Gone are the days of certainty, long
product life cycles and loyal consumers
Co.’s realize that planning demand
and linking supply with demand pays
 Expediting is the
facilitation of the
timely processing and
shipment of material,
equipment, and
supplies ordered by
company for its
clients.
 The word Expediting is
derived from a Latin
word meaning, “to
free one caught by the
foot”.
Clear purpose of creating demand
visibility across the supply chain
Implementation of Lean & Six sigma
for improvement in process
 To establish a world class
Expediting company in O&G,
Power & Infrastructure sector
in India to meet the growing
demand for time bound
delivery.
 Bring value to EPC &
manufacturing customers by
improving OTD (On Time
Delivery) year on year with
continuous improvement in
process.
 Expediting is generally accepted as a cost of
doing business. Many companies struggle to
extract expediting costs from their budget.
But many companies incur huge loss on
account of delay in execution or dispatches.
It also leads to unsatisfied clients & loss of
project.
 To save these unnecessary costs and
minimize potential risks, the supplier and
customer may agree on the use of a third
party expediter.
 Expeditor’s duties start when Procurement awards a
purchase order. They also expedite priority request
when instructed by management.
 Expeditor’s duties end when procurement receives
MRR i.e Material Receiving Report from the final
destination according to set procedures. Final
destination may be a remote project site or a
company warehouse at manufacturing location.
 Expeditor’s Liaison not only with Purchasing but
some times also with Engineering, Inspection,
Accounting, Finance, Warehouse, Logistics & Planning
for forecasting .
 Desk expediting - expediting
done telephonically or by
emails referring to PO details.
It is an important tool for
producing companies to
monitor order progress with
suppliers.
 Field expediting - This gives
clients a comprehensive
review of the exact current
status of their order and an
educated projection of the
future planning and status
 Monitor / resolve any issues with:
– Local: Overage, Shortage and Damages (OS&D – local)
– Transfer: Report of Discrepancy (ROD) - transfer MR
purchased at regional procurement
 Notify Project Manager and any involved persons (such as
end user, buyer or stakeholder) of any delay that can:
– Substantive impact the float time on the delivery date
– incur contractual changes to the project.
 Address any change in prioritization as necessary
 Ensure all expediting documentation and communication is
included in the procurement file
 Assist the warehouse with shipments without packing lists
 Expedite and track material special projects for upper
management & leased equipment on subcontracts for the
end user
 Advise the responsible buyer when the vendor attempt to
change any part of the agreement
 Request verification of delivery times from suppliers
 Comment on supplier performance capabilities and ability to meet
quoted delivery requirements with all necessary documentation
 Monitor / Resolve all Report of Discrepancies (ROD), and Overage
Shortage and Damage (OS & D)
 Initiate contact and maintain contact with the Supplier until final
receipt of material at site
 Confirm all material deliveries are achieved in accordance with
establish schedules
 Provide document support to the Procurement department.
 At different levels of expediting require different skills, specialists and
laboratories, many third party expeditors specialize in only one or several
of these levels, while few offer expediting services on all levels.
 Production control : The expeditor inspects the factory whether the
production is up to the standards of the country the goods are destined
for. They ensure the regular audits for ISO 9001 etc. have been made.
 Quality control: The components are tested whether they function as
required and whether they are made to the measurements and standards
of the customer.
 Packing/transport survey: The goods are only counted and the packing is
controlled whether it will withstand the adversities of transport.
 Project management: The expeditor also keeps an eye on the deadlines
and milestones of the project for critical supplies.
 Expediting reports to purchasing. The argument is that since purchasing
is responsible for supplier performance and has the most clout,
expediting should be a purchasing function.
 Expediting reports to planning/ scheduling. Some companies have
expediting reporting to the planning / scheduling group since they are
responsible for dispatches.
OR
 Expediting outsourced . Many companies have outsourced the expediting
function to third party firms. The key question is whether expediting is a
core competency that must be performed by company personnel? The
expeditor generally needs less training than a buyer or scheduler, so this
function can be outsourced.

 Despite significant developments in the area of
supply chain forecasting as well as IT, most
organizations do a poor job of incorporating demand
uncertainty into their production planning processes.
 Forecasting is an integrated exercise in which all
levels of the supply chain are involved and are willing
to share information which helps in increasing
demand visibility within organizations.
 Forecasting successfully develops cross functional
trust, but also cross-organizational trust with
distributors and suppliers.
 Company should link expeditors forecasting to all
planning activities throughout the supply chain
