ROLE AS AN EXECUTIVE ASSISTANT
• Meets regularly with Executive to review status of projects; appointments for the day, plan key events, meetings
and upcoming travel; and prioritize open action items. Manages and maintains his professional and personal
calendar in Microsoft Outlook, including assisting with personal scheduling (e.g. doctor and other appointments,
personal travel, health insurance and other forms), within limits and at his/her discretion; applies understanding of
executive's priorities in scheduling meetings.Organizing meetings, conference room, video conferencing, dials in
etc.
• Inbox management : Manage Inbox on a daily basis and update or respond to mails as appropriate and to keep and
eye on any mails missed out on response back for the COO/CEO/VP's or Executive Team or team. Manage
appointments and meetings. Arranging mails on priority basis which needs his immediate attention and flagging
them as required. Following up on the mails flagged on a periodical basis. Coordinating, and deciding all meetings
for them. Briefing them on their daily tasks/meetings for the entire day in the morning. Check deadlines on
incoming requests and put preliminary work in progress.
• Attending meetings as and when required. Chase contributions to weekly & monthly management meetings, taking
down action Items and discussion points. Following up on weekly basis on the closure of the action items.
Ensuring that all have mailed in their updates in PPT format, collating and editing of the updated PPT's and then
circulate the same before the meeting. Record actions from regular review meetings with key staff (management
team and PM’s) action centrally, and post onto outlook tasks or common path folder with completion dates to be
tracked and to ensure timely delivery of actions. Creating management reports and presentations under their

• Preparing for the Board Meeting by ensuring there is 100% confirmation of attendees, following up and compiling
an agenda, Circulation of the agenda along with the logistic if required for travel at least 3 weeks in advance.
Ensuring that all the updates and Action items have been closed of the prior Board Meeting and all updated /
presentations have come in a day in advance for the Board Meeting
• Managing their reimbursement claims to ensure that all claims are settled in time and money has been
credited to their accounts. Managing all credit cards transaction for them. Keeping track of all payments and
settlement with the credit cards. Following up with accounts/banks if there are any discrepancies. Maintaining
of bank accounts/statements and follow-ups (personal and official).
• Coordinating/managing the visitors to the India office. Setting up meetings for them internally and externally,
booking hotel coordinating for car or any other mode of transportation they need, ensuring that they are most
comfortable while they are in India.
• Issuing relevant letters, drafting replies to mails, fixing appointments and meetings with various business
associates. Communication through email & corresponding with them independently. Arrange internal and
external meetings as required, liaising as necessary with other attendees too.
• Looking after booking travel & alerting other directors and team through Outlook Banners
• Making sure all logistics are covered e.g. Room Booking, Catering, Whiteboards, Dial in, Video Conference etc.

Calendar Management
• Ensure efficient calendar coordination for all of them which undergoes immense changes due to their highly busy and
hectic schedules. Coordinate with the CEO and internal/external persons and accordingly schedule time in day for
required appointments.
• Supporting the boss in his personal and confidential matters too.
• Briefing them on his tasks/meetings for the entire day in the morning.
• Attending to all follow-up action on day-to-day basis and connecting/reminding him of all the conference calls/video
conference/SAP Connect or TP that he needs to take. Following up on the calendar not only on a daily basis.
• Take initiative in executive’s absence related to calendar schedules, signature approvals as well as telephone calls and
email messages.
• Ascertain which events require executive’s presence.
• Fix commitments to maximize executive’s time efficiency.
Travel Planning & Arrangements
• One point of contact for all travel related matters. Ensuring all consultants/employees abide by the process set and most
economical method is adopted.
• To plan and schedule travel dates for all of them. Make the necessary arrangements and follow up with consequent
post travel procedures. Handling of travel – both domestic and International. (Ticketing, passport stamping of visa,
getting foreign exchange, arrangement of hotels in India and abroad). Prepare travel itinerary with meeting schedules,
hotels, travel booking details etc.
