1. Accountability
Accountability means being able to provide an explanation or justification of
one’s actions in relation to events or transactions.
Because records underpin accountability, ad hoc record-keeping practices
significantly increase the risk of organisations being unable to account for their
decisions, actions or inactions. Therefore, strict procedures need to be defined
for all record-keeping
The regulation of record-management practices and procedures ensures that
uniform protection is given to all records, and that information can be efficiently
and effectively retrieved using standard forms of identification and retrieval
procedures.

2. Legislation and standards
From legal, archival and historical
viewpoints, organisations have a
responsibility to maintain the authenticity
and integrity of their information, and in so
doing,ensure that all requirements under
the Statutory Acts, Regulations and
Standards noted in (but not limited to)
figure 4.6 are adhered to on page 179.
3. Legislation
Legislation and Standards impose obligation on organisations and
individuals to manage and maintain information resources in certain
ways. For example, legislation can demand that records be created
and stored in a specific manner, and determine who can access the
information. Should these obligations not be fulfilled, penalties are
also determined by law.
Because of these issues, serious consideration needs to be given to
the development of quality policies and procedures relating to
information management, and training provided so that all
employees understand that each of them has a responsibility for
record keeping within the organisation.
