Enterprise Records Management : New challenges & Better Solutions Whitepaper ...Jone Smith
With its efficient records management solutions, Systemware helps many enterprises to capture, classify, store and managed all electronically generated content with one comprehensive solution.
The aim of this paper is discuss the current limitations of the information systems used in legal processes, it is described the architecture of a control and tracking system of juridical matters that it was integrated with collaborative tools. This application has contributed to implement a more transparent and documented administration process of the juridical matters in the public electric companies in Mexico. This system allows lawyers to register the actions carried out; it generates supervision reports and notifications to review the actions and support to make correct decisions. Finally, we review the desirable characteristics to improve it and those required to exploit the information stored as best practices and learned lessons.
Moving records management from a paper based strategy to a electronic strategy requires re-thinking what needs to be protected and where the threats to security exist.
The key is to stop focusing on the artifact (the document) and focus on the information that is important. Documents are just the storage media to move the information from person to person.
This white paper written by Heckman Consulting overviews the functional and financial benefits of electronic document management. Small to enterprise companies can use document management software to better manage their paper documents, helping to create workflow efficiencies, improve employee productivity and reduce labour costs.

Effective Application Security in Software Delivery lifecycle using Deployment Firewall and DBOM
The modern software delivery process (or the CI/CD process) includes many tools, distributed teams, open-source code, and cloud platforms. Constant focus on speed to release software to market, along with the traditional slow and manual security checks has caused gaps in continuous security as an important piece in the software supply chain. Today organizations feel more susceptible to external and internal cyber threats due to the vast attack surface in their applications supply chain and the lack of end-to-end governance and risk management.
The software team must secure its software delivery process to avoid vulnerability and security breaches. This needs to be achieved with existing tool chains and without extensive rework of the delivery processes. This talk will present strategies and techniques for providing visibility into the true risk of the existing vulnerabilities, preventing the introduction of security issues in the software, resolving vulnerabilities in production environments quickly, and capturing the deployment bill of materials (DBOM).

zkStudyClub - Reef: Fast Succinct Non-Interactive Zero-Knowledge Regex ProofsAlex Pruden
This paper presents Reef, a system for generating publicly verifiable succinct non-interactive zero-knowledge proofs that a committed document matches or does not match a regular expression. We describe applications such as proving the strength of passwords, the provenance of email despite redactions, the validity of oblivious DNS queries, and the existence of mutations in DNA. Reef supports the Perl Compatible Regular Expression syntax, including wildcards, alternation, ranges, capture groups, Kleene star, negations, and lookarounds. Reef introduces a new type of automata, Skipping Alternating Finite Automata (SAFA), that skips irrelevant parts of a document when producing proofs without undermining soundness, and instantiates SAFA with a lookup argument. Our experimental evaluation confirms that Reef can generate proofs for documents with 32M characters; the proofs are small and cheap to verify (under a second).

1. 2. Document Management
• Involves the receipt, tracking and
storing of documents, images and
multimedia files.
• See figure 4.15
2. 3. Records management
Because of the increase in employees working remotely and
the resultant breakdown of centralised record-keeping
functions, small and large organisations are having to rethink
their records management processes.
Establishing effective record-keeping practices is not an easy
task and it requires a sustained commitment from senior
management. As is often the case, it is only when something
goes wrong, for example, when records are required for e-
discovery, that the full implications of not having an efficient
system becomes
apparent, as shown in the following cases.
3. The benefits of an efficient records-
management system include:
secure and quick access to authentic and
accurate information
control over the creation and growth of
information
simplification of business processes
reduction in operating and storage costs
compliance with laws and standards
Faster and better decision-making due to
access of information.
4. Some of the problems encountered as a result of electronic
records are:
confusion between different versions of a document
loss of context because there is no link between related
documents, that is, no documents occur in isolation—
they always refer to other documents to provide a whole
picture
failure to link related paper-based documents to
electronic documents
proof of authenticity due to possible manipulation of text
destruction of documents because of poor
management practices
changes to organisational structures and systems
documents becoming unusable because of changes in
technologies.
5. Electronic document and records-
management systems
Electronic document and records management systems (eDRMS
capture, store and archive both electronic and scanned paper records,
as well as simplify compliance with legal and other regulatory
standards.
When combined with Web technology software, eDRMS offer
enormous opportunities for organisations to increase efficiency and
improve customer service by minimising the paper workflow within
an office.
Some of the functions of an eDRMS are outlined in table 4.18. pg 192

search for ‘Activity’. Undertake any of the
email activities to test your knowledge on
email management.
How did you go? In terms of your own
experiences with different types of email

how would these be classified? Why?
7. EMAIL MANAGEMENT
One of the fastest growing areas of record creation
requiring management’s attention is email.
Email is an indispensable tool in business and has
become a quick and efficient way to communicate.
Because electronic messages relating to business
activities are subject to legislation and legal processes—
both criminal and civil—just the same as any other
document, they must be managed accordingly.
Employees should also be educated on their
responsibilities in ensuring that emails are captured
correctly
