- These are the Zoom controls. Note that the control menu bar retracts when not in use – you just need to move your mouse over the bottom of the screen for it to appear again Open the participants pane to see who is in the meeting and to provide feedback to the presenter The chat pane allows you to send a chat to everyone or a named person You can send links, and files in the chat pane
- In this second session will look in more detail about planning sessions to ensure that you engage your audience, some tools you can use to help do this. We’ll also look at delivering sessions, and some tips to make facilitating a webinar go smoothly
- From the first session it is all about planning what you are going to do in the session first. Focus on the outcomes – for the participant, and what activities will allow that to happen So how do you plan for face to face sessions you give? What do you do to prepare? Anyone like to offer some thoughts – give me a thumbs up and I will call on you to speak [Summarise and provide feedback] Prepping for a webinar is similar in many ways, but you need to pay more attention to the mechanics of how you will engage the audience
- Referring back to types of webinar you might offer and things you need to bear in mind when offering these Lecture: Think about position of web cam, ensuring slides are visually appealing, look at “audience” not screen Demo: Be confident in what you are demoing, script the stages if needed, build in time for questions, to pause and check understanding Debate: Thinking about who will be “chairing”, assigning roles, managing process, building in audience Q&A Workshop: Do participants need to prep before hand, how will you provide instructions, will you give them handouts? Blended: Think about facilitation so that remote isn’t seen as poor second option. Repeating q’s from audience or summarising in text chat, bringing in remote participants at every stage, creating activities that all can do I should also add here that size of group plays a big part. E.g. If you have 100 people in a session more likely to be lecture mode unless you break into groups as otherwise discussion hard to manage Workshop activities work best in smaller groups
- When prepping your presentation think about Visuals – People may be staring at the screen for an hour so make it inviting. some great images available for free no attribution required at https://pixabay.com/ Animated – you can use animation selectively to emphasise points, and bring changes to the screen Minimal text – Don’t cram it on there. Less is more. You have the audio And do include the Zoom help slides at the start – will aid you with tech troubleshooting and familiarising the session
- Delivering a webinar can feel intimidating at first because you not only have to present but you have to manage the interface too. One way you can help yourself is to produce a script or some speakers notes. When I’m planning a session I produce the slides, add basic notes in the slide notes and then use the Publish>Create handouts in word feature to produce something like this Upload file to text chat for participants to download K:\Member Service\Outreach & Engagement\Presentations\Webinars\Revalidation for MSOs script.pdf It has an image of the slide, notes for what I want to say, and also notes for specific activities actions. In the past I have highlighted bits for audience in red or with yellow highlighter to make it stand out. I also allocate timings – using the slide column to put rough guides so I stick on target. You won’t “read out” the script – but it is there as a safety net to help you It also makes you think about when and how you will build in audience interaction – because you are noting it down
- Before presenting a webinar its important you get the right set up Preferably a separate meeting room. If you have to do it at your desk make sure colleagues know so they can keep the noise down Run a test meeting on the machine you will be using to ensure all works http://zoom.us/test Use a headset with a mic as this stops you getting feedback from a laptop and hearing tapping of keys Set up the web cam properly – e.g. If doing a blended session web cam should show the f2f participants to remote ones Have everything you need to hand e.g. Script, glass of water, pen & paper for any notes Set phones to divert to voicemail/silent Close down any unnecessary programmes on your PC – only want open the things you will use in the session
- Use the Zoom slides to help get participants familiar with the controls. Make sure you can hear them/they can hear you before you start. Start the session by introducing yourself, the session and set the session rules e.g. How you want participants to interact using text box and participant feedback icons How you will deal with questions Informing participants if you are recording session, and what will be done with that recording
- You are conducting this session, and your job is to make sure you bring it all together into a lovely harmonious interaction. Make sure that you: Check the text chat and participant panel regularly [or assign a colleague to do this and feed queries to you] Pause to check understanding – give participants time to answer & respond – takes longer if they are typing Vary tone of voice – if you haven’t got a web cam then your voice is your instrument. Put the energy and expressiveness into it. Build complicated concepts one step at a time
- Make sure you thank participants Save any text chat if needed Stop the recording End the meeting Then if you have recorded anything make sure you copy the files onto central file system in appropriate place. Once they are checked should be deleted from the Zoom cloud server/your pc
