“COMMUNICATION BARRIERS &
          7CS”

Q1:                           COMMUNICATION BARRIERS
   Professional Situation Where A Breakdown In Communication Occurred:

There are many situations where I faced breakdown in communication as a professional.
Sometimes communication barriers are for short time period and sometimes its remains for a
while. It depends on situations that what kind of situation is it and what kind of barrier will
come.

As our company is Distribution Company but also handling outsources business (BPO) that’s
why on some situations internally communication barrier occurred and on some situations
externally communication barrier occurred.

As I m handling head office plus outsource staff (BPO – Business Process Outsourcing) in which
we hire employees of other company to our payroll and they work for them and we get
compensation from us.

For the purpose to flow the work process smoothly and follow the process/ procedures
accordance to the terms and conditions we generally have meetings in every two months or
accordance to the needs. In the meeting the both companies discuss their problems and how
information flows within the department or outside the department.

We hire the employees in two categories one is “Managerial (ASM- Area Sales Manager)” and
others are “Non-Managerial (SPO- Sales Promotion Officer)” which reports to ASM and ASM
report to us regarding joining, resigning and other official matters which could be faced by field
force.

If any new employee joins us the ASM duty is to inform us via telephone or email so that we go
through the joining process of new employee and include him/her in payroll. It’s been the time
of preparing the payroll our manager suddenly becomes ill and didn’t come office for a while.
When all the payroll process complete and wages transferred to employees bank account I
received phone call from ASM that one of employee didn’t got his salary. When I checked I
found that there is no joining intimation of new hired employee. I speak with ASM he replied
that he forward the documents of new joiner via courier plus also intimated the new hired
employee with date of joining to our manager via email without CC to me. Unfortunately the
manager was not available on these days due to illness. He didn’t include me in email as CC
that’s why I am unaware from the information of new joining and it cause breakdown in
communication.
Sometimes ASM inform joining or resigning through phone but we couldn’t hear voice clear or
call may be dropped, sometimes they inform us on email but as you know the field caliber or
they are not as much familiar about proper communication th



   Outline The Specific Barrier In This Regard:

The outline of specific barrier in this regard is “lack of communication” or “the proper channel
of communication is not used” if the ASM do Cc to me in this regard or contact me in a timely
manner so we cannot face breakdown in communication and that employee will defiantly gets
the salary on time.

      HOW EFFECTIVE COMMUNICATION HELP YOU AS A
                     PROFESSIONAL:
Effective communication has several benefits that can be applied not only in business field, but
also to develop a better personality. Learning or relearning toward how to listen and speak
skillfully not only shows your clients that you understand their needs and issues, it can also help
you grow your business and professionally, because when people feel you are the one that not
only understand their problems, but also the one that fix them, more and more people will get
attracted to you.
So, an effective communication skill in any profession helps in number of ways which are as
follows:


        Excellent ability to communicate orally and writing increases Chances of Job
         promotion, professional reputation, company's public image and Goodwill both
         inside and outside company as well as country.
        Boosts person's confidence in dealing with number of peoples, clients, suppliers,
         superiors, subordinates etc in complicated matters.
        Persuading someone becomes easier if the matter is in best interest or organization.
 Motivate junior workers for the task assigned to them, if they feel exhausted and
  lazy about it.
 At management level, effective communication skills are used to create an
  environment of open communication, short messages, recognize nonverbal signals
  and mutual understanding.
 When employers, directors and managers are able to regularly provide effective
  communication this in turn will lead to an increase in efficiency within the
  workplace.
 Good and Effective communication skills improves office morale.
 Excellent and Effective communicators can easily over come to the conflicts of
  workplace or in job environment and better communication skills helps to solve
  many problems efficiently.
 Communicating with the employees about changes, amendments in the rules,
  regulations, policies, work procedures, etc. helps them in getting a better idea of
  things and therefore implementation in the actual work becomes easy.

