SOME OF THE JOB ROLES I PLAY AS AN Executive - Administration
General Administration:
• Responsible for the general administrative activities like courier & dispatch, housekeeping activities, sourcing
of office equipment’s, assigning and renewing the annual maintenance contracts etc.
• Scheduling meeting and arranging logistic / other materials that may be required for the meeting.
• Planning, updating and supervising security services and correcting any shortcoming for smooth functioning.
• Processing vendor bills and releasing payments on time to maintain good vendor relationship.
• Liaison with Electricity Board, BMC , PWD and ensuring compliance to all applicable laws
• Interacting with authorities like Telecommunication, Police Personnel, Land Lords and House Owners for new
branches, Office cum Guest House Accommodations, Formation of Lease Agreements, etc.
• Facilities Management:
Handling complete Facilities & infrastructure set up involving Workstations, Cafeteria, Offices,
Conference and Training Facilities.
Responsible for Employee ID Cards by having a count of number of cards purchased, Issued, Working
condition & Re-issuing of the ID cards.
Ensuring regular supply of drinking water along with Catering and Cafeteria management.
Organizing for Company Events, Hospitality of Clients and Guests, landscape maintenance, transport,
cafeteria, housekeeping, and Security activities in the organization.
2. Transport Function:
• Transport MIS - Analysis on Cabs Utilization, Per person cost, Transport complaints, Cab delay,
Cab on time arrival, Tracking & Scheduling of cabs.
Managing Air Ticketing, Hotel Bookings, Guest House Bookings, and Conference Room
booking for the senior Management / Clients.
Generating Reports and monitoring the payments of BSNL, Mobile, Electricity & Facility bills.
Vendor Management/ Development
Review work and work Contracts/AMC with the contractor in operations such as all Electrical
&Mechanical equipment’s, Housekeeping, Security, Cafeteria, Printing & Stationary,
Electrical/Physical Security and other consumables items
Developing long-term partnerships with suppliers; managing day-to-day supplier performance to
ensure meeting of service, cost, delivery and quality norms.
Negotiation with suppliers for cost effective procurement.
Developing alternate vendor source, appointing new vendors as part of substitution, cost
reduction efforts

Take inventory of rooms required and collect room keys.
Arrange room keys according to the room type ( e.g double, twin , suite )
Handover room keys to the guests on arrival.
Check with the guests if they want to do sightseeing and update the hotel head about the same.
If there are any sightseeing coordinate the payments and transport for the same.
Check the buffet set up. ( Counter , table adequate hotel staff)
Assist the hotel staff in breakfast co-ordination .
Ensure the tourist guide and buses reach the venue before departure.
Assist the bus co-ordinators to ensure that all the buses have their numbers , guides and depart as per
schedule.
Special care to be taken for people travelling on international flights.
