This document provides an overview of the key stages and best practices for migrating from Box to OneDrive. It discusses:
1) Planning the migration including assessing content, preparing the OneDrive environment, and user onboarding.
2) Remediating content issues during the assessment stage such as file name lengths or blocked file types.
3) Preparing the OneDrive environment including pre-provisioning users.
4) Conducting a pilot migration and then migrating the remainder of content while considering throttling limits.
5) User onboarding including training, communications and handling any downtime during the migration process.

Cloud computing business - Provides file sharing,
collaborating, and other tools for working
with files
Users can determine how their content can be
shared with other users.
Box Sync to automatically synchronize between
your computer and your online folders
Box
Integral part of Office 365 or SharePoint Server
- Provides place in the cloud to store, share, and
sync your work files

same time.
OneDrive
4. Box vs OneDrive – Differences
Box Business Plus OneDrive for Business
Open, Store, Share
• Requires download of additional software to
open, store, and share Office files with desktop
Office applications.
• Requires adding Box as a service to each Office
mobile app to open, store, and share Office
files with Office mobile apps.
• No additional software or authentication
needed to open, store, and share Office files
with Office online, the Office desktop apps,
and Office mobile apps
Collaborate
• Multiple users can simultaneously edit on a
browser Office files stored in Box.
• Multiple users can simultaneously edit Office
files stored in OneDrive, with Office 2016 on
the desktop or Office Online on a browser
Permission Levels
• Co-owner (multiple owners allowed), Editor,
Viewer Uploader, Previewer Uploader, Viewer,
Previewer, Uploader
• Simplified levels - Can view, Can edit
Comments, notes

7. Step #1: Migration Planning
Assessment
Discovery
User
onboarding
• Plan your outcome by performing an assessment of your current source
environment
• The design of the target environment and the mapping between source
and target systems
• The amount of content you migrate. Determine if content is redundant,
out of date, or still relevant
• Build your user onboarding into your upfront planning.
• Communicate early and often with your users about the migration and
how it will impact them.
• Don't wait until the very end to start preparing them for the change
9. Box OneDrive
Folders or file with only one
owner, but more than one
contributor
As the owner, content should be migrated to the user's OneDrive personal library.
Any user who has access to a user's folder will have that folder automatically appear in their Shared
with Me list.
Only one owner, but shared with
a Box group
As the owner, content will be migrated to the user's OneDrive personal library.
The Box group should be converted to a security group.
Email should then be sent to the new security group, where each user can accept the invitation link.
Content will then appear in those users Shared with Me list.
Folders or file with multiple
owners (co-admin in Box)
Content should be migrated to the appropriate shared library.
Any user who has access to the shared library and follows the associated SharePoint team site, will
have the SharePoint team site appear on the left side navigation of OneDrive on the web.
Box folders with contributors
who are external to your
organization
Note: Any content that is shared with a user from another company’s Box instance won’t be
migrated. If the user still wants to retain that content – their Box account will need to remain active.
Shared with Box end user
experience
Only content that has been explicitly shared with a user will appear in their Shared with Me view in
OneDrive.
For content stored in shared libraries: any user who has access to the team site and follows the team
site, will have the team site appear on the left side of their OneDrive view.
10. Step #2: Assess & remediate your content
• Perform an analysis of your
current environment
• Think about how and what Box
features you use in production
• Remediate your content on the
source before beginning your
migration to save time and
effort later.

11. Step #2: Assess & remediate your content
Assess Remediate
File extensions
Find all files extensions
Types of files that cannot be added to a
list or library
• If the blocked file types are scripting files, they are
blocked because scripting capabilities are turned off
by default in OneDrive
• If you want to allow these file types, turn on
scripting capabilities
• Make sure you understand why these files are
blocked by default
File and folder name
characters
• Find all items in the Folders and Files
report whose name contains any of the
characters
• Invalid file names and file types in
OneDrive, OneDrive for Business, and
SharePoint
• Work with your migration vendor to substitute
these characters in all file and folder names.
Note: The # and % characters are supported but not
enabled by default.
12. Step #2: Assess & remediate your content
Assess Remediate
File and folder path
length
• Find all items in the Folders and Files
report whose Path exceeds the file path
length
• Reorganize your file and folder structure such that it
does not exceed this limit.
• Splitting large drives that serve several scenarios
into multiple smaller, more focused drives may help
here.
Large drives and
complex sharing
• Scan for any drives that have a very
large amount of content, or many
different unique sharing permissions –
this is usually a sign that the drive
should be broken down into smaller,
more focused sites.
• Specifically, any drive that has more
than 50,000 documents shared with
different users must be broken up.
• Identify sets of content within these drives that are
conceptually similar (same project area, all shared
with the same users, etc.).
• Move these sets of content out and into new drives
before starting migration.
13. Step #3: Prepare OneDrive environment
Prepare to provision users
through directory
synchronization to Office 365
Pre-provision OneDrive for
users in your organization

14. Step #4: Migrate
Pilot
Migration
Remainder of the
migration
• Select a small set of users.
• The goal of the pilot is to
validate the process, including
performance, user
communication, and to get a
sample of user feedback.
• Follow an incremental migration method,
just like the pilot
• Microsoft recommends a single cutover
event for all users to switch to OneDrive
and disable their Box accounts.
• Box has rate limiting in effect, which may
impact the scheduling of your migration
15. Step #4: Migrate
Migration offerings
Microsoft FastTrack
• Microsoft service included in your
subscription cost that provides you
with a set of best practices, tools,
resources, and experts
• OneDrive onboarding guidance,
migration benefits, and adoption
guidance are included in the benefit
offering
Migration Service Providers
• Use third-party services or
applications to help you execute
your migration.
• Explore the professional services
and applications available from
partners in the Microsoft Partner
Center
16. Step #4: Migrate
Type of Metadata Examples Maximum
Light ISO files, video files 2 TB/day
Medium List items, Office files
(~1.5MB)
1 TB/day
Heavy List items with custom
columns, small files (~50kb)

17. Step #4: Migrate
After migration
Verify that your content has been
successfully moved to OneDrive.
Verify

Step #5: User Onboarding
Reasons for making
the move.
Provide training to
your users on the
features in OneDrive.
Before the cutover, train
your helpdesk in key
features and common
user questions.
Prepare for any possible
downtime the migration
may incur.
To your user base,

of timing, expectations and
impact to the individual.

existing content in
OneDrive is safe and
won’t be overwritten.
