Nature of Work:
Front office/Receptionist - Administration
• Responsible for handling of incoming and outgoing calls including distribution
• Receive, inform, guide visitors including co-ordination with employees.
• Responsible for maintaining telephone registers / update the extension list on time and Call
billings
• Responsible for maintenance and upkeep of the front office/ reception area – clean and
presentable at all times
• Provide assistance in general administrative activities and any other duties as assigned.
• Assist in the management of conference and meeting rooms.
• To closely monitor the day to day functions of the Mail room operations
• Mail Distribution - Distribute the incoming mail to individual desk.
• Mail/Parcel Postage - Assist in parcel packing upon request.
• Collect outgoing mail/parcel from mailroom, and prepare airway bill, customs declarations etc
• Arrange for post out mail through post office/express.
• Log down details of any outgoing mail to the value as specified by (Client)
• Newspaper & Magazines, etc - Deliver the newspaper & government gazette to designated
employees' desk and replace the newspaper at the newspaper stand
• Handling Stationery requests
• Weekly reports of Car hiring, T&E updating and Pantry Stocks
• Monthly Reports of T&E, Call Billing and Contact update lists for All regions
• Staff claim process
• To provide Call logging services in accordance with the service guidelines.
• Receive and log complaints - Record complete details of the service requests / complaints from
employees.
• Provide assistance in general administrative activities as required
• Contribute to the Monthly Management Report to Your Manager
• Perform other duties as required the office.
• Ensure immediate response to Priority Calls
• Inspect the turn out and attendance of the staff and sign the shift register
• Overall management of internal events for the company.
• Co-ordination with the hotel for the room & venue bookings.
• Respond as reasonably promptly as possible to requests for additional furniture needs during
meetings (i.e., more chairs or tables, if available)
• On a daily basis, inspect (where applicable) meeting and training rooms and other on Site venues
to ensure the desired furniture arrangements have been accommodated and general supplies are
provided.
