2. What is Project Monitoring?
• Project monitoring is the process of keeping a
close eye on the entire project management
life cycle and ensuring project activities are
on the right track.
• Monitoring and Controlling are processes
needed to track, review, and regulate the
progress and performance of the project.
3. Project Monitoring
This Process is concerned with-
• Tracking the project
• Updating the actual work completed
• Updating the actual time taken to complete respective activity
• Comparing Actual project performance with the planned schedule.
• Finally, deciding what should be the changes to improve the project timeline and
get it on time.

• Monitoring need to start when you have some progress in hand i.e. some work execution
after planning and scheduling which includes resource allocation and levelling.

• For Monitoring we must update the project, steps are as follows:
• Click on the Project tab & in the Status section, choose Update Project.

• In the Update Project dialog box, choose Update work as complete through,
and then type or select the date through which you want progress updated.
• Select Set 0% - 100% complete. If you are updating specific tasks, select
Selected Tasks.

• So, After updating the project till 10th Jan 2022, the executed work has changed to
52% overall.

• But most of the time. the executed work doesn’t coincides with the planning in terms of
duration, so in that case we have to make certain changes about actual dates in order to
monitor the project.
• After updating the project, we have to set the baseline for reference. For that
• Click on the Project toolbar, Schedule section,
• Click on Set Baseline.
• Click Set Baseline & Select the baseline you want to save.
• Click Entire Project.

• So, after setting a baseline, to make some changes (if any) in the dates of the activities,
you must open the tracking table. For that,
• Click on the View toolbar, under Data section,
• Click on Tables.
• Click Tracking.

• So, after clicking on it, we will be able to see the tracking table in which we can make
changes about the actual start and finish dates.

• Here, in this case we can make some changes (in actual start date/ actual finish date) as
per the actual execution of the project and we can see how the project is doing by
comparing it with the baseline.
• So in order to do that, there are some steps to follow:
• Click on the Format toolbar, under Bar Styles section & in Baseline
• Choose the correct baseline that we have set earlier.

• So here, as per the execution there are some changes made and are in Red color and after
following the steps mentioned earlier about baseline settings, the Gantt chart turned out like this.

• Project Monitoring helps us to manage things in a better way.
• During execution of project, some resources gets unavailable at point which resulted into
dragging the activity for few more days but, project monitoring helps us to manage the resources
well.
• We can track the work and know where the execution team is lacking and work on those insights
for remaining project for its betterment.
