Editor's Notes

  • #6 Ineffective print & document management does impact your business. It can potentially be a costly affair and affects staff’s productivity. With an unmanaged environment, it also tax on your support staffs to provide the necessary IT support service. With higher level of waste printing, and unmanaged device purchases, it also contributes to higher level of CO2 emission which affects the earth that we are living in.
  • #7 This is also aligned with the business concerns that we gather from our years of experience in the print & imaging industry. From C-level executives concerns with business innovation and collaborative workflow, to the need for improving cash flows and the desire for more business analytic & intelligence to further enhance the efficiency of daily information management. On the ground level, we have also been hearing the need for better workflow automation for greater productivity levels. and IT supports staffs concerns with the high level of print related helpdesk calls resulting lesser time for more critical IT projects.
  • #8 So, wouldn’t it be great if you can improve your bottom line, enhance information workflow and have more effective level of service for print & document related management? On top of that, contribute to saving our environment by reducing wastages and co2 emission.
  • #9 Using a proven 5-phases approach that has helped many of out customer worldwide achieve their objectives of savings and workflow efficiency, with high level of service commitment.
  • #12 Let us partner you in developing a print strategy for your business.
  • #13 Firstly, as part of our best practice approach, we would advise that you put a halt to further adhoc equipment purchase. Many a times, it results in high cost of maintenance, both tangible and intangible cost as we have seen earlier on.
  • #14 Instead, look into the number, and types of printing assets that you have. What’s the average print volume? What is the mono output vscolour output ratio? As this is an area of high cost.Is there a high level of single function device? How do you manage your consumables and support service? And importantly, look into the total cost of ownership. Taking into account both the tangible monthly cost as well as the intangible cost such as waste printing, administrative cost for procurement related paperwork or support services. You will be surprise more often than not, the cost can be enormously high.
  • #15 From understanding your current TCO, look into ways of outsourcing your print management. Not only can you have more time & effort to put the focus back onto your core business activities, you can achieve high level of cost savings as well.
  • #17 Determine the right level of device consolidation, device mix and redeployment of resources.Determine the correct mix of cost savings and employee productivityLook into governance & policies for better control of print device placement, print usage and reduce waste printing
  • #19 As with any project implementation, to facilitate the adoption of the new concept, new way of operating business or new system, it is important to manage the change well. If staffs are reluctant to adopt the new system, it also means that the expected business objectives may not be met. Hence, an important part of the print strategy would be to engage and educate the staffs – to prepare them for the new system or workflow, familiarize them and let them understand how such transformation helps them enhance their level of work. Greater adoption rate would mean faster achievement of the MDS project objectives and ROI. Some of the ways we champion the change process are – trainings, change posters, workshops etc.
  • #25  Cost Saving Higher productivity Greater workflow integration & efficiency through a single point of contact Saving the environment
