent and crew with up-to-date
storyboards,scrips,call-sheetand other to
make surethat they keep up with the process
of the production
Managing Risk
Before shootinghavinga crew and a
talent gathering in order to prepare
them for the filming,ensurethat they
have everything they need and also
introducingthem to the possiblehealth
-If actors were not given an opportunity to
sign a contributors releaseform before the
production has began, if a contributor gets
injured within the production or outsidethe
production, they have a full rightto sue the

that they prevent it and behave
accordingly
production and therefore, the fees will have
to be paid by the production company
Managing Crisis
-if a crew or a talent member gets
damaged it is importantto quickly asses
the damage and then make the future
decisions on whatkind of medication or
supportrequired
-if equipment gets damaged or doesn’t
work anymore, it is importantto identify
which equipment will mostlikely get
damaged and therefore, book extra
equipment
-if a moment occurs where main cast
member or crew member got badly
damaged, make sure you have extra cast
members to rely on

Keeping Documentation
up-to-date and relevant
-Before production making surethat the
documentation is up-to-date and done
in order to providethe guidelines for
each castmember so that they know
what needs to be done duringthe
production
-The most importantdocument that always
had to be updated from the financial pointof
view is budgeting plan. This is becauseit
identifies each expense of the production as
well as givingyou directguidelines of what
needs to be on set each day of filmingas well
as itprovides a cost. However, if the
budgeting plan will notbe updated, you will
not be ableto get the right equipment and
props on the right production day,as well as
provideevidence in order to receive the
money.
-Storyboard and scriptalways needs to be
updated becauseit allows thecastto exactly
what each contributor needs to do in order to
make that shot or goal happen. If these
documents won’t be updated, this could
mean miscommunication and therefore,
wastingtime and money
The different types of the documentation that
has to be filled in before the production can
take placeis ideas generation,script,
storyboard,contributors releaseform,
proposal,lightingplan,location recce,risk
assessment,call-sheet, production schedule,
booking forms and budget.

What Could be Improved
Logistics Finance Creative Processes
Summary of any problems
with project management
-My firstlocation thatthe production
happened was outsidein my garden and
the difficulty thatI was facingwhich
made us waste a lotof production time
was the camp fire. Due to us only having
paper and not enough wood, for each
take we had to add paper few seconds
before turning the camera on which not
only was time-consuming but also
impacted the shot by changingthe
lightingof it very fastfrom very bright to
darker which then required me going
back to the colour correction on the
edit.
- For the outside shotby the camp fire, I
was usingDedo without really having
experience, therefore, there was less
filmingtime and more time getting the
spacelitcorrectly
-For the insideshots,we struggled with
the spacingfor the equipment because
the spacewas very small buthad a lot of
details in itwhich didn’t really allowus
to produce smooth shots and required
us to change few shots in order to be
ableto shootin this location
- Duringthe pre-production process I did not
properly evaluated the time that I was given
and how much shots approximately and
realistically I amableto fitinto 3 minute,
shorthorror movie. Therefore, after the first
production day, I have realised thatthe first
location thatI was planningto shoot in,
wasn’t necessary becauseof its storylineas
well as time wisewhich made me waste an
entire day of shooting
-When shootinginsidethe house at night, I
didn’t think aboutthe rightcamera that
needs to be used becauseof the dark lighting
as a resultI picked the wrong camera and the
footage ended up grainy as well as
unpleasantto watch. Therefore, I wasted
another day of shootingbecauseonly few bits
of footage was usable
I have changed my idea multipletimes during
the pre-production and production process as a
resultI had to provide up-dated version of my
scriptto the cast. However, because I was
rushingto my production location in order to
get there before my casthas,I completely
forgot to bringthe scrip to one of the
production days and therefore, had to give
directions frommy memory which took longer
than itwould take with the documents in front
of me, accessibleall times duringproduction.
Ways you could be better
-In terms of fire, next time I would
suggest either purchasingtheright
-Next time, itis importantto compare the
time frame to the amount of shots that I have
In the future, itis importantto always prepare
all of the documentation ready the day before
5. Unit 4 Pre-Production Portfolio Learning AimD
in future productions products in order to maintain whatcan
easily changeovertime (shotwise) or
use small amountof fireand then use
lighting or Photoshop to create an effect
of a bigfire
-In terms of lighting,before usinga
specific lightthat you have never used
before, get trainingforma experienced
person who may help you understand as
well as get the best out if it, instead of
wastingtime on tryingto figure itout
duringproduction
-Lastly,in terms of tricky locations,itis
important to identify that It is goingto
be tricky before hand and therefore,
when creatingyour storyboard test out
if the shot is goingto work spacewise
realistically,in order to not waste money on
getting the equipment and location again
which also made the expenses rise
-In terms of cameras,it is importantto ask an
opinion of professional in thatfield,to offer
you the best usewhen shootingat night,
avoidingthe grainy footage as well as wasting
another day of production.
the production in order to be prepared if
something doesn’t go as planned or any
difficultiesliketransportcan appear.Therefore,
it would prevent from wastingtime duringthe
production and extra stress on castto have to
memorise all of the instructions given