Communication barriers

  • 1. Business Communication Name: Usama Khalid Student I.D: 7212 Sec “A” Assignment No. 01 “COMMUNICATION BARRIERS & 7CS” Instructor : Mozzam Shere
  • 2. Q1: COMMUNICATION BARRIERS Professional Situation Where A Breakdown In Communication Occurred: There are many situations where I faced breakdown in communication as a professional. Sometimes communication barriers are for short time period and sometimes its remains for a while. It depends on situations that what kind of situation is it and what kind of barrier will come. As our company is Distribution Company but also handling outsources business (BPO) that’s why on some situations internally communication barrier occurred and on some situations externally communication barrier occurred. As I m handling head office plus outsource staff (BPO – Business Process Outsourcing) in which we hire employees of other company to our payroll and they work for them and we get compensation from us. For the purpose to flow the work process smoothly and follow the process/ procedures accordance to the terms and conditions we generally have meetings in every two months or accordance to the needs. In the meeting the both companies discuss their problems and how information flows within the department or outside the department. We hire the employees in two categories one is “Managerial (ASM- Area Sales Manager)” and others are “Non-Managerial (SPO- Sales Promotion Officer)” which reports to ASM and ASM report to us regarding joining, resigning and other official matters which could be faced by field force. If any new employee joins us the ASM duty is to inform us via telephone or email so that we go through the joining process of new employee and include him/her in payroll. It’s been the time of preparing the payroll our manager suddenly becomes ill and didn’t come office for a while. When all the payroll process complete and wages transferred to employees bank account I received phone call from ASM that one of employee didn’t got his salary. When I checked I found that there is no joining intimation of new hired employee. I speak with ASM he replied that he forward the documents of new joiner via courier plus also intimated the new hired employee with date of joining to our manager via email without CC to me. Unfortunately the manager was not available on these days due to illness. He didn’t include me in email as CC that’s why I am unaware from the information of new joining and it cause breakdown in communication.

Sometimes ASM inform joining or resigning through phone but we couldn’t hear voice clear or call may be dropped, sometimes they inform us on email but as you know the field caliber or they are not as much familiar about proper communication th Outline The Specific Barrier In This Regard: The outline of specific barrier in this regard is “lack of communication” or “the proper channel of communication is not used” if the ASM do Cc to me in this regard or contact me in a timely manner so we cannot face breakdown in communication and that employee will defiantly gets the salary on time. Q2: HOW EFFECTIVE COMMUNICATION HELP YOU AS A PROFESSIONAL: Effective communication has several benefits that can be applied not only in business field, but also to develop a better personality. Learning or relearning toward how to listen and speak skillfully not only shows your clients that you understand their needs and issues, it can also help you grow your business and professionally, because when people feel you are the one that not only understand their problems, but also the one that fix them, more and more people will get attracted to you. So, an effective communication skill in any profession helps in number of ways which are as follows:  Excellent ability to communicate orally and writing increases Chances of Job promotion, professional reputation, company's public image and Goodwill both inside and outside company as well as country.  Boosts person's confidence in dealing with number of peoples, clients, suppliers, superiors, subordinates etc in complicated matters.  Persuading someone becomes easier if the matter is in best interest or organization.
  • 4.  Motivate junior workers for the task assigned to them, if they feel exhausted and lazy about it.  At management level, effective communication skills are used to create an environment of open communication, short messages, recognize nonverbal signals and mutual understanding.  When employers, directors and managers are able to regularly provide effective communication this in turn will lead to an increase in efficiency within the workplace.  Good and Effective communication skills improves office morale.  Excellent and Effective communicators can easily over come to the conflicts of workplace or in job environment and better communication skills helps to solve many problems efficiently.  Communicating with the employees about changes, amendments in the rules, regulations, policies, work procedures, etc. helps them in getting a better idea of things and therefore implementation in the actual work becomes easy.
