Discover areas for development within
literacy and IT, develop proof-reading skills,
learn how to format a formal letter and begin
to use office equipment appropriately and

• LO 1: Demonstrate IT skills by taking part in the
computer and internet scavenger hunt
• LO 2: Assess own literacy levels and discover areas for
development
• LO 3: Identify further courses to support your
progression in the subject.
• LO 4: State 3 areas that you are able to develop to
become an effective administrator.
• LO 5: Follow instructions to complete proof reading
task – Develop proof-reading skills
• LO 6: Discuss independent learning requirements

Individually, write a brief answer for this question…
1. How does the work of an administrator help a business
achieve its goals?
Peer assess - Swap papers with someone else. Read
their answer and state in writing one thing they did well
and one thing which could be improved (if any)
We will share a few answers.
An administrator is a person who ensures that
an organisation operates efficiently.
Their specific duties depend on the type of
company, organisation, or entity where they
work.
They will generally suggest budget cuts or other
options to maximise profits and minimise costs,
when needed.
Above all, administrators need to be highly
organised and have good communication skills.
Activity 1 - Portfolio Building
Work in pairs to build your portfolios

1. Front cover (Tells you the order of the units)
2. Welcome to your course/Self-Evaluation
3. 3 tracking sheets (in the correct order)
4. 3 units (in the correct order)
5. Notes pages (includes assessment criteria
explained and quiz)

Organisational Procedure

Find a different person to work with – Someone you haven’t
worked with today please
• Identify 3 organisational procedures you may need to follow
when using office equipment in a business environment
• Example; All staff must log on to the computers with their
own username and password
Other examples…
• Check equipment is plugged in before use
• Any faults must be reported
• Telephone – Dial 9 for an outside line
• Select correct budget when prompted for printing (use
scan card)
• Use double sided printing where appropriate (internal)
• Use black and white printing where appropriate
• Check lights & plugs before leaving the building/office
I will provide you with organisational procedures to follow whilst you are on
this course
Formal letter writing
• There is a hand-out available to those
who are unfamiliar with the layout of a
formal letter
• This can be used as a guide to help you
when typing up your own formal letter
• How should a formal letter be written?
Individual activity - follow
instructions (2.1) – Proof-reading
• Bodjit has made some mistakes in the letter. This letter is
going out to customers and is bound to give them an
impression of the company.
• Spend a few minutes reading over the letter and then
begin to make changes to the letter by correcting things
like spelling, grammar and the tone of the letter.
We will compare the changes that people made, as a group
Session 2 - Independent
Learning
• Identify at least 5 different ACTIVITIES that the administrator
may be expected to do in their role and describe how each one
may be done, using your own words.
• Example: (Activity) Answering telephone calls -
(Description) The administrator may get a call from a customer,
their colleague or a manager. This could be an enquiry or an
instruction. They made need to take notes whilst they are on
the telephone to ensure they have the full information. The
administrator would be polite when using the telephone and
clarify what the message is or what they are required to do.

available to you
• Your login is: first initial then surname all lowercase

• These resources will help you to further your knowledge and
improve your skills as an administrator.
Complete your homework using a word document
(Remember about Google offering free software for
Word) and upload it to Moodle – Week 2 Independent

Introduction to Administration - Session 2

  • 3. SESSION AIM Discover areas for development within literacy and IT, develop proof-reading skills, learn how to format a formal letter and begin to use office equipment appropriately and safely. Your AIM = Decide if the Level 1 Business Administration qualification is for you
  • 4. What can we expect in session 2? • LO 1: Demonstrate IT skills by taking part in the computer and internet scavenger hunt • LO 2: Assess own literacy levels and discover areas for development • LO 3: Identify further courses to support your progression in the subject. • LO 4: State 3 areas that you are able to develop to become an effective administrator. • LO 5: Follow instructions to complete proof reading task – Develop proof-reading skills • LO 6: Discuss independent learning requirements

Key terminology: Procedure, formal Key English skills: Following written and verbal instructions to complete tasks, sharing ideas, formal written communication, proof reading Key British Values: Respect – Following group rules to help form mutual respect and comfortable learning environment for everyone. Rule of Law – Confidentiality, Health & Safety at Work Act 1974 and how these relate to the working environment E-Learning: MOODLE for resources, Google for research if needed & Microsoft Word to type letter

