7. What is PPDM v2? - the Personal Scanning Platform (PSP)? PPDM v2 - Personal Paperless Document Manager v2 - is the latest release of the PPDM image capture, edit and routing solution. PPDM’s PSP allows the user to convert scanned paper documents into editable electronic files. Once logged into the networked MFP, the its LCD displays the user’s customized scanning options, workflows, and distribution folders, so they know exactly what will occur to the scanned document, - without any assistance from their IT or Network Admin. Personal Paperless Document Manager v2 is comprised of both desktop software components and an MFP Administration Server: Desktop Client: Personal Paperless Document Manager v2 client software (also referred to as the user’s workstation application software). Administration Server: Communicates the user’s custom settings, and routes the scanned documents by providing the connection and link between the client workstations and the MFP touch-screen interface (PPDM).

27. TRIAL VERSION Desktop software ONLY , English ONLY version. Allows 30-day use. During the trial period when launching the main executables of software components (PPDM Desktop Module, PPDM OCR Module and PPDM PDF Converter Module) Count-down message displayed number of days left in the trial period Once the period expires, theses executables will no longer run Appropriate message will let the user know that the trial period has expired SPECIAL NOTE: Highly recommend customer install the PPDMv2 Trial on a workstation (PC) that does NOT have an existing installation of PPDMv1. 28. Step 2 - Configuring the Network Environment… Now let’s review the pre-installation steps necessary to complete prior to performing the PPDM v2 environment installation.

29. A site-survey should be completed… Setting up the Network Environment: The PSP Server is used to transfer the document scanned from the Ricoh MFP device directly to the client’s system. The server and the MFP device communicate with each other via TCP/IP only. The PSP Server and the File Server can be the same server or they can be spread across multiple servers. The PSP Server must be installed on a Windows-based Operating System. The File Server can be installed on a non-Windows Operating System. The PSP Server requires IIS, JRE and .NET Framework v2.0 be installed. Microsoft’s IIS MUST be installed prior to the Java Runtime Environment or .Net v2.0 (.Net 3.5 is also supported). .Net and JRE are included with the PSP Server Module 3 software. A static address is required for both the PSP Server and MFPs.

30. System Requirements – PSP Server Operating systems: Microsoft® Windows® XP Professional (Service Pack 3) or Windows 7. 32-bit only (Note: Simultaneous active connections are limited to a total of ten by Microsoft’s EULA.) Microsoft® Windows® Server 2003. 32-bit or 64-bit Microsoft® Windows® Server 2008. 32-bit or 64-bit Server Components (IIS must be installed before .Net or JRE) : Microsoft® Internet Information Services (IIS) 5.0, 5.1, 6.0, (or 7.0 on Windows 2008 Server) installed with "World Wide Web Services.” Installed from the Windows Installation CD. Java Runtime Environment™ (JRE) version 1.5 or above. Available with the PSP Server Software or at http://java.sun.com/javase/downloads Microsoft .NET Framework version 2.0. Available on the PPDM PSP Server Software and on Microsoft’s website. A proxy user with full control rights to an SMB share folder must be configured on the PSP Server as part of the pre-installation. IIS MUST not be installed after .Net Frameworks. Windows XP is not recommended as the PSP Server Platform for any installs outside of a “Demo” Room or very small workgroup installation with little chance of of growing.

31. What if I need to install manually, have no Internet connection, and will not be using the auto-installer provided?... Microsoft .NET Framework version 2.0 SP1 is installed automatically when the PSP Delivery Module 3 is installed from the “Autorun.exe” file. If it is necessary to install the Microsoft .NET Framework version 2.0 SP1 manually, install from the following location on the PPDM download: On a 32-bit system: PREREQ\dotnetfx\2.0\System32\NetFx20SP1.exe On a 64-bit system: PREREQ\dotnetfx\2.0\System64\NetFx20SP1.exe Note: Internet Information Services must be installed before Microsoft .NET Framework is installed. Java Runtime Environment (JRE) version 1.6 Update 21 is installed automatically when the PSP Delivery Module 3 is installed from the “Autorun.exe” file. If it is necessary to install Java manually, install from the following location on the PPDM download: On a 32-bit system: PREREQ\JavaJRE\System32\jre-6u21.exe On a 64-bit system: PREREQ\JavaJRE\System64\jre-6u21.exe While this is not a very likely scenario, you should now where the .Net & JRE software is provided within the download.

