What is most important when implementing and optimising an intranet or digital workplace? How do you make sure, as a project group, intranet manager or owner, that you’re doing the right things… and doing things right? How do you get all stakeholders in your organisation on the same page? And which practical guidelines are there to improve content, adoption, and business processes?
I talked about how a shared focus on the digital employee experience (DEX) helps Comms, IT, HR, business teams, and potential partners to create a strategy and roadmap for the digital workplace. About how you then shape it in such a way that colleagues can work and collaborate more efficiently and effectively, and spend their time and attention with customers, citizens, tenants, students, guests, and so on. With better service and happier employees as results.
The model that I use, combines multiple perspectives on digital employee experience, and encompasses various ‘tracks’ for a DEX approach. These include UX, content, technology, adoption, and governance. For each of these tracks, Christiaan shares practical examples from Dutch and Belgian (international) organisations, and advise that you can get started with right away.

Grip op Microsoft 365 - Hét Nationaal Intranetsymposium 2020Christiaan Lustig
Microsoft Office 365 is een verzameling online diensten zoals Teams, SharePoint, Yammer en Outlook. Als jouw organisatie deze diensten nog niet gebruikt, dan wordt er vast gewerkt aan de invoering hiervan. Want Office 365 – of Microsoft 365, zoals het sinds kort heet – heeft de laatste jaren een hoge vlucht genomen.
Office 365 mag dan een groot succes zijn, op het gebied van gebruiksvriendelijkheid valt er wel wat op aan te merken. Sommige diensten zijn redelijk intuïtief en gemakkelijk in gebruik, maar voor andere geldt dat zeker niet. Ook pakt Microsoft de productontwikkeling niet altijd aan zoals je dat misschien zou verwachten. Medewerkers die gewend zijn aan het gebruik van een bepaalde tool constateren soms dat een die er ineens anders uitziet. Met als gevolg dat ze de weg ineens kwijt zijn. Ook de samenhang tussen de diensten is niet altijd optimaal.
In deze sessie ging ik hierop in. Ook legde ik de relatie met intranet en de digital workplace. En ik gaf handvatten om grip te krijgen op deze softwaresuite en om aan de hand van digital employee experience (#DEX) na te denken over het gebruik van Microsoft Office 365.
Het intranet kennen we als centrale plek voor nieuws, naslag en sociaal contact. Ook dient intranet vaak als toegangspoort tot een reeks aan digitale systemen waaronder e-mail, Zoom, de personeelsadministratie en andere tools. Maar hoe verhouden al die applicaties zich tot elkaar? Hoe ervaren medewerkers het gebruik ervan? En hoe zorg je dat je ze ook op langere termijn blijft passen bij wat collega’s nodig hebben?
Hier komt digital employee experience (#DEX) om de hoek kijken. #DEX staat voor het totaal aan digitale interacties in de werkomgeving. Tegelijk is het een manier van kijken naar digitaal (samen)werken en de impact daarvan op mensen en organisaties. Het biedt een raamwerk om intranet en digital workplace te benaderen. En om te toetsen hoe goed je digitale werkomgeving is en hoe je die steeds verder verbetert.
Het begrip digital employee experience werd in 2018 geïntroduceerd en krijgt in Nederland en andere landen steeds meer voet aan de grond. In deze presentatie legt Christiaan Lustig, consultant en oprichter van Brayton House uit hoe #DEX je helpt om een je intranet- en digital workplace-strategie te verdiepen. Elke website en elk intranet heeft een handvol dingen waar het overgrote deel van de klanten, huurders, relaties, burgers of medewerkers voor komt. Dit worden wel de toptaken genoemd. Uit onderzoek blijkt telkens weer dat vier tot zes taken maar liefst 25 procent van de stemmen krijgen. Tegenover veertig tot zestig laag scorende taken met ongeveer evenveel stemmen. I believe there is no single mobile context. However, top tasks research for one of the four major University Medical Centres in the Netherlands showed that that people who visit the hospital’s site from their home, office or medical practice, have different top tasks compared to people who are either on their way to or in the hospital for an appointment or visit.
Top tasks being different from one context to the other not only demands a mobile or location-optimised (responsive) site, but it also warrants context-specific or responsive content. Content that may not only shift or change priority, based on (mobile or other) context, but perhaps to even change altogether.

As online professionals you want to break down organisational silos. But it’s not going to work. Not if you keep talking about “content”, and keep mistaking “strategy” for tactics and operations. Besides, if you did succeed, you’d end up with one big, inflexible and non-scalable silo.
Organisational processes are there for good reasons, anyway. But still, more often than not they get in the way of your customers. That’s why your organisation — be it commercial, government or non-profit — should rigorously prioritise your customer’s process over your own. But how?
Identify what your customer’s top tasks are, and continuously optimise their related (online and offline) processes. This enables cross-silo teams to work on a common goal, resulting in better products and services, happier customers, and higher revenues and/or lower costs.
