A HOSTEL MANAGEMENT SYSTEM
FOR
BST COLLEGE
PREPARED BY:
RACHANA ADHIKARI
EXAM ROLL NO:8564/18
UNDER THE SUPERVISION OF
MR.CHAKRA NARAYAN RAWAL
ASIAN SCHOOL OF MANAGEMENT & TECHNLOGY
BACKGROUND OF THE STUDY
• Hostel Management System for BST college
• Run through web browser
• Secure storing of data
Introduction
 HOSTEL MANAGEMENT SYSTEM keeps details of the hostellers where large
number of students are accommodate in hostel.
 The aims of system is to reduce manual process.
 This system ensure data security .
 In this system ,admin could add student, roomand course detail and also new
student could register.
Introduction to Organization
 BST college has been in operation since 2048 B.S.
 It located in Gongabu , Kathmandu, Nepal.
Problem Statement
 The organization has not been able to stored record of student in a systematic
way.
 There were numerous issues, including security, calculation errors, storage
location, record backup.
 Using a register to manage all of the information of the numerous people living
in a hostel is difficult.
Objective of Study
 To analyze the current system in order to improve in system designs and
functionalities.
 To create a computerized system for handling hostel records.
 To increase efficiency and improve services to hosteller.
 To allow hostel secretary to calculate hostel fee and hostellers can check the
status of every month's hostel fee.
Project Framework
Project Initiation
I recognized the organization's concerns and problems in this phase and offered
recommendations about their issues.
Project planning
Various planning efforts have been carried out during this time.
Project Execution
To produce the project requirement in this phase, I finished the development tasks listed in
the planning phase.
Project Closure
In this step, I formally closed my project and reported its overall success, findings, project-
related lessons learned, and plan.
Methodology
 Primary Source:
Direct Interview
This research is based on an interview taken in BST college (Gongabu,
Kathmandu, Nepal).
A direct personal interview with Debendra Prasad Hadakhale was
done .
Literature Review
 While doing this hostel management system, other existing systems were referred
in order to gain some idea , the first project suggested was myclasscampus.com's
school hostel administration system. This system is in charge of all aspects of the
hostel, including fee management, online registration, and booking.
 Similarly, another system was higher-education-erp/hostel-management, which
provides primarily as a one-stop-solution for higher education institutions,
keeping in mind all of the hostel management problems of student. It streamlines
and automates all day-to-day hostel activities, from student registration to
allocating rooms and mess, monitoring student count records, and ins-and-outs
of students.
 Manual hostel management system is a very tedious process, this is because it
involves work load and time comsumption. This new system is to create an easy
way to manage the hostel details, room details, student records, mess
expenditure, easy way of room allocation and hostel attendance. Thus a lot of
repetition can be easily evaded which has reduced the data redundancy. (M
Deepika, A. Chitra 2010)
Feasibility Study
1)Technical Feasibility
• It studies if the technical resources are capable of converting the ideas into working
system.
• Evaluate hardware and software requirement of proposed system.
2) Operational Feasibility
• It is a measure of how people feel about the system/project.
• It measures the urgency of the problem or acceptability of a solution.
3) Economical Feasibility
• Economical Feasibility deals about the economical impact faced by the organization to
implement a new system.
Requirement Analysis
 Functional Requirements
 Admin can create and update a database that hold student records and other
pertinent information.
 Admin have permission of renewing the students registration every year.
 Student can visit the site and register for admission in hostel.
Use-Case Diagram
Non-Functional Requirement
 Application user interface should be easy and intuitive.
 The system should maintain the secrecy of user login information.
 Unauthorized access must be prohibited.
 There must be control on who can access and edit the data.
 The system must be operable from all currently used android versions.
System Design
 Systems design is the process of defining the architecture, modules,
interfaces, and data for a system to satisfy specified requirements.
 Systems design could be seen as the application of systems theory to
organization development.

Implementation Tools and Technology
 XAMPP
 Sublime Text
 Web Browser
 Java Script
 HTML
 CSS
 Bootstrap
 PHP
 MySQl
Test case
Conclusion
Digitization of method of storing data.
It increases problem solving skills.
It increase exploration and idea generation skill.
It helps to understand how tasks are performed in real working environment.
Future Enhancement
Some of the future enhancements of this project are:
 More secure login system with 2 factor authentication.
 Making database strong so that no manipulation can be made from unauthorized
access.
 Storing data in a secured and encrypted way.
 Online payment and bill function can be added.