32. Pre-installation requirements for DesktopDeliveryPSP & Applications… Operating systems: Microsoft Windows XP SP3 (32-bit only). Microsoft Windows Vista SP2 or higher (32-bit or 64-bit). Microsoft Windows 7 (32-bit or 64-bit). Hardware: A computer with an Intel Pentium or higher processor. Microsoft Internet Explorer 6.0 or above. 512MB of memory (RAM), 1GB or more recommended. Approximately 1.15GB of free hard disk space for application files. Windows-compatible pointing device. CD-ROM drive for installation. Sound card for reading text aloud (optional).

33. MFP pre-installation requirements… Before installing and using Personal Paperless Document Manager, the user needs to make sure that the Embedded Software Architecture (ESA), also known as the Java™ Platform, is installed on the device. In order to use PPDM, the Ricoh device needs to have its Java Card installed. Currently most new MFPs come with a Java Card already installed. However if not, or in the case of an earlier model, it must be ordered and installed for each device before the installation and setup of PPDM can begin. Java may already be running on some Ricoh devices. For more details, consult the device’s documentation including the Product support Guide for the model. Note: Ricoh SDK/J 1.xx and 2.xx devices which do not conform to SDK/J version 1.41 or 2.09 (respectively) or greater will require an SD card upgrade to support remote software installation and configuration. Contact a Ricoh representative to obtain a device upgrade if needed.

35. Windows Authentication is supported… When properly configured and functioning, the Windows Authentication Service will lock the entire MFP so that it can not be accessed until a user name and password has been entered via the MFP panel. User names and passwords are verified against the authorization server and subsequently grant access to the MFP Panel. The following are some key points: Authorization settings will only affect new users. Existing users in the system’s address book will retain their existing functionality privileges Supports Windows Authentication and LDAP Auth Requires the install of two software components, “Rxconf” and “Windows Authenticator.” These files MUST be installed in this order. WIM is used to install, and both are installed to the MFP’s HDD. Specific settings must also be made at the MFP – Refer to the Windows Authentication Service Installation and Configuration Guide” included in the support documentation.

36. Let’s perform a sample pre-installation…

37. Step 3 – Next, Install the PSP Delivery Module 3… Now, let’s review the steps and information regarding the install, configuration, and if needed, maintenance of the PSP Delivery Module 3.

38. The PSP Delivery Server Module 3… After configuring the Network environment, the server component of Personal Paperless Document Manager can be installed. This server component is referred to as PSP Delivery Module 3, or just PSP Server. There are two ways to install this component: Interactive Installation: Uses a wizard-like user interface. (99.9 % of installs will use the wizard.) Customized Installation: Only recommended for advanced users, but provides more control over the installation process. Note: Detailed instructions for a Customized Installation are available in the PPDM Support Documentation. In the case of an upgrade, PSP Delivery Server will overwrite the existing installation.

39. A few PSP Delivery Server Module 3 observations when starting the installation… Network Protocol Description: SMB: The Server Message Block Protocol (SMB protocol) provides a method for client applications in a computer to read and write to files and to request services from server programs in a computer network. Using the SMB protocol, an application (or the user of an application) can access files at a remote server. PSP Delivery Module 3 is used to transfer the document scanned from the MFP device to the client’s system. The server and the MFP device communicate with each other via TCP/IP only. It is recommended to use a server with a static IP address. The PSP Delivery Module 3 server and the File Server can be the same server or spread across multiple servers. PSP Delivery Module 3 must be installed on a Windows-based Operating System. The File Server can be installed on a non-Windows Operating System.

40. Prior to running the install confirm the following… Verify the website’s IP Address before installing PSP Delivery Module 3: Open the IIS Administrator console by clicking the Windows Start menu then choosing “Control Panel > Administrative Tools > Internet Information Services”. In the Administrator console, select “<COMPUTER>” and expand “Web Sites”. Right-click on the desired website (i.e. “Default Web Site”) and select “Properties”. On Windows 7 or 2008 Server, right-click on the website and then select “Edit Bindings…”. Note the “IP Address” listed on the “Web Site” tab. Notes: When installing PSP Delivery Module 3, it will automatically detect the IP address being used. If multiple IP addresses are being used, it is necessary to identify which one to specify during install. We recommend using a static IP address or the computer name for the server.

