Here business areas collaborate and do all the things the users do on these sites. These sites are set up using content types with metadata familiar to the business area. What we have added is a rules engine….. This rules engine is organisation specific. It is a engine that maps active site content to a records management process. i.e. All Letters with complaint as a metadata field will be processed to Community Relations – Complaints in a folder that has to be kept for X years. This gives you a really nice compromise of a business view of the world and a records view of the world.

  • #61 Traditionally organisation has handled its Physical Records well, but until the recent project there was no focus on network file shares.In 2003 when I joined HomeStart the then PART TIME records officer was preaching to me and anyone who would listen about a need to handle our electronic records better. Problem was he continually came up against a strong “MY” documents culture because left unchecked users were able to use their unstructured network shares to create documents when they liked, call them what they liked, store them where they liked and share them with who they liked and secure them from who they didn't like.It just wasn't working – and suggesting implementing structure and compliance was failing to gain the peoples imagination and more importantly management support.