• Visa/Work permits: Processing papers for work permit for Schengen Countries, UK and Canada. Visa processing for
USA; H1, B1, and L1 or Singapore, SA. Making follow-ups with home office and consulate on status, answering queries,
etc. Issue of invite letters and covering letters on behalf of the company for staff visiting different countries. Applying
online where required for visas for the employees and team.
• Online checking and booking of air ticketing, FOREX, hotel booking or service apartments, and car rentals for staff
traveling onsite on projects.
• Keeping track of all travel related invoices coming in and billing against them as and when needed to the client.
Negotiation with hotel and cab services in the city and outstation as and when needed.
• Assist staff in application for new passport and get police clearance. Assist them to get medical examination for various
visa’s/work permits done if required.
• Maintaining MIS on travel, issue of weekly reports, capturing all details of staff.
Accounting - Tracking & Processing Bills & Pay outs
To maintain a check on business related requisitions & bills and to process by acquiring necessary authorizations if
required and ensuring timely payments. To manage petty cash & to monitor the office centric administrative expenses.
Managing all credit cards transaction for him. Keeping track of all payments and settlement with the credit cards. Following
up with accounts/banks if there are any discrepancies. Prepare and process invoices for payment.
Interdepartmental Coordination
To interact and provide support to the various departments/businesses e.g. involvement with HR with regard to templates,
policy planning, recruitment, induction & involvement with administration with regard to interiors, service provider selection
etc. To interact with the Board of Directors as and when required. Plan & organize business lunch. Organizing in-house get-
togethers like birthdays, weddings, felicitations, outings and Annual Day etc.
ROLE AS AN OFFICE MANAGER:
Was one and only overall in charge of Administration & Facilities, Finance & Billing, , IT, HR and Travel to
represent the India Office at Mercuri Urval, Capco & Orbitz /Expedia.
Major overall duty to summarize was:
• Management of Operations and Administrative functions; introduce policy and processes whenever necessary in line
with strategic and regional policies and frameworks.
• People & Performance management of support resources from support & office management staff.
• Expertise in property acquisition, identification as well as conducting of due diligence, checks, negotiations as well as
securing commercially viable lands and properties.
• Real Estate strategic planning keeping in mind the firms standards, design philosophy, safety & security and cost.
• Manage & Oversee the Travel - Air, Hotel & ground logistical services.
• Oversee the execution of meetings, annual off-sites and internal/externals events and to collaborate with respective
groups in organizing them.
• Office infrastructure Capex and Opex planning, forecasting and tracking. Spend optimization and inventory
management.
• Vendor Management of outsourced partners and service providers.
• Comply on infrastructure and office services standards as per governing bodies.
• Working in close co-ordination with Corporate Office on all reporting matters on a bi-weekly basis.
• Giving a forecast of revenue generated and also for the upcoming fortnight, forecast of the liquidity in cash on bi-weekly
basis. Monitoring Sales being booked and closed. Preparation and follow up of invoices to clients as per the contract to
ensure correct receivable are on time.
• Processing of vendor invoices to accounts. Raising purchase orders. Following up with clients on payments. And
assisting with monthly reconciliation of payment raised with clients and pending payments with them
• Preparation and processing of Inter Company transactions. Monthly reconciliation of Inter Company accounts with the
Accounts department.
• Building a good relationship with Clients to ensure and enhance their commitment to be with us.
• Ensuring inward register entry of general expenses bills as and when processed for the payment.
• Follow-up for all utility bills and AMC’s.
• Checking monthly expenses against all heads to ensure nothing is missed out and billing the clients.
• Timely submission of MIS in approved format.
• Maintenance of Petty Cash. Ensuring salary is paid out in time to all consultants.
• Ensuring all reimbursements are raised on a bi-weekly basis and claimed settled.
• One point of contact for all approval’s related to office needs.