41. As the software runs, it will confirm the following… When the installation of PSP Delivery Module 3 is started, it will verify that the necessary prerequisites are already installed on the system. If IIS is not installed, the installation of PSP Delivery Module 3 will stop. It is necessary to install IIS first, and then install PSP Delivery Module 3. Note: For steps on installing IIS, please see the “Configuring the Network Environment” section. If the Microsoft .NET component is not detected on the system, the PSP Delivery Module 3 will install it. If the .NET component is already installed, PSP Delivery Module 3 will not install it. If Java Runtime Environment (JRE) version 1.5 or later is not detected on the system, the PSP Delivery Module 3 will install it. If JRE 1.5 or later is already installed, PSP Delivery Module 3 will not install it.

42. PSP Delivery Module 3 install screens show… PSP Delivery Module 3 can be installed by running the “AutoRun.exe” file. Once the installation starts, click the desired language button. If a prerequisite is detected as missing, the corresponding checkbox will be enabled. Click “Start installation”.

43. Agree to the EULA… After any prerequisite(s) have been installed, the Welcome dialog will be displayed. Click “Next”. Accept the License Agreement and click “Next” again.

44. Select an install location… To use the default installation directory, click “Next”. To change the installation directory, click the “Change” button and specify the desired directory to install to. Note: Use the default unless there is a conflict.

45. Confirm and enter the server’s IP… Confirm the IP Address listed is the correct IP to be used for the server, then click “Next”. Click “Install” to begin the installation.

46. The PSP Delivery Module 3 (PSP Server) is installed… Click the “Finish” button to complete the installation. Note: Optionally, select the “Show the Windows Installer log” checkbox to display the installation log file (only available if using Windows Installer 4.5 or later).

47. All PSP Delivery Module 3 configuration is done through the Administration Tool… The following IIS Application Pools are created with PSP Delivery Module 3: PSP Delivery Module 3 Management <Default Web Site>/PPDM/admin PSP Delivery Module 3 <Default Web Site>/PPDM/UI The following program link is added to the Start Menu: Administration Tool.

48. Step 4 – Now, Configuring the PSP Server…

49. After the PSP Server installs the following program link is added to the Start Menu under the Personal Paperless Document Manager folder: Administration Tool. This web application is used to configure the PSP Server. To start the configuration, launch the Administration Tool by clicking: “Start > All Programs > Personal Paperless Document Manager > Administration Tool”. Note: Administrator access is required to log into the Administration Tool. Note: Error messages that occur in the Administration Tool are displayed at the top of the web page. Let’s examine the Administration Tool together. The Administration Tool - Managing Devices and Resources… If a demo was performed. You can skip the next several slides - however the students must review their contents. Use the button below to move to the next section.

50. Managing Devices - adding MFPs… Adding new devices: The IP address of the suitable MFP is entered and the [Add Device] button is then pressed. To add multiple devices use the Manage Multiple Devices section.

51. Managing Devices - Status Indicators… Removing devices: To remove a device: Click the “Devices” tab in the Administration Tool. Click the “Delete” icon in the “Actions” column. The device is removed from the system and the PPDM application is automatically uninstalled from the device. Note: The table at the bottom is updated to reflect this change.

52. Managing Devices - Status Indicators… After the device is successfully added, a new row will appear called “Managed Devices” that contains the device information. PPDM is automatically installed on the device. There are three status indicators that show the device’s current status. Three checkmarks should denote that the device is working properly.

53. Managing Devices - Status Indicators cont’d… Status Indicators: Displays a check mark if the device is reachable at the specified IP Address. If the device is not reachable, check the IP Address and make sure the device is turned on. Try accessing the device directly by entering the device’s IP address in a web browser. Displays a check mark if the device is ESA capable. If the device is not ESA capable, the PPDM application cannot be used on the device. Displays a check mark if the PPDM application has been installed on the device. If the PPDM application is not installed on the device, the automatic installation of PPDM did not occur. If the PPDM application has not been installed automatically, see the following slide for details on manually installing the application on the device.

54. Managing Devices - configuration button… After adding the device, it should be installed automatically with the PPDM application. If the application is not installed automatically, click the blue Configure icon in the “Actions” column to install the application. The Device Configuration Page is now displayed: Click the “Install PPDM” button. A new row is added to the table and the “Install PPDM” button changes to “Uninstall PPDM”. Note: Installing the application adds PPDM to the list of ESA applications on the device .

