Responsibilities:
Job Description:-
 Answer telephones and handle in appropriate manner.
 Meet and greet clients and visitors.
 Maintain President's calendar.
 Setup President's travel arrangements.
 Setup and coordinate meetings and conferences.

 Setup accommodation and entertainment arrangements for company visitors.
 Prepare, dealing with correspondence, collacting information, reports, and
materials for presentations. And ensuring decisions made are communicated to
the relevant people.
 Create, organizing, preparing, transcribe, and distribute meeting agendas and
minutes.
 Perform general clerical duties to include but not limited to: photocopying,
faxing, mailing, and filing.
.Keep a record of all policies approved by the Board in the association's policy manual.
 Maintains and establishes an updated filing system and database.
 Prepares confidential correspondence and reports.
 prepares weekly reports& database for management reports.
 Coordinate with all department for necessary arrangement according to my
Department work.

 Open, read, route, and distribute incoming mail and other material, and prepare answers
to routine letters.
Organize and carry out the changes.
 Sign for UPS/Fed Ex/Airborne packages.
 Research, price, and purchase office furniture and supplies.
 Deal with queries and monitor performance.
 Responsibility for stationery stocks and office equipment.
 Implement an easy to use office filing system.
 Document &Filing the tax document in both soft and hard copy.
 Labeled the folders in attractive and easily way.
 Inter, review, revise and monitor all quotation database and transaction for update including
(clients down payment- installing spare parts from stores- engineer `s adjustments).
 Prepare and Follow up quotations for monthly report to finalize them into invoices.
 Thereafter the filing will be maintained by the Company Administrator.
 Contracts negotiation.
 Monitor and maintain contract documents.
 Following up the invoices trying to solve the problem which we face.
 Create a Human Resources plan and implement the changes. Including the following
 Implement a Performance Appraisal system.
 Create or update job descriptions for all employees.
 Set up Personnel database.
