Improving Quality & Strengthening Hospital’s Efficiency
Through Identification and Implementation
Healthcare organizations of all sizes face a critical need to manage
and integrate clinical, financial and operational information.
Workflow deficiencies & inconsistencies, and/or lack of proper
training, improper coding & billing, late billing, loss of super-bills, &
patient attendance records, these all account for medical facilities
losing billions in revenues.
Allen Medical Hospital Management Program offers a complete,
modular, and agile hospital information solution that is flexible,
affordable, and intuitive.
This program was Developed collaboratively with clinicians,
specialists, information technologists, and our existing key customers.
The solution has been developed from the ground up with a key
focus of meeting the needs of healthcare professionals, while
minimizing the costs and resources required for running global
healthcare organizations.
Allen Medical International Hospital Management solution delivers a
hospital administrative and management system that integrates with
a web based, modular that is scalable and tightly integrated. It is built
around the core functions supporting hospital administration,
financials, and patient management. Our modular approach allows
the adding-on of other supported clinical and ancillary solutions that
allow us to customize a system to meet your complete health
information system and budgetary requirements. It also allows your
organization to achieve requirements for an electronic health record,
patient safety, revenue cycle management and more.
PROGRAM INCLUDES
Integration of hospital information management systems to
facilitate better care delivery
We help your organization with seamless flow of data between disparate systems
and business units so that the enterprise at both macroscopic and microscopic levels
can deliver better care and enhanced satisfaction to patients, care providers and
also the attendants.
Enhance operational efficiencies
By integrating and streamlining your hospital workflow, it allows you to increase
patient volumes without increasing staff. Automation of administrative tasks reduces
errors and increases productivity at all levels.
Improve costs control
With more accurate capture and reporting of business data, hospital KPI’s can be
analyzed to avoid duplications, reduce cycle times and maximize the throughput of
the hospital supply chain. All this leads to improvements in cost control.
Make better decisions
It helps as a management information system for the hospital authorities to develop
comprehensive health care policies.
Improve the quality of care and patient experience
By providing clinicians with a single, holistic view of a patient’s medical information
and clinical decision support, it enables informed decision making and improved
patient care.

Integrated Electronic Medical Records
x Patient Demographics – An EMR system that automates capturing of patient
details, enabling the medical staff user to enter and make changes to personal
details like name, date of birth, national insurance number/social security
number along with demographic details like the address, insurance, pharmacy
and guarantor details of a patient. Audit trails for each update is maintained for
traceability and accountability.
x Clinical Summary – An EMR system that aggregates a patient’s entire medical
history and summarizes the information on a single screen for effective decision
making by the clinician. Patient data includes medications, allergies, problems,
procedures, tests and meaningful use data. The Clinical summary screen is also
customizable to the requirements of the clinicians.
x Reminders and Alerts – The EMR is built to improve clinician productivity and
assist in the care of patients. Using intelligent rules based workflow engine, alerts
and reminders are automatically generated to assist staff on the important tasks
of follow-up care.
x Patient Education and Goal Monitoring – The EMR provides tools for monitoring
patient progress, educating patients and promoting healthy outcomes. This
health educational information is accessible through the clinician’s desktop view
or within each patient chart and can be delivered to patients through the web,
mobile devices, email or SMS.
x Integration – The EMR Solution is interoperable with other third party practice
management or hospital information systems using healthcare standards like
HL7, HIPAA, LOINC, ICD10 and CPT code.
x Referral Management – The EMR streamlines the process of incoming and
outgoing patient referrals, as well as the exchange of documents and
communication by efficiently managing the workflow of a patient referral,
giving clinicians a single, composite view of relevant information, regardless of
the information’s source.
x Medical Coding – The EMR provides easy-to-use, integrated lookup screens to let
clinicians search electronically by medical code or description. Most frequently-used
medical codes can be stored as favorites to facilitate future searches.
x Electronic Immunizations – The EMR provides the capability of electronically
sending immunization information to your state’s immunization registry in order to
meet federal requirements.
x E-prescribing – The EMR allows prescriptions to be developed and transmitted
electronically to pharmacies. Our EMR solution also checks conflicts and
interactions, including drug-to-allergy, drug-to-drug, drug-to-pregnancy, drug-to-
pediatric, drug-to-geriatric, drug-to-lactation, drug-to-disease, drug-to-side
effect and drug-to-duplicate therapy. Drug orders are generated based on
patient parameters such as age, weight, renal and hepatic impairment, thereby
reducing lists of candidate drugs to a minimum.
