Position: Procurement Officer
Key Responsibilities:
 Provide Support function for Sales Department at various domains such as Retail, Projects and
Showrooms
 Monitoring, analysis and reporting of sales process against the set targets to Divisional Head,
Sales
 Responsible for issuing sales invoices.
 Feasibility study for suppliers and sub contracts , Comparative analysis and negotiation for
effective pricing
 Responsible for issuing purchase orders.
 Liaison with accounts department effective process flow management
 Management of data through ERP systems

Job Description
 Procurement
Process purchase requisitions/orders within purchasing authority.
Invite, assess, and award/recommend supplier tenders, bids, quotations, and proposals.
Establish and negotiate contract terms and conditions, and maintain supplier relationships.
Prepare and maintain purchasing records, reports and price lists.
Work with internal and external stakeholders to determine procurement needs, quality, and delivery
requirements.
Assist in the development of specifications for equipment, materials, and services to be purchased.
Administer contract performance, including delivery, receipt, warranty, damages and insurance.
Reconcile or resolve value discrepancies.
Comply with and maintain knowledge of applicable rules, legislations, standards, and best practices.
Address staffing resource needs and supervise purchase clerks.
Co Ordination with suppliers and related departments in Air conditioner Division (Service, Installation and
Administration)
 Retail Sales
Support Role in Retails. Sales department, monitoring, analysis and reporting of sales VS target set to
divisional head. Placing sales orders and delivery arrangement for retail staff
Maintain accurate monthly and yearly sales data and records on computer database
Carry out detailed sales analysis and present reports to management
Dealer’s credit limit information and notification at the time of order placement
Dealer Sales incentive preparation and submission to Accounts Department
 Sales Order, Invoice & Credit Note Issuing.
Tracking & follow up of monthly sales orders, delivery & Invoice.
Provide a weekly sales billing report to all sales person for sales support.
Preparation and distribution of invoices to all sales personnel and to Accounts Department
Issue of and submission of Credit notes to Accounts Department
Maintenance of documentation and co ordination with Accounts Department
Managing documentation relating to sales return and replacement
Invoice closing and delivery coordination with Warehouse and Accounts departments
 Office General coordination
Furniture purchase and maintenance
Computer and Stationary
Show room properties
Other General co ordination in miscellaneous projects
