How to be polite and
diplomatic at work
place
You may have faced a number of situations at work place where you wanted to be direct and wanted to
call a spade a spade , however unfortunately that cannot happen in every situation because you are in the
situation of hurting the feeling your colleagues and may yourself come across as rigid and rude that may
hurt your long term prosceptcts.
So it is extremely important that you are polite and diplomatic at your workplace but at the same time you
send your message across.
How do you do that ?
Tip 1 .Listen and show understanding
A.We don’t have enough manpower to accept this project
B:I disagree (You could say it direct but you could offend your teammate by saying so )
B:I know what you mean but I think the team can handle it .
B:That may be true ,but we have a tie up with some freelancers and they can work on it.
What you have done in these answers you have shown understanding and shown disagreement in polite
manner
Tip 2-Avoid negative words
I think that is a bad idea -------------I don’t think that is such a good idea.
I am sorry ,that is impossible ---------I am sorry, but I am not sure if that is possible
I cannot do it --------I am sorry ,not sure if I will be able to do it .
Tip 3 ---Use softening words ------
The price is too high ----------The price is bit too high
Can I add something here ?------Can I just add something here ?
I don’t understand these figures ------I don’t quite understand these figures
We have a problem -------We have a light problem/Challenge
Tip 4 :Use “I am afraid "at the start of a sentence
I cannot take on the new project -----I am afraid I cannot take on new project
I don’t have time next week -------I am afraid I don’t have time next week
That is not possible ---I am afraid that may not be possible
Tip 5 –Use could ,would and might
I will not be able to complete the task on time ------I might miss the deadline due to some challenges
Can you give us more time ------------Could you give us more time
We want an answer soon ---------We would like to have an answer soon
Tip 6 ---Use the word “Sorry “
Sorry ,but I don’t quite agree with your opinion
Sorry ,can I say something here ?
Sorry ,I think there is a data mismatch. What I have is something different