x Reports & Executive Dashboard – Our EMR comes bundled with a standard set of
reports to support the administrative requirements of practice. Executive
dashboard allows you to take a real-time snapshot of your business at any point
in time.
x Computerized Provider Order Entry (CPOE) – Our EMR supports the electronic
entry of the clinician’s instructions for the treatment of patients under his/her
care. These orders are transmitted electronically to other medical staff, or to
other departments (e.g. laboratory, radiology or pharmacy) responsible for the
fulfillment of the orders.
x Medication Administration – The EMR provides medication administration feature
designed to improve patient safety and drastically reduce the amount of time
spent on documentation. Clinicians can easily document medication
administrations, vital signs and other observations. Clinicians are alerted of any
active alerts and allergies for the patient. These alerts are highlighted and
displayed in the patient banner. Clinicians are also well supported with the
therapeutic information for the drugs that needs to be administered. This feature
streamlines medication administration with the capability to read the drug
barcode label and reconcile that information to the patient’s medication
record. This feature prevents errors and supports the patient’s rights (right
patient, right drug, right dose, right route, and right time). Using a barcode
reader to document administrations saves time and increases accuracy. It
provides a safety net to improve processes and eliminate the opportunity for
error before a medication is administered to the patient.
x Clinical Care Pathways – Our EMR provides the frame work to adapt standard
clinical care pathways, customize the pathways as per organizational policies
and ability to develop bespoke care pathways from the organizationally
accepted pathways for specific requirements of any patient. The Napier
Inpatient EMR also supports scheduling, executing, recording the events of the
care pathways along with reviewing the pathways for evaluation.
x Security and Audit Trail – Our EMR comes with industry standard security features
including role based access control, encryption and automatic password
change alerts. Audit trails enable tracking of all system activities with the logging
of time, user-id and location information.
The Process
Stage 1
PERFORMANCE ASSESSMENT STUDY
The first step to the success of this program is to first identify any and all existing
deficiencies by collecting very specific data. This data is the prerequisite for
improvement and the starting point to initiate an action plan.
We use a selective number of indicators, which are internationally recognized as best
practices regarding performance assessment. They are harmonized with other quality
improvement projects and aligned to initiatives by international professional
organizations and associations of experts.
Here are some examples of indicators related to dimensions of performance: clinical
effectiveness, staff orientation, efficiency, responsive governance, safety and patient
centeredness, proper accounting, financial audits. It includes a sub-set of the
formerly "core" and "tailored" indicators set such as; patient surveys, staff turnover,
work-related injuries, procedure waiting time, discharge preparation, coding,
insurance claims billing workflow and chart audits, etc.
Stage 2
PLANNING
At the initial planning stages we analyze the data received from the results of the
Performance Assessment Study and come up with a blueprint. This blueprint is further
studied by our team of clinical, administrative & management experts to develop a
strategic plan.
Stage 3
PROGRAM DEVELOPMENT
We develop a customized Quality Improvement Program, specifically designed for
each department based on deficiencies identified in the report.
At the initial developmental stages, we develop Policy & Procedure Manuals and
also design specific training programs for the hospital and its entire staff.
Stage 4
TEAM SELECTION & PLACEMENT
For the duration of the program, Allen Medical strategically assigns and places a
selective team of our experts at your facility. Each one of these team members is
trained & specialized to perform specific functions. They will be assigned to perform
such functions in the various departments, as well as train and lead your staff through
the improvement process.
Stage 5
PROGRAM IMPLEMENTATION
Each program developed will be implemented in the department in which it was
designed for. The program will be led by the assigned expert(s) from our team.
Stage 6
QUALITY CHECK-POINT
Every 90 days a quality indicator check-point will be performed to measure
improvements, effectiveness, and program deficiencies. Based on Check-Point
assessment results, program improvements will be developed, and/or additional
training supplied if needed.
Stage 7
MARKETING & FINANCIAL HEALTH
By about mid-way through the program, your hospital should start realizing the
improvements and the journey to success should be very clear. There should be a
significant amount of improvement at this stage. At this point our team of marketing
experts led by our Director of Business Development & Public Relations team leader &
our Chief Financial Officer will develop a strategic marketing plan to effectively
create brand awareness and to promote your hospital for its new found excellence,
of great quality, efficiency, safety, treatments and patient centeredness. Our main
focus will be to significantly increase patient flow, visibility and profits, while reducing
cost and maintaining financial health.
These marketing programs will be targeted towards patients locally as well as
globally in order to maximize exposure and draw patients from all desired areas.
