To ensure that all students have the
opportunity to do their best to achieve
their qualification

We needed to ensure that students were
being supported in an effective manner,
with a consistent approach ensuring that
interventions are timely and appropriate.

We needed a system to support this going
forward, providing the right tools for staff to
use (no burdens)

Academic and Support
 Academic Staff (predominantly PATs);

6. Make Use of Data
We make use of data to assist with
monitoring and tracking:
 Attendance System;
 Exam Boards (Degree Results);
 Progression Boards (HN/FE Results);
 3 Year Trend KPI data visibility with an
indicator of the current position

7. Contact
Various methods of contacting students:
 One to one discussion with the PAT;
 One to one discussion with a Student
Services Support Member;
 Text messaging; letters (auto generate)
 Attendance concerns;
 Performance concerns
…..keeping track of our KPIs at the same time!

8. Success
Key to success is the involvement of
teams (academic and support) from
various college areas working
together seamlessly to ensure these
timely interventions are effective.

9. The ‘Assistant’ Tool
 Simple excel spreadsheet (shared spreadsheet);
 One file per sector area;
 One tab per course (max. 12 courses)
 Imported with data from SITS;
 Student names;
 ELS Support is flagged by an ‘*’;
 Care leaver/looked after child is flagged by a 
 Looking at other data that could be shared (e.g.
disability)
 Imported with KPI data
 Interactive as far as indicative KPIs for the current
academic year and visual colour coding
 Insert comments against students
 Curriculum admin team record correspondence