55. Managing Devices - Device Configuration error… In some cases (when the Device Configuration page is loading) a Security Warning displays. If “No” is selected, then the individual Service Names might not be available. This dialog is displayed because the device running the services to be listed in this table are not in the trusted zone. To avoid this warning, there are two options: Add the above computers to the trusted zone Change the security settings. Using Internet Explorer

56. Managing Devices - removing PPDM from the MFP… Removing the application from a device: To remove the PPDM application from a device, use the following steps: Click the “Devices” tab in the Administration Tool. Click the “Configure” icon in the “Actions” column. The Device configuration page is displayed with this application highlighted in the table at the bottom. Click the “Uninstall PPDM” button. The application gets uninstalled from the device. Note: The table at the bottom is updated to reflect this change.

57. Managing Multiple Devices using CSV… Managing Multiple Devices: When handling several devices, it is more convenient to utilize comma-separated text files – filled with device parameters – to carry out the following device management tasks: Adding several devices. Removing several devices. Installing the PPDM application on several devices. Note: Device management tasks are lengthy processes, so they are performed asynchronously. During such tasks the 3rd status icon in the Managed Devices table changes to a progress indicator. Managing Multiple Devices - Adding Multiple Devices: When using a comma-separated text file for adding multiple devices, the file must have the following structure:

Managing Multiple Devices using CSV (cont’d)… Managing Multiple Devices - Adding Multiple Devices (cont.): Sample CSV file content: 10.140.1.15,1 10.140.24.34,0 Explanation of the sample content: The device at 10.140.1.15 is added, PPDM installation is performed. The device at 10.140.24.34 is added, PPDM installation is not performed. Removing Multiple Devices: It is possible to remove multiple devices using the same process described here. The required field for the CSV file is: IP Address Note: The “Install” field is ignored in this removal process. Currently managed devices are enumerated and matched against the IP Addresses in the file. If a match is found, the PPDM application is uninstalled automatically and the device is removed.

59. Managing Multiple Devices - PPDM MFP Installation… Managing Multiple Devices - PPDM Installation: It is possible to install and uninstall the PPDM application on multiple devices using the same process described in the previous slides. The required fields for the CSV file are: IP Address Install Note: All other fields are ignored. Currently managed devices are enumerated and matched against the IP Addresses in the file. If a match is found, the PPDM application is installed or uninstalled, depending on the content of the Install field. If the PPDM application is already installed and the content of the Install field is 1, no action is taken. Similarly, if the PPDM application is not installed and the content of the Install field is 0, no action is taken.

60. Managing Repository - working folder… Setting the device working folder: The next step in the Administration Tool is to set the working folder (the temporary storage folder) of the device. This is where images will be stored temporarily. Click the “Repository” tab to display the Repository page. Enter the following information: The server name. The Share name. The folder path (optional). The Server’s administrator user name and Password that the device will use to reach this location. Click the “Store Settings” button. Notes: If a Folder Path is entered, the folder must already exist.

61. Managing Repository - changes… Repository Changes: File transfer location changes are not common. However, the Administration Tool provides the option to make changes to the repository. To change the file transfer location: Click the “Repository” tab in the Administration Tool. Change the necessary file transfer information. Click the “Store Settings” button.

62. Managing Users - adding users… Manually adding users: For User Management, administrators are usually not required to manage the user lists, because clients are able to automatically register themselves without any administrator interaction. However, the Administration Tool can be used to add to or remove users from the system if necessary. When the “Users” tab is first selected, the “List users” radio button is enabled showing a list of all of the users that have already been added to the system. To manually add a single user: Select the “Add users manually” radio button. Enter the user’s information: Domain. User name (client). Display Name. Click the “Add User” button.

63. Managing Users - adding multiple users… To manually add several users at once: Click the “Users” tab in the Administration Tool. Select the “Add users from LDAP” option. Provide the LDAP server and its access parameters. Click the “List” button. The list at the bottom is populated with the entries matching the filter. Select several users and click “Add Selected”; or press the “Add All” button. The page reverts back to the user list. Note: Running an LDAP query where the “Filter” field is left blank will return a list of all the users in the LDAP directory. It is also possible to add an entire user group.

64. Managing Users - removing users… To remove users: Click the “Users” tab in the Administration Tool. The User Management page is displayed with the list of already registered users. Mark the appropriate boxes in the “Mark for deletion” column. Decide if the user data should be deleted for the selected users. If so, mark the “Remove user folders even if they contain data” checkbox in the yellow field below the table. Click the “Delete Selected Users” button. The table is updated to reflect the changes.

