What is Microsoft Teams?
Microsoft Teams is a chat‐based workspace that is integrated with Office 365. Teams provides a single
hub to collaborate real‐time on documents, chat and meet online.
This guide is designed to help you get started with using Microsoft Teams for virtual classroom learning
via synchronous sessions.
How to access Teams via Web
1. Logon to https://www.office.com with your
TP email and password.
2. Find Teams icon from the list of Microsoft
apps upon log in.
Things we can do with Teams
 Send a text message without exchanging
your mobile number. Use messaging instead
of email with chat/conversation.
 Make audio call via Teams without
exchanging your mobile number.
 Project Consultation ‐ Arrange consultations
with your tutor. (Note: Please check your
tutor’s availability before making a video
call.
 Create channels ‐ Form groups within
Teams for discussion.
 Share & edit files securely.
 Customise Teams by adding apps, e.g., Sway,
Forms.

Send a message to your Tutor (Individual)
 Using Chat (to Individual)
1. Select Chat icon on the left column
menu.
2. Type in the name of the person and
select from the drop‐down options
3. Post your message. The person will get a
notification to respond or note your
message. Other message options include
attachments and images.
Post a question or share your discussion in
Teams
 Using Conversation (to the Team)
Sending a message in Conversation mode will be
seen by all members in the team. To do so:
1. Click on the Team you will like to post
2. Post your message. If you type @ before
a person’s name, the person will get a
notification to respondor note your
message. Other message options include
attachments and images.
Set Channel Notifications
Ensure that you have turned on the channel
notifications.
You can choose one of the followings:
 Banner and feed
 Only show in feed
 Off

Click on the Save button.
Note: To avoid missing important class
announcements, please do not turn off the
notifications.
Making Audio Call in Teams
You can make an audio call within the Chat
mode (to Individual) in Teams.
To do the audio call, click on the phone icon.
To add another contact, you can also click on
“+” sign that is next to the phone icon. This will
add the person to join the audio call.
Making Video Call in Teams
You can make a video call within the Chat mode
(to Individual) in Teams.
To do the video call, click on the camera icon.
Y To add another contact, you can also click on
“+” sign that is next to the phone icon. This
will add the person to join the video call.

Online Classrooms in Teams
Before the start of your online classroom (or
video call meeting), students are advised to
check the following settings.
 Turn on/off your video
 Mute/Unmute your internal or external
microphone
 Share your desktop or Window applications
such as Excel worksheet (if requested by
your Tutor)
 Blur your background if you find it too
distracting to others
 Hang up (red button) if you’re leaving the
video call.
Mute your Microphone
1. Once you join the meeting, the tutor may
ask all students to mute your mic so that
everyone can listen clearly to the tutor’s
instruction. Click on the mic icon to
mute/unmute your microphone.
2. Note: You can unmute your mic if you are
asked to participate in class discussion.
3. If your mic is not working properly, click on
the “…” button and go to “Show device
settings”.
4. Click on the dropdown list under
Microphone to choose if you are using
internal or external mic with your headset.
5. You can test the microphone and check if
the mic status bar is displaying according to
the volume of the sound.

Blur your background
You can blur your background during the online
classroom (or known as video call meeting).
Once you join the meeting, you can click on the
“…” button and the pop‐up menu will display.
Share your Screen in Teams
During the online classroom (or known as video
call meeting), you can share your desktop or
Window applications such as Microsoft Excel,
Word or Powerpoint file.
This is also useful for project consultation in
Teams.
Note: Click Share screen button only when your
tutor has requested you to show your work that
is done during class participation in Teams.
View the Chat conversations
Online participants who are not speaking should
be as quiet. Hence, your microphone will be
muted while your Tutor is conducting the online
classroom in Teams.
If you have questions to ask, type your questions
in the Chat feature and your Tutor will address
your questions.
You can turn on your microphone when you’re
asked to speak and participate in the class
discussion.
