2. Non-Verbal Communication
• When we do not use language or words to encode the message we wish to communicate, but use other
signs, symbols, it is called non-verbal communication.
• Our senses help us to receive verbal and non-verbal communication.
• Non-verbal communication can be independent of verbal communication but verbal communication is
always accompanied by non-verbal communication.
3. Non-verbal aspects of Written Communication
1.Pictures
Pictures , from simple drawings to photographs are often used in brochures, posters,
and advertisements. Pictures are universally understood, easily remembered and
make immediate impact. It is said “ A picture is worth a thousand words.”
2.Diagrams
Diagrams , which are drawings, are often used to explain various concepts, parts
and procedures.
3. Graphs and Charts
Graphs are of different variety. It can be a bar graph, line graph or a pie chart used
to represent data. Charts are a sheet of information in the form of a table, graph or a diagram.

4. Maps
Maps are used to specify the geographical location of a place, town, district,
state, country or a continent. Maps are also used to show transport route,climatic
conditions, distribution of population, crops, literacy etc.

5. Signs and Signals
A sign is a mark used to represent something , it has a fixed meaning. A signal is a previously agreed upon
movement that serves to direct, warn or a command.

Whistles, horns, beeps of machines are examples of auditory signals that help to convey meaning with the help
of sound and are in the audio form. Caller tones are perhaps the most common form of auditory signal we hear.

Body language means changes that occur in the body position and movements that show what a person is
Feeling or thinking. Much of it is involuntary and unconscious , most persons are not aware of their body
Language, but it makes a powerful impact on others.
• Omnipresent : It always accompanies spoken communication.
• Emotionally Expressive: It expresses the feelings of the speaker and the listener.
• Dominates Interaction : It is more communicative than words.
• More trustworthy : It is usually more communicative than words.
• Biological, habitual and cultural aspects affect a person’s body language.
No one can gain complete control over one’s body language. But it is possible to create awareness
and use it to make our communication more effective.
7. Non-verbal Aspects of Oral Communication: Body Language
1. Appearance
A person’s general appearance depends on several things. Grooming and hygiene are the two of the
Important factors that contribute to appearance. Appearance make the first impression; lack of neatness
or cleanliness, carelessness in grooming, clumsy gait make a negative impression. One should also pay
attention to one’s health. No amount of cosmetics can hide poor health.
2. Clothing and Accessories
Clothing is a very important aspect of body language. It requires good taste and judgement to make
subtle impression by what you wear. The colour, design, the cut and fitting make up the dress. In India,
we have a lot of variety in clothing or if the need be one can also adapt to Western clothing. As a rule,
one should avoid gaudy colors and patterns of dress and jewellery as office wear as they act as major
distractors. Accessories like shoes, handbags, tie, watches should also be selected carefully.

3. Posture
Posture is the way we hold ourselves, the way we stand or sit. It indicates something about feelings,
thoughts, attitudes and health. Stiff posture shows tension, comfortably leaning back conveys a
relaxed mood, eagrly leaning forward shows the listener’s interest. Posture can indicate respect for
others. A graceful posture is a big asset to a person.
4. Facial Expressions
Facial expressions is the most obvious part of body language.
A cheerful or a sad face influences most people. Expressions
accompany the speaker’s words and also indicate listener’s
reactions. A smile cancommunicate a positive feedback whereas
a frown can convey a negative feedback.

5. Eye-Contact
Eye movement is a key part of facial behaviour directing others’ attention or showing surprise or
happiness and other emotions. Eye contact between the speaker and the listener is important. A
brief eye contact while speaking can make the communication effective.
6. Gestures
Gestures are hand or head movements. Oral communication is largely aided
by gestures. A “thumbs up” sign can give a positive signal whereas a wave of
the hand signifies greeting “Hi!” or saying “Goodbye” depending upon the
situation.

7. Energy
Energy and enthusiasm as an aspect is hard to describe, but most people do experience the impact of a
person with a high level of energy. Some impress with high level of physical energy which is almost
Infectious , some impress with high level of intellectual,emotional or spiritual energy. Energy conveys
Competence and inspires respect.
8. Space
The we use space plays a subtle role in body language. It is called
proxemics. We naturally maintain a certain space from others while
communicating. We can be close with friends while we maintain a
respectful distance from superiors.The way people structure the
space around them also conveys meaning.

9. Time
The way one manages time also is a part of non- verbal communication. Being punctual shows that a
person is sincere about his work whereas a person who repeated comes late creates a negative impression
10. Silence
Silence also communicates. The frequent pauses while talking are necessary to convey the intended
meaning. Silence can also communicate disagreement, lack of interest or concern.
11. Paralanguage
While we speak we change our volume, tone, pitch, speed of speech and stress upon certain words.
This aspect of communication is known as paralanguage.