65. Managing Users - customized message… To display a customized message to unregistered users: Click the “Users” tab in the Administration Tool. Enter a customized text in the Message area. Include details such as how to get the PPDM software, whom the users should contact in case they need access to the PPDM, etc. Click the “Save” button. Note: Now the customized message will be displayed on the device panel for users who are not already registered.

66. Managing Users - sorting displayed names… To specify how to sort user names on the device panel: Click the “Users” tab in the Administration Tool. Set the order for displaying user names on the device panel. Click the “Apply” button. Note: Now the user names will be displayed on the device using the order specified in step 2.

67. Managing Repository - defaults… Configuring Default Settings: Administrators are usually not required to manage user settings, because users are able to customize the device screen using their own destination folders and scanning preferences through the Personalized MFP Scanning Wizard. Alternatively, the Administration Tool provides the ability to add or remove default folders, workflows and profiles. Once configured in the Administration Tool, these defaults will appear on the device screen (below the users' own items) if the user: Restarts DesktopDeliveryPSP. Updates their own preferences through the Personalized MFP Scanning Wizard. Selects the “Refresh Defaults” menu item from the context menu of the DesktopDeliveryPSP system tray icon.

68. Managing Repository - default folders… Add Default Folders: Individual destination folders can be entered directly. For multiple destination folders, using a .csv file would be more efficient. To create multiple default destination folders: Create the comma-separated text file (using the criteria as specified in th support manual), and include the full path and the display name of the destination folders. Click the &quot;Defaults&quot; tab in the Server Administration Tool. Click the “Browse” button in the &quot;Default Folders&quot; section. Select the comma-separated text file created in step 1, then click “Open”. Click the &quot;Upload file&quot; button in the &quot;Default Folders&quot; section The file is uploaded, processed and the default folders are displayed. Note: If there are special (accented) characters in the folder names, the CSV file has to be saved in Unicode format or with UTF8 encoding .

69. Managing Repository - default workflows… Add Default Workflows: To create default OCR Module 17 workflows: Create one or more workflows in OCR Module 17, then export them to a location accessible through the Administration tool. For more information on exporting workflows, see the OCR Module 17 Help file. Click the &quot;Defaults&quot; tab in the Server Administration Tool. Click the “Browse” button in the &quot;Default Workflows&quot; section. Select the workflow file created in step 1, then click “Open”. Click the &quot;Upload file&quot; button in the &quot;Default Workflows&quot; section. The file is uploaded, processed and the default workflows are displayed. Note: Workflow files can only be uploaded one-by-one. If multiple workflows need to be uploaded, repeat the above steps for each workflow.

70. Managing Repository - default profiles… Add Default Profiles: To create default Profiles: Create one or more Scanning Profiles in Desktop Module 12. For more information on creating Scanning Profiles, see the Desktop Module 12 Help file. Close Desktop Module 12. Browse to the corresponding folder below on the computer that Desktop Module 12 is installed on: Windows 7 or Vista: C:\ProgramData\Nuance\PaperPort\12 Windows XP: C:\Documents and Settings\All Users\Application Data\Nuance\PaperPort\12 Locate the file named “profiles.xml” and copy this file. Paste this file to a location that is accessible to the computer that PSP Delivery Module 3 is installed on.

71. Managing Repository - default profiles (cont’d)… Add Default Profiles: To create default Profiles (cont.): From the system running PSP Delivery Module 3, click “Start > All Programs > PPDM > PSP Delivery Module 3 > Administration Tool” to launch the Admin Tool. Click the &quot;Defaults&quot; tab in the Administration Tool. Click the “Browse” button in the &quot;Default Profiles&quot; section. Select the XML file that was exported in step 5, then click “OK”. Click the &quot;Upload file&quot; button in the &quot;Default Profiles&quot; section. The file is uploaded, processed and the default profiles are displayed. Note: Once Default Profiles have been added using the Admin Tool, the profiles are listed on the Defaults page. Enable the “Mark for deletion” checkbox and press the “Delete select profiles” button to delete any profile listed.

72. Lab 2 - Install and Configure PSP Server… During this task, you will first install, configure and test a PSP Delivery Module 3 Server installed on Windows XP or Windows 7. Then install, configure, and test on Windows Server 2003 or 2008. But first, let’s take a short break.
