Introduction
The student management system software is developed to simplify daily work and this is a system that
control large amount of students data in a collage or school and institutes. The system provide
capabilities to register students , set up the courses , result of examinations and make assignments also
document student information from the day registered to the day graduated from this school or college .
It used when you have a large number of students and also many functionalities that you do it then its
very difficult do it manually in hands so you need a system to do all the things for you .
In another situation you can set the system up on the server and make it online to register new pupils or
share student researches and make an library .
The system can do many things such as manage faculty , register students and all faculty , make
courses , it has its own library , it can manage time for students and make a time schedule for them ,
manage course payment and manage health and medical information’s of the student .
Advantages
The system has many advantages that shows
1. Reduce time and budget : the best advantage of the system is reduce time and budget because if
you manually do the things that system do you can not or it takes very time and large amount of
budget.
2. Better performance and motivation by students : because its easy and speed students are happy
with the system if you haven’t system students was tired from lose time and they haven’t the
motivation to study and learning .
3. Simplifying and collecting tasks : if you collect all lectures and courses under its subject in the
dashboard and warned student from notification also chat with teacher under chat scope it
makes system simple and collected .
4. Manage timetable : system can help teacher and students to make the courses scheduled and
study the course at its time and finish it also .

5. Easy to access books and papers : if you have the library in the system students mustn’t go to
college then to library its one click to download and use the books in the system library .
6. Safety of information’s : if you save the student data in the paper it must be lost and may be
damaged also you want somewhere to store it in but with the student management system you
can store it on the servers and databases.
7. Attendance management : college make cards for students from the day registered so with
biometric system know that student attends the course or not.
8. Payments : by the system students pay the courses also this function make the process easy .
Disadvantages
1. It needs internet .
2. Has many security issues because of internet.
3. At first takes large amount of many because of buying hardware and software and also to make
system but after some time it comes with benefit not a disadvantage .
4. System need computer skills to use it’s a big problem to pupils or teachers that haven’t
computer skills.
5. The college or school need to training their students teacher …etc. to use system .

What methodology use to make the system ?
In my opinion iterative and incremental development is the most suitable methodology for this system
because with Iterative and incremental development methodology you can make large projects .
During this methodology more than one iteration of the software development cycle may be in progress
at the same time it means you can make student part after that make teacher and faculty also library
…etc.
And a best speciation of methodology is you can make a part then come back to another part it isn’t a
sequential part it’s my choice but we think waterfall model is also a good model to develop this system
there you can develop part after part sequential it is simple not complex such as iterative and
incremental development , In waterfall model we have six phases that comes by sequential that’s mean
you can make the system part after part its easy you are not able to come back to a task that you
developed before .
You can going to collect requirements from the college or institute that you make system for them after
that you are going to design the system by the client then implement the system and develop it , system
was created but it must test before set it up if its good ok or it isn’t good the solve the issues .
After those phases system was being deploy and if it has problems then they are going to solve it .
we think after iterative and incremental development this is another good methodology .

Functional requirements of student management system
1. Add students in register phase and may be in a course .
2. Delete students because of moved from there or death ….etc.
3. Update students information because of a mistake from typing details .
4. Login by teacher and students.
5. Upload lectures and assignments by teacher or admin .
6. View lecture and available courses by pupils .
7. Upload assignment or homework by students.
8. Pay of courses or college payment from the system by students and college pay teacher money
from the system .
9. Display information of students .
10. Searching of information or courses …etc.
Required resources to develop student management system
to develop any system and any project you need to some resources so to develop a system to manage
student we need that resources :-
1. Hardware and software : in this scope also we have some parts :
1.1. We want many computers to use the system with specification of : Ram 512Mb , Processor
Pentium , CPU single core 2.4 GHz , Graphic card intel or Nvidia , Hard drive 5 Gb .
1.2. Also we wand computers to developers with high specification .
1.3. HTML , CSS , JS , PHP …etc. to make website .
1.4. MySQL for database .
1.5. Server : to set up website .
1.6. Internet connection with good speed .
1.7. Web browser to access system .

2. Human resources : the system for humans it’s mean that we want humans to develop and use
the system so we have two type of human resources :
2.1. Developers : all system want developers to build it and we have two types of developers :
2.1.1. Frontend developer : we need them to build user interface of the website they uses
HTML and CSS or other tools and frameworks.
2.1.2. Backend developer : we need them to build website or system functionalities and
make database for it and uses PHP , ASP.net , JS and MySQL for its database .
2.2. Users : systems were created to use so if we haven’t user it means we haven’t do anything ,
the student management system users are students , teachers , admins , leaders …etc.
3. Budget : if you going to buy an apple you need money then this big system not be build free and
no one can build it with nothing and lose his time to build something free . so this system need a
big budget and this budget are going to some parts :
3.1. Hardware and software takes a large money because the system is big and you need many
computers with different specification also you need best software , antiviruses and security
applications for your system and its website .
3.2. Developers that’s work with you need money because they have a job in your college or
school . Admins also need money because they are manage the all system .
3.3. Also internet need money because your system uses internet.
4. Electric : all things we described nothing without electric , we want electric for computers and
internet also .

The system example in Kurdistan
in Kurdistan we have many systems like this approximately all colleges and institutes have a system
like this or smaller than this system . in this part I will describe soran university portal (LMS) that is a
perfect system and best in Kurdistan because of all of requirements of a student management system is
in it . soran university LMS can do many things that we can describe :
1. Student and teacher registration all of them are registered and collected under their classes and
no one of teacher or students can see their things in the LMS.
2. Courses are uploaded by teachers and admins after studying the subject in online class or in
campus the teachers are going to upload their lectures and videos .
3. Admins help users of the system in the help desk section from the LMS or from social media
the make social media accounts only for helping users and all of this works is going to be
system documentation .
4. Attendance : students can see that they attend lectures or they are absent.
5. Assignments and homework’s : teachers upload the assignments and HomeWorks in the LMS
and students solve it and send back to teachers from LMS by add submission .
6. Exam : in this situation in Kurdistan and world all because of corona virus we can not going to
college comps then we have exams and reports from our LMS that teacher or admins give us
the exam questions and also give as a deadline to send it back to them all of that in the system .
7. Results : in a developed countries results going to be online because pupils may be not in the
geographic area that college there so our university going to give us results from the system
website (LMS).
The system have many other capabilities that make it the best Student management system in the
Kurdistan.