Some of the marketing programs will include:
x Promotion of your Hospital as a whole, its Treatments, and equipment
x Targeted Patient Marketing by region
x Patent Loyalty Programs
x Marketing Content Creation & Translation
x Feature Review in Travel Medicine Sites
x Hospital’s Website Enhancement
x In-Network Referrals
x International & Local Medical Insurance Companies Networking
x Social Media Marketing
x And more…
Stage 8
PROGRAM COMPLETION & QUALITY CONTROL
At the completion of a successful journey;
x We perform a final complete assessment to ensure that all issues have been
addressed and corrected, the performance standards have dramatically
increased, and your facility has developed a level of excellence with a
competitive edge that out-ranks most on a global level.
x Staff members are provided with final individual assessment to ensure they
completely understand and perform their duties as per their job description
& requirements.
x We supply you with before and after assessment & financial reports showing
overall improvements & consistently increased revenues
x We are available for on-going support for 6 months following completion of
program and beyond as needed
x We continue to promote and deliver patients to your hospital remotely as

  • 2. PROGRAM INCLUDES Integration of hospital information management systems to facilitate better care delivery We help your organization with seamless flow of data between disparate systems and business units so that the enterprise at both macroscopic and microscopic levels can deliver better care and enhanced satisfaction to patients, care providers and also the attendants. Enhance operational efficiencies By integrating and streamlining your hospital workflow, it allows you to increase patient volumes without increasing staff. Automation of administrative tasks reduces errors and increases productivity at all levels. Improve costs control With more accurate capture and reporting of business data, hospital KPI’s can be analyzed to avoid duplications, reduce cycle times and maximize the throughput of the hospital supply chain. All this leads to improvements in cost control. Make better decisions It helps as a management information system for the hospital authorities to develop comprehensive health care policies. Improve the quality of care and patient experience By providing clinicians with a single, holistic view of a patient’s medical information and clinical decision support, it enables informed decision making and improved patient care. Audit trails for each update is maintained for traceability and accountability. x Clinical Summary – An EMR system that aggregates a patient’s entire medical history and summarizes the information on a single screen for effective decision making by the clinician. Patient data includes medications, allergies, problems, procedures, tests and meaningful use data. The Clinical summary screen is also customizable to the requirements of the clinicians. x Reminders and Alerts – The EMR is built to improve clinician productivity and assist in the care of patients. Using intelligent rules based workflow engine, alerts and reminders are automatically generated to assist staff on the important tasks of follow-up care. x Patient Education and Goal Monitoring – The EMR provides tools for monitoring patient progress, educating patients and promoting healthy outcomes. This health educational information is accessible through the clinician’s desktop view or within each patient chart and can be delivered to patients through the web, mobile devices, email or SMS. x Integration – The EMR Solution is interoperable with other third party practice management or hospital information systems using healthcare standards like HL7, HIPAA, LOINC, ICD10 and CPT code. x Referral Management – The EMR streamlines the process of incoming and outgoing patient referrals, as well as the exchange of documents and communication by efficiently managing the workflow of a patient referral,
  • 3. giving clinicians a single, composite view of relevant information, regardless of the information’s source. x Medical Coding – The EMR provides easy-to-use, integrated lookup screens to let clinicians search electronically by medical code or description. Most frequently-used medical codes can be stored as favorites to facilitate future searches. x Electronic Immunizations – The EMR provides the capability of electronically sending immunization information to your state’s immunization registry in order to meet federal requirements. x E-prescribing – The EMR allows prescriptions to be developed and transmitted electronically to pharmacies. Our EMR solution also checks conflicts and interactions, including drug-to-allergy, drug-to-drug, drug-to-pregnancy, drug-to- pediatric, drug-to-geriatric, drug-to-lactation, drug-to-disease, drug-to-side effect and drug-to-duplicate therapy. Drug orders are generated based on patient parameters such as age, weight, renal and hepatic impairment, thereby reducing lists of candidate drugs to a minimum. x Reports & Executive Dashboard – Our EMR comes bundled with a standard set of reports to support the administrative requirements of practice. Executive dashboard allows you to take a real-time snapshot of your business at any point in time. x Computerized Provider Order Entry (CPOE) – Our EMR supports the electronic entry of the clinician’s instructions for the treatment of patients under his/her care. These orders are transmitted electronically to other medical staff, or to other departments (e.g. laboratory, radiology or pharmacy) responsible for the fulfillment of the orders. x Medication Administration – The EMR provides medication administration feature designed to improve patient safety and drastically reduce the amount of time spent on documentation. Clinicians can easily document medication administrations, vital signs and other observations. Clinicians are alerted of any active alerts and allergies for the patient. These alerts are highlighted and displayed in the patient banner. Clinicians are also well supported