CREDENTIALS
We Are Following
Converting a dream, a vision or a need into reality, that is what we all do
Don't you think its great job that we do!!
Project is -
- A job that has beginning and end time(Time)
- A specified outcome(Scope)
- A stated level of Performance(Quality)
- At a budget(Costs)
Everyone was developing, no one was managing which resulted in:
• Undefined Deadlines
• Decision line was broken
• Milestone structure was hampered
• Developers were not able to concentrate
• Hampered company's revenue
Past Approach in Syscraft
Challenges we faced in absence of PM!
Generalization to Expertise
Now Syscraft has Increased skills and team size to work on multiple
projects simultaneously :)
Various Stages of a Project
How various stages look like in Syscraft!
Presales, 24-48 hrs.
Sales
Signoff
Production
Release/Handoff/
Closure
Post Sales
Maintenance/service
check
Sales Team & Client
Technical In-house team & PM
Sales Team
PM TeamPM Team Connecting Client and BD team
with QA & Production
Now who do we need to execute a
working project in various stages ??
Who can synchronize all the departments
and keep them connected ??
Its Project Manager !!
But how PM is Perceived ??
My project manager
is not technical. He won't
ever understand my
challenges
He just pass on the work
and disappears for the
rest of the day
My Project Manager
takes up all the credit Always finds
a reason to complain
He gives me too
much of work
load.
Meetings &
only meetings :(
But PM is Actually.. Responsible for
PM Responsible for
Integration

Change
Challenges at the Documentation level
1) Strong Project scope documents and SRS documents
2) Clearly defined milestones
3) Documented client details
4) Documented Handover
Challenges at the Communication Level
1) Verbal Communication should be avoided
2) Client feedback should be documented instead of
verbally communicated
3) There is no point of writing emails unless and until we
read it
Example of Communication gap
Challenges we face
Timelines
No details on

Benchmarks
Don't Forget !!!
We are a TEAM,
For all the credits..
and For all the
Loss!
SO WHAT IS THE SOLUTION for these
challenges ???
MBO- Management By Objectives
Objective:Objective: Deliver Quality on Time (DQT)
DQT meansDQT means Happy customer >> Repeated Order >> More referral
KPI:KPI:
RequirementsRequirements
Industry StandardsIndustry Standards
Internal QAInternal QA
Client FeedbackClient Feedback
Our Agenda
Deliver Quality Services/Products on Time within defined Cost
Meeting the above KPI's would result in Happy customer and hence return business and
More sales
To meet the above KPI's we need to make our following areas strong:
1) Presales
2) Sales
3) Handoff
4) Task breakdown
5) Project Plans
6) Strong QA
Management by Objectives is to cut down
the larger task into smaller ones so they
can be managed and worked out easily to
achieve the target goal.
Utility of PM here comes to manage the
smaller task within team
What is MBO and Utility for PM
Achieving smaller goals step by
step helps to get on the Target
Goal !!
Work Breakdown plays major role in setting
Objectives
Example : Getting a project with 500 hours of
estimate will be tough one to complete isn't it???
but if we cut it down in modules and task are
divided for today and tomorrow that would be
helpful to achieve entire Goal. So main objective
will be complete the assignments
Project Management is the discipline of planning, Organizing
and Managing resources to bring about the successful
completion of Project Goals
What is Project Management??
Primary Objectives For PM
•Deliver project objectives within time, resource and
budget constraints.
•Identify and clear project issues.
•Identify innovative solutions and approaches.
•Lead teams to motive and energize talent.
•Sustain a sense of urgency around project critical paths
and issues.
•Generate awareness of projects
•Implement strategies to achieve project objectives.
•Deliver to commitments.
Scope Management
•Determine project approaches.
•Define client needs.
•Identify project objectives and benefits.
•Subdivide a large project scope into into manageable
project phases or subprojects.
•Develop work breakdown structures and define tasks,
components and dependencies.
•Define project roles and responsibilities.
•Define project tasks and deliverables.
•Develop time, cost and resource estimates.
•Ensure that project activities are aligned with client
objectives.
Time Management
•Prepare a baseline project schedule.
•Estimate effort and time.
•Identify resource requirements.
•Schedule project work, gates and milestones.
•Calculate probabilities of meeting project dates.
•Control project schedule.
•Control scope changes and impact to schedule.
•Manage change and revise schedule as required.
•Manage resource utilization.
Cost Management
•Manage budget approvals.
•Control project budget.
•Manage project cash flow.
•Assess impact of scope changes to budget.
•Control changes to project budget.
•Calculate probabilities of cost variances.
•Account for costs by task, time period and cost
account.
•Report cost performance using methods such as
earned value.
•Communicate costs and manage stakeholder cost
expectations.
Quality Management
•Identify quality control standards
•Ensure project complies with quality control
standards.
•Develop a quality management plan.
•Manage quality assurance and Meet Industry
Standards
•Measure and report quality of project deliverables.
Risk Management
•Identify risks with stakeholders.
•Compare identified risks with lists of well known project risks to
ensure completeness.
•Evaluate risk probabilities and impacts.
•Evaluate risk interactions and assess possible risk outcomes.
•Prioritize risks based on probability, impact and stakeholder
priorities.
•Identify risk controls.
Ideal Project Methodologies
IT project management methodologies are all about
specifying the best way to initiate, plan and execute
IT projects.
- Waterfall Methodology
- Agile Methodology
The waterfall model
The waterfall model is a sequential design
process, used in software development processes,
in which progress is seen as flowing steadily
downwards (like a waterfall) through different
phases.
It includes:
- Conception,
- Initiation,
- Analysis,
- Design,
- Construction,
- Testing,
- Production/Implementation and Maintenance.
The waterfall model
One of the main ideas of Waterfall is that by investing time in the early
stages of a project to ensure the proper design and requirements have
been met ultimately saves significant time and effort correcting
problems later on.
This is accomplished by ensuring that one phase of a project is 100-
percent successfully completed before moving onto the next phase.
Agile Methodology
Agile methodology is described as
“iterative” and “incremental.”
It involves regular cadences of work, known as
Sprints or iterations.
Comparison:
In waterfall, development teams only have one
chance to get each aspect of a project right.
In an agile paradigm, every aspect of
development — requirements, design, etc. —
is continually revisited.
Agile Methodology
Agile development provides opportunities to assess the direction throughout the
development lifecycle.
This is achieved through regular cadences of work, known as Sprints or iterations, at
the end of which teams must present a potentially shippable product increment. By
focusing on the repetition of abbreviated work cycles as well as the functional
product they yield, agile methodology is described as “iterative” and “incremental

