Control and administration of incoming/outgoing technical documents [MaterialSubmittals, Drawings, Inspections,
Technical Queries, Clearance forms, Method Statements, Quotations, EMV Utilization Plans, Tenders, Technical
& non-technical documents, As-Build Drawings, Operation & Maintenance Information, Specification, Testing
& commissioning information, Sub Contract Agreements etc.]
Responsible for proper In & Out flow and control of all documentation between the Client, Consultant, Sub
Contractors, sister companies & internal divisions.
Co-coordinating closely with the IT team in setting up EDMS in Head office & Site, Highlighting potential issues,
errors in Document Control and make efforts to ease them.
Authentication of documents received & Acting as Document Controller in their absence.
Responsible for controlling outgoing correspondence reference numbers & preparing document transmittals/cover
letter for engineering documents and requisitions.
Tracking, monitoring & follow-up the distribution of all Incoming/outgoing documents through email, fax etc.
Ensuring all Technical deliverables are issued, returned and are logged within an acceptable time frame.
Follow up for Documents and re-submission/revisions and maintain updated revision of documents.
Scanning & maintaining documents in soft copies.
Maintaining a hard copy reference library of documentation which ensures quick & easy retrieval of updated
information as per ISO Standards.
Establish & maintain drawing & document register for each discipline, such as Mechanical, HVAC, Plumbing,
Electrical, Firefighting, coordination and associated builder work shop drawings & RFI schedule & keeping a file
backup including day-to-day document quality checks.
Maintain an organized system for locating documents; adhere to security and confidentiality guidelines through
EDMS & ensure retrieval of accurate and reliable information whenever required.
Accurately Day-to-day update of in & out log register & Ensuring EDMS accuracy.
Assist in the preparation of the minutes of meetings with the project managers / directors.
Verify that only the last revision drawings, submittals, etc. are distributed to all locations and involved parties
concerned including sub-contractors and to notify via email.
Ensure that all obsolete documents shall be withdrawn and stamped ‘Superseded’ if retained for record purposes.
Maintain project drawing/documents distribution record
Control & maintain the system for issuance recording / filing, tracking, Retrieval of documents like procedures,
plans, QA/QC.
Controlling of Reference Numbers.
Proper classification, sorting & filling (Hard Copies) of all Documents & ensure all documentation, drawings,
specifications & manuals are up to date with the latest revision and E-Archiving and disposal of inactive documents.
Long-term storage or disposal of appropriate engineering documents at time of project closeout.
Managing the archival activities for control documents and validation of documentation files.
Submitting Reports to Project Manager/Managing Director & provide system reports requested by department
personnel.
Producing regular reports [Weekly, Monthly etc.]of outstanding actions and responseson correspondence & follow-
ups.
Interaction & Coordination of Work between various departments and concerned for the follow-up of non-
completed tasks.
Dealing with Client, Consultant, Contractors & other outside agencies in relation with documents.
Correlating information relating to projects and proposal records.
Answering queries through phone calls and emails.
Preparing for daily, weekly and monthly reports of incoming and outgoing correspondence and other necessary