with the therapeutic information for the drugs that needs to be administered. This feature streamlines medication administration with the capability to read the drug barcode label and reconcile that information to the patient’s medication record. This feature prevents errors and supports the patient’s rights (right patient, right drug, right dose, right route, and right time). Using a barcode reader to document administrations saves time and increases accuracy. It provides a safety net to improve processes and eliminate the opportunity for error before a medication is administered to the patient. x Clinical Care Pathways – Our EMR provides the frame work to adapt standard clinical care pathways, customize the pathways as per organizational policies and ability to develop bespoke care pathways from the organizationally accepted pathways for specific requirements of any patient. The Napier Inpatient EMR also supports scheduling, executing, recording the events of the care pathways along with reviewing the pathways for evaluation. x Security and Audit Trail – Our EMR comes with industry standard security features including role based access control, encryption and automatic password change alerts. Audit trails enable tracking of all system activities with the logging of time, user-id and location information. The Process Stage 1 PERFORMANCE ASSESSMENT STUDY The first step to the success of this program is to first identify any and all existing deficiencies by collecting very specific data. This data is the prerequisite for improvement and the starting point to initiate an action plan. We use a selective number of indicators, which are internationally recognized as best practices regarding performance assessment. They are harmonized with other quality improvement projects and aligned to initiatives by international professional organizations and associations of experts. Here are some examples of indicators related to dimensions of performance: clinical effectiveness, staff orientation, efficiency, responsive governance, safety and patient centeredness, proper accounting, financial audits. It includes a sub-set of the formerly "core" and "tailored" indicators set such as; patient surveys, staff turnover, work-related injuries, procedure waiting time, discharge preparation, coding, insurance claims billing workflow and chart audits, etc. Stage 2 PLANNING At the initial planning stages we analyze the data received from the results of the Performance Assessment Study and come up with a blueprint. This blueprint is further studied by our team of clinical, administrative & management experts to develop a strategic plan. Stage 3 PROGRAM DEVELOPMENT We develop a customized Quality Improvement Program, specifically designed for each department based on deficiencies identified in the report. At the initial developmental stages, we develop Policy & Procedure Manuals and also design specific training programs for the hospital and its entire staff. Stage 4 TEAM SELECTION & PLACEMENT For the duration of the program, Allen Medical strategically assigns and places a selective team of our experts at your facility. Each one of these team members is trained & specialized to perform specific functions. They will be assigned to perform such functions in the various departments, as well as train and lead your staff through the improvement process. Stage 5 PROGRAM IMPLEMENTATION Each program developed will be implemented in the department in which it was designed for. The program will be led by the assigned expert(s) from our team. Stage 6 QUALITY CHECK-POINT Every 90 days a quality indicator check-point will be performed to measure improvements, effectiveness, and program deficiencies. Based on Check-Point assessment results, program improvements will be developed, and/or additional training supplied if needed. Stage 7 MARKETING & FINANCIAL HEALTH By about mid-way through the program, your hospital should start realizing the improvements and the journey to success should be very clear. There should be a significant amount of improvement at this stage. At this point our team of marketing experts led by our Director of Business Development & Public Relations team leader & our Chief Financial Officer will develop a strategic marketing plan to effectively create brand awareness and to promote your hospital for its new found excellence, of great quality, efficiency, safety, treatments and patient centeredness. Our main focus will be to significantly increase patient flow, visibility and profits, while reducing cost and maintaining financial health. These marketing programs will be targeted towards patients locally as well as globally in order to maximize exposure and draw patients from all desired areas. Some of the marketing programs will include: x Promotion of your Hospital as a whole, its Treatments, and equipment x Targeted Patient Marketing by region x Patent Loyalty Programs x Marketing Content Creation & Translation x Feature Review in Travel Medicine Sites x Hospital’s Website Enhancement x In-Network Referrals x International & Local Medical Insurance Companies Networking x Social Media Marketing x And more… Stage 8 PROGRAM COMPLETION & QUALITY CONTROL At the completion of a successful journey; x We perform a final complete assessment to ensure that all issues have been addressed and corrected, the performance standards have dramatically increased, and your facility has developed a level of excellence with a competitive edge that out-ranks most on a global level. x Staff members are provided with final individual assessment to ensure they completely understand and perform their duties as per their job description & requirements. x We supply you with before and after assessment & financial reports showing overall improvements & consistently increased revenues x We are available for on-going support for 6 months following completion of program and beyond as needed x We continue to promote and deliver patients to your hospital remotely as one of the benefits of being a provider of our Global Medical Team.
