 Handling appointments and arranging meetings for the Dept. manager.
 Registering the incoming and outgoing documents for controlling their tractability and filing.
 Responsible for receiving and logging of various documents from vendors.

 Prepare daybook to transact all income/expenditure data.
 Enter the data into Ledger every week based on the details of daybook.
 Overall control of all the incoming/outgoing documents.
 Actively involved in the Quality activities of the department.
 Communication with the concerned contractors as needed.
 Keeping correspondence with all the departments and making of schedules and arranging the
meeting with one department to another as per Managers Instructions.

 Handling routine correspondence, petty cash expenses, issuing invoices, keeping collection
ledgers, processing ID cards. Updating of Various Correspondences Received from the Client and
the Sub-Contractor.
 Creation of well-organized filing systems for the Project Documents.
Hydro test Packages preparation, daily welding reports, welding status.
 Register the incoming documents by Received stamp with corresponding date at the time receipt
and register the subject documents in the document control management system.
 Updating NCR, TD, Waiver, and RFI logs on weekly basis, Follow-up correspondence status.
 Data base updating (All Engineering & Documents).
 Updating Outgoing Transmittal for Client & Subcontractors.
 Updating Engineering Drawings which we are distributing to Subcontractor by Engineering
Instruction.
 Preparing Site Document List with Hyperlink.
 Updating Log with Hyperlink Incoming & Outgoing Letters to Subcontractors.
 Updating Log with Hyperlink to our Company & Preparing reply of Technical Query & Distributing
by E-mail.
 Uploading all Incoming & Outgoing Letters in Documented.
 Updating all Engineering Drawings & Documents in our Tracking System.
 Prepare the detailed workflow and instruction for the document control to perform the work
correctly.
 Printing & Updating Isometric. (Filing Isometric Hard Copies).
 Acting as liaison between suppliers, manufacturers, relevant internal departments and customers.
 Developing market knowledge and contracts for new products and services.
 Identifying potential suppliers & inviting them in bids as & when required.
 Reviewing all assigned purchase requirement for completeness of specification.
 Coordinating with appropriate technical department to clarify or obtain additional specification
detail, if required.
 Reviewing supplier database based on material requirement and prepares the list of bidders for
the approval before proceeding to RFQ.
 Preparing RFQ and floating it to QUALIFIED vendors.
 Preparing price comparison between the suppliers.
 Evaluating bids and marking recommendation based on commercial and technical factors.
 Negotiating and finalizing contracts and monitoring their progress.
 Preparing and issuing P.O. to successful vendors.
 Marking revisions / deletions / cancellations/ amendments in P.O.
 Following –up orders/ expediting delivery of material in order to meet the required delivery date.
 Helping the suppliers for payment and invoice related issues.
 Keeping contracts files and using them as future references.

 Following –up orders previously placed solving problems such as late delivery, variation from
specification, incorrect pricing, etc.
