Keyresponsibilities:
• CheckingappointmentdocumentsanddoappointmentChecklist.
• Filingof employee documents.
• Handlingtelephone andwrittenqueries
• Capturingof overtime,Sunday,nightduty,publicholidaypaymentsonPersal.
• CapturinghousingallowancesonPersal
• Ensure that all housingallowance applicationsare correctlycompletedandall compulsory
documentsare attached
• Capturingof Appointments/Translationof Rank/TransfersonPersal.
• Capturingpromotions,relocationsandpackage structuring.
• Knowledgeof variousservice conditionsandbenefits.
• Loadingof all service terminations
• PaymentsforResignations,RetirementsandBoarding,Death.
PERSONNEL(LEAVESECTION)
Keyresponsibilities:
• Handlingtelephonicqueriesandtakingmessages.
• Knowledgeof BATHOPELE Principles
• Filling:sortingthe documentandZ1 leave applicationformsin alphabetical orderandmake
sure that the Persal numbersare clearon the leave formbefore puttingtheminthe file.
• Managing document:openingincomingandoutcomingmail,recordand prioritize all docs
receivedanddispatched,trackingandfollow upandfinalizationof document
• Distribute inandoutgoingmail
• Answeringphone ,faxing,makingcopiesandcheckingemailsondailybasis
• Once a monthdostock takingfor stationary
• Collectingandupdatingleave stats.
• Capturingof Z1 leave applicationforms.
• Processinginjuryondutydocumentstoheadoffice.
• ProcessingincapacityleaveapplicationstoAlexanderForbes.
• Calculatingcommutedovertimedisallowance.
• AuditingLeave filescompletelastleave formandleave gratuityform.
• Maintainingincapacityleaveandinjuryondutyregisters.
• Draftingand postingof longservice letters.
• TypingWCA and PillarLetters.
• Distributionof leavestatstorelevantclerksforcapturingonPersal.
• Deliveringandcollectingdocumentsfromdeputydirector’soffice.
• Compilingtrackingsheetsforexits.
• Maintainingstudyleave andunionleavedatabases.
• CheckingandupdatingHR attendance register(Z8)