  • 8. Group Rules • You created your own group rules last week • These are now at the front of the class – During the course of today have a read through them and keep them in mind when attending sessions
  • 9. Question… Individually, write a brief answer for this question… 1. How does the work of an administrator help a business achieve its goals? Peer assess - Swap papers with someone else. Read their answer and state in writing one thing they did well and one thing which could be improved (if any) We will share a few answers.
  • 10. An administrator is a person who ensures that an organisation operates efficiently. Their specific duties depend on the type of company, organisation, or entity where they work. They will generally suggest budget cuts or other options to maximise profits and minimise costs, when needed. Above all, administrators need to be highly organised and have good communication skills.
  • 11. Activity 1 - Portfolio Building Work in pairs to build your portfolios • You need these in order; 1. Front cover (Tells you the order of the units) 2. Welcome to your course/Self-Evaluation 3. 3 tracking sheets (in the correct order) 4. 3 units (in the correct order) 5. Notes pages (includes assessment criteria explained and quiz) All need to be placed in the plastic file

Independent learning discussion You needed to; • Go online and research 3 different job roles that an administrator could apply for Write down the following; • Website and job title • 3 responsibilities/duties that are part of the job • 3 skills and qualities needed to apply for the role • How many hours you would be expected to work • How much you would earn • How to apply for the role Share some ideas…
  • 13. Activity 2 - Scavenger Hunt Using your learning mat, turn on your computer and begin the scavenger hunt • How did you get on? Maximum 15 minutes
  • 14. Activity 3 - Literacy Assessment 1. Create an account on https://www.learnmyway.com/ and complete the computer based literacy assessment. Write the Level you achieve on your learning mat Print off your results so you can see development areas
  • 15. Activity 4 - Improve your own skills • Independently, state 3 things you can do to improve your own skills for an administration role. • Consider your computer skills self-assessment, literacy assessment and the skills needed to be an administrator
  • 16. Top skills needed for an administrator • Adept in Technology... • Verbal & Written Communication... • Organisation... • Time Management... • Strategic Planning... • Resourcefulness... • Detail-Oriented... • Anticipates Needs.
  • 17. Completing Your Learning Mat • Please look over your learning mat to ensure each section is completed • You will be submitting these today and deciding if you would like to join the Level 1 in Business Administration qualification.
  • 18. Activity – Key equipment • In pairs list key equipment that you are likely to use as an administrator • AIM for 10 (3 mins)
  • 19. Activity – Office hazards Work in pairs but have a copy each • look at the picture • identify as many health and safety hazards you can find in the picture. (3 minutes)
  • 20. Equipment Health & Safety • What do you think this means? • How does this relate to the Business Administration role? • What kind of equipment do you think would need to be checked as part of health & safety? • Discuss this with a partner an write answer for each question
  • 21. Organisational Procedure What does this mean? Organisation = The business Procedure = The correct way of doing something How does this apply to the administration role?
  • 22. Organisational procedures for using equipment – These depend on the business Find a different person to work with – Someone you haven’t worked with today please • Identify 3 organisational procedures you may need to follow when using office equipment in a business environment • Example; All staff must log on to the computers with their own username and password
  • 23. Other examples… • Check equipment is plugged in before use • Any faults must be reported • Telephone – Dial 9 for an outside line • Select correct budget when prompted for printing (use scan card) • Use double sided printing where appropriate (internal) • Use black and white printing where appropriate • Check lights & plugs before leaving the building/office I will provide you with organisational procedures to follow whilst you are on this course
  • 24. Formal letter writing • There is a hand-out available to those who are unfamiliar with the layout of a formal letter • This can be used as a guide to help you when typing up your own formal letter • How should a formal letter be written?
  • 25. Individual activity - follow instructions (2.1) – Proof-reading • Bodjit has made some mistakes in the letter. This letter is going out to customers and is bound to give them an impression of the company. • Spend a few minutes reading over the letter and then begin to make changes to the letter by correcting things like spelling, grammar and the tone of the letter. We will compare the changes that people made, as a group
  • 26. Session 2 - Independent Learning • Identify at least 5 different ACTIVITIES that the administrator may be expected to do in their role and describe how each one may be done, using your own words. • Example: (Activity) Answering telephone calls - (Description) The administrator may get a call from a customer, their colleague or a manager. This could be an enquiry or an instruction. They made need to take notes whilst they are on the telephone to ensure they have the full information. The administrator would be polite when using the telephone and clarify what the message is or what they are required to do.
  • 27. MOODLE • Access Moodle to have a look through some of the resources available to you • Your login is: first initial then surname all lowercase • Password is: Changeme1 • These resources will help you to further your knowledge and improve your skills as an administrator. Complete your homework using a word document (Remember about Google offering free software for Word) and upload it to Moodle – Week 2 Independent Learning

Independent learning - You need to….. • Research (or ask around) about what administrative/reception staff would generally wear to work. • Write some information down about what you/others could do to dress appropriately – Not just about what you should wear When you come in next week (Week 3) you need to dress appropriately for the role of welcoming visitors in a business environment. This will be your dress code for the rest of the course.