Time Management •Prepare a baseline project schedule. •Estimate effort and time. •Identify resource requirements. •Schedule project work, gates and milestones. •Calculate probabilities of meeting project dates. •Control project schedule. •Control scope changes and impact to schedule. •Manage change and revise schedule as required. •Manage resource utilization.
  • 31. Cost Management •Manage budget approvals. •Control project budget. •Manage project cash flow. •Assess impact of scope changes to budget. •Control changes to project budget. •Calculate probabilities of cost variances. •Account for costs by task, time period and cost account. •Report cost performance using methods such as earned value. •Communicate costs and manage stakeholder cost expectations.
  • 32. Quality Management •Identify quality control standards •Ensure project complies with quality control standards. •Develop a quality management plan. •Manage quality assurance and Meet Industry Standards •Measure and report quality of project deliverables.
  • 33. Risk Management •Identify risks with stakeholders. •Compare identified risks with lists of well known project risks to ensure completeness. •Evaluate risk probabilities and impacts. •Evaluate risk interactions and assess possible risk outcomes. •Prioritize risks based on probability, impact and stakeholder priorities. •Identify risk controls.
  • 34. Ideal Project Methodologies IT project management methodologies are all about specifying the best way to initiate, plan and execute IT projects. - Waterfall Methodology - Agile Methodology
  • 35. The waterfall model The waterfall model is a sequential design process, used in software development processes, in which progress is seen as flowing steadily downwards (like a waterfall) through different phases. It includes: - Conception, - Initiation, - Analysis, - Design, - Construction, - Testing, - Production/Implementation and Maintenance.
  • 36. The waterfall model One of the main ideas of Waterfall is that by investing time in the early stages of a project to ensure the proper design and requirements have been met ultimately saves significant time and effort correcting problems later on. This is accomplished by ensuring that one phase of a project is 100- percent successfully completed before moving onto the next phase.
  • 37. Agile Methodology Agile methodology is described as “iterative” and “incremental.” It involves regular cadences of work, known as Sprints or iterations. Comparison: In waterfall, development teams only have one chance to get each aspect of a project right. In an agile paradigm, every aspect of development — requirements, design, etc. — is continually revisited.
  • 38. Agile Methodology Agile development provides opportunities to assess the direction throughout the development lifecycle. This is achieved through regular cadences of work, known as Sprints or iterations, at the end of which teams must present a potentially shippable product increment. By focusing on the repetition of abbreviated work cycles as well as the functional product they yield, agile methodology is described as “iterative” and “incremental
