β’ Memo, a shortened form of Memorandum
β’ Purpose:
β A document containing information to be
remembered.
β Frequently to a group.
β Often manager to subordinate, less frequently
subordinate to manager.
β Has a formal structure.

4. Business Letters
β’ A standard format formal correspondence.
β’ Clearly identifiable sections
β Heading β the from address
β Recipient β the to address
β Salutation β the greeting
β Body β the letter contents
β Close β match to the greeting
β Signature β of the author or pp

5. Agenda
β’ Formal schedule for the business of a meeting
β Welcome/open meeting/Call to order
β Apologies for absence & attendees
β Approve minutes of the previous meeting
β Matters arising from the previous meeting
β A list of specific points to be discussed
β Any other business (AOB) β allowing a participant to raise
another point for discussion.
β Arrange/announce details of next meeting
β Close meeting
β’ Points are numbered for ease of reference.
6. Minutes
β’ A report on a meeting.
β’ As the points on the agenda are numbered,
these minutes refer back to those points.
β’ Record all decisions including voting
β’ Record items as βreport onβ¦ presented byβ.
β’ Minutes of 1 meeting become agenda item in
following meeting.

7. Fax
β’ Short form of Facsimile
Text or graphic image scanned
Electronically transmitted
And recreated at the destination
β’ Frequently used for news reports
β’ Often used for placing orders
β’ Greatly replaced by scanning and email.
8. Hard and Soft returns
β’ The Show Paragraph-marks icon displays the
end of line symbols.
β Usually a Hard Return this is the Carriage return
with line feed set as the end of paragraph
( ΒΆ ) this is the normal End of Paragraph.
β A Soft return is a carriage return with single line
feed. This is NOT an end of paragraph.
β In Word processing they are treated differently
9. Breaks
β’ A break is a way of dividing a document into
parts. Word uses different types of break.
β Page Break <Ctrl>+enter
β’ Moves typing to the next page -
β Section break (no keyboard shortcuts)
β’ Continuous or new page, can specify odd or even for
the next page β Book chapters, report sections
β’ Each section can have different headers and footers
β Column break
β’ Allows a new column to be forced at a given point.
