Customised Summary Reports – Design & Content
The following information has been produced to provide additional information to
clients about the production of customised reports following the capture of survey
data.

Clients commonly request to see examples of previous reports produced which is not
possible as customised reports are all different and are created for each individual
client.


These slides have been produced to help clients understand the considerations
associated with producing Summary Results reports and to provide examples of the
look and feel of report content.

Customised Summary Reports – Consolidating Data
When producing Summary Results reports it is helpful to consolidate data into a format
that is manageable and one that provides the report reader with good visual
representation of performance. To do this we use the ‘Percentage Positive’ Score.

Survey questions commonly require the participant to select one answer from a pre-
defined list of 5 options – strongly agree through to strongly disagree

The Percentage Positive Score is calculated as the % of total responses that select
either Strongly Agree or Agree to each relevant survey question.

      Strongly Agree                       % of total responses that selected either Strongly Agree
      Agree                                or Agree = Percentage Positive Score

      Neither Agree nor Disagree
      Disagree
      Strongly Disagree

The Percentage Positive Score introduces an individual (single) score for each question
which places more emphasis on reporting/highlighting positive outcomes rather than
an ‘average score’.

Example contents for a Summary Results Report
Content of reports will vary dependant on client demand however there are some
common/typical types of data and narrative included in Summary Results Reports.

We recommend that a Summary Report has approx 10-15 pages/slides. This allows
scope to cover credible content and prevents the reader being buried in detail.

Below we have an example ‘Contents Page’ for a Summary Report:

   Strengths & Weaknesses Summary
   Summary Survey Data (6-10 slides/pages)
   Themes from ‘Free Text Questions’
   Action Plan

Design and Content Examples
The next 4 slides provide examples of how data from individual or groups of survey
questions can be presented. All result and demographic used is ‘dummy data’.

In the examples provided we have shows results for - All, Dept A and Dept B. These
categories can be changed to show a range of comparable data. For example:

Periods of Time:             Q1/Q2/Q3 or 2008/2009/2010 or Jan/Feb/Mar etc
Geographical :               NSW/VIC/SA or ANZ/Asia/India etc
Demographic:                 gender or length of service or role type


Insight Comments are optional and are provided to draw the attention of the reader
to specific results, trends of themes.

Page 8 provides an example of how feedback captured through ‘Open’ or ‘Free Text’
questions can be analysed and grouped into commonly referenced themes.

Survey questions commonly require the participant to select one answer from a pre- defined list of 5 options – strongly agree through to strongly disagree The Percentage Positive Score is calculated as the % of total responses that select either Strongly Agree or Agree to each relevant survey question. Strongly Agree % of total responses that selected either Strongly Agree Agree or Agree = Percentage Positive Score Neither Agree nor Disagree Disagree Strongly Disagree The Percentage Positive Score introduces an individual (single) score for each question which places more emphasis on reporting/highlighting positive outcomes rather than an ‘average score’. 2

Example contents for a Summary Results Report Content of reports will vary dependant on client demand however there are some common/typical types of data and narrative included in Summary Results Reports. We recommend that a Summary Report has approx 10-15 pages/slides. This allows scope to cover credible content and prevents the reader being buried in detail.   • 4. Design and Content Examples The next 4 slides provide examples of how data from individual or groups of survey questions can be presented. All result and demographic used is ‘dummy data’. In the examples provided we have shows results for - All, Dept A and Dept B. These categories can be changed to show a range of comparable data. For example: Periods of Time: Q1/Q2/Q3 or 2008/2009/2010 or Jan/Feb/Mar etc Geographical : NSW/VIC/SA or ANZ/Asia/India etc Demographic: gender or length of service or role type Insight Comments are optional and are provided to draw the attention of the reader to specific results, trends of themes. Page 8 provides an example of how feedback captured through ‘Open’ or ‘Free Text’ questions can be analysed and grouped into commonly referenced themes. 4
