2. Incharge of Time & Attendance Software: Monitoring the Timings of the Staff
a. To forward late comers / early outers report to Head of the Department on
weekly basis
b. To generate reports Viz., Master Report, Access Report, Split Duty Report,
Birthday Report, Date of Joining Report, Date of Relieving Report etc., as and
when required
3. HR Administration
a. To release an advertisement in the Website and Print Media based on the
forecasting of the manpower
b. To scrutinize the received resume and call the candidates for an Interview &
HR final round
c. To prepare Appointment Order and issue the Offer letter
Joining Formalities:
a. To help new joiners to complete joining formalities like Joining Report, Staff
Data Sheet, ID Card forms, Bank Opening Forms
b. To Register the Biometrics of New Staff
c. To explain the Policy and goal of an organization to new staff
d. To explain in brief the Leave rules, Biometrics Timings(Log in Log out)to the
staff
Exit Formalities
a. To ensure all the Exit formalities i.e. Exit interview, PF Forms are completed
by the relieving/ Resigned staff
b. To Prepare and issue the Service Certificate & Relieving Order
Other :
a. To Prepare Increment Letter, Promotion Letter, Address Proof Letter , No
Objection Certificate for the Staff
b. To resolve any grievance regarding Transport Facility, Salary etc., if any
4. OFFICE ADMINISTRATION
a. To reply all the mails and correspondence of the Office
b. To ensure Fax Line, Photocopying device, Printer, computers are in working
condition and to follow up for any repair and servicing. To prepare the purchase
order for all the stationery, visiting cards, dairy and consumable items of the
office
c. To ensure Housekeeping dept. is working properly
d. To check mails regularly
e. To ensure filling is done properly by the Juniors and to guide them if any help
required
f. To check all the records related to stationary, correspondence , bills etc., are
filled properly in the department
