Introduction
 Hostel Management System (HMS) is web-based system for managing various activities in the hostel
 It helps in avoiding the problems which occur when carried out manually
 It improves the efficiency of the system
 HMS is supposed to have the following features –
 Handle the activities of admin, warden, and inmate
 Ability to manage application, admission, out pass, room shuffling, student vacation and
report generation
Background and Motivation
As a Student, I can well understand the problems which are we face daily in our life. Actually, I have
got many things in my mind about Final project system. And finally, I have planned to do a system
for applying online hostel registration, bill payment method, maintain student details, visitor details,
employees detail and more facilities without any problems for Hostel Management.
I was thinking about final project as few days that what to do for final project. At last of past week
Decided to develop a system for Hostel management which is more usable thing at the current
situation for our Hostel Students.
When I have discussed with my Warden also they have allowed and encouraged me to develop this
good system for good purpose of students to save their time and money because they said, usually
this activity being as a time consuming for students because they have to get renewal or registration
or hostel fees payment form, fill it up, get sign from warden and Director. So, this procedure taking
more than two days.
Problem in Brief
In current scenario all the details related to people living in hostels are managed by humans
manually and by the help of pen and paper. Everything is so complex because it is not easy to
handle all the information of the various people living in a hostel by the help of registers.
Project Objectives
 Maintain the students as hostellers and waiting list students separately
 Student will no longer apply for their hostels manually.
 The warden can see and access the student’s data.
 To know number of items (e.g.: bed, chairs) given to student staying in the hostel.
 Process allotment list.
 Admin can send the approval notification to every approved student via email.
 Automatically insert student’s details to the hosteller’s record when the allotment is confirmed
by the admin and deleted when vacation is conformed or after the course end date.
 Students can register their complaints.
 Admin can edit notice board and each student can view it.
 Hostel secretary can calculate hostel fee including mess fees and can edit mess menu
 Hostellers can check the status of every month’s hostel fee
Existing System
 The existing system is a manually maintained system
 It involves hand-written records stored into various registers
 Requires a lot of time as well as manpower
 It is very difficult to maintain or update all the records and retrieve a certain data
 The loss or damage of any of the registers leads to the damage of hundreds of records at a time
 Reports need to be generated manually
Proposed System
The proposed system is having many advantages over the existing system.
ADVANTAGES OF PROPOSED SYSTEM
 Less human error
 Strength and strain of manual labor can be reduced
 High security
 Data redundancy can be avoided to some extent
 Data consistency
 Easy to handle
 Easy data updating
 Easy record keeping
 Backup data can be easily generated
Aim
The Project is “Hostel Management System”. will be an web based system that will be used
for maintaining the records in an organized manner and to replace old paper work system. This
project aims at automating the hostel management for smooth working of the hostel by
automating almost all the activities. Updates and modifications will be easily achievable and
all the calculations and accounting work would be accurate.
Resource Requirement
I Have needed some Hardware things to do this project
I. An Online host with the following Features
a. RAM 4GB
b. Hard disk space (30 GB).
c. Unlimited and bandwidth
And also, I have needed some software to do this system
efficiently
1. PHP, HTML, JQUERY, JavaScript and CSS.
2. Online Host (Cloud Storage).
3. Database Software (MySQL).
4. Domain Name.
Suggested Starting Point
 As first step I’m going to collect requirements from My Hardy ATI Girls Hostel.
 And also, I’m going to collect data from warden about other’s procedure.
 From those beginning points I’m going to start my project.
