Enterprise Records Management : New challenges & Better Solutions Whitepaper ...Jone Smith
Records management has become more complex as the volume of documents and information has grown exponentially. Organizations face challenges in maintaining regulatory compliance due to gaps between requirements and capabilities. A records management solution is needed that can handle both paper and electronic records, integrate easily across systems, and scale to large volumes of information. Systemware provides a records management system that captures, indexes, stores, and manages records throughout their lifecycle to help organizations address these challenges.
DocuClassify - AutoClassification at its bestDocuLynx
DocuLynx’s Adaptive Auto-Classification technology, DocuClassify, classifies a wide variety of structured and unstructured enterprise data including e-mails, documents, files, records and ERP data, file servers and SharePoint objects. It enables follow-on processes such as DLP, intelligent movement of information to optimized storage tiers, audit proof archiving, and eDiscovery. The result is a greater degree of information transparency, policy-based compliance and information security.
The document discusses an electronic document management system (EDMS) called "University Electronic Management System" that was developed for Dnipropetrovs'k National University. The system provides a web-based platform for storing, searching, and retrieving electronic documents. It includes modules for administration, employees, curricula, the university structure, and students. The system aims to simplify documentation processes and provide timely information to support operations and strategic planning.
A document management system (DMS) provides a way for organizations to digitally store, organize, and retrieve documents. The DMS solution discussed in the document allows uploading documents, tagging them with metadata, and retrieving them through searching or workflow processes. It also offers features like controlled access, reporting, and reminders to comply with retention requirements.
The document discusses challenges in managing digital assets and proposes solutions. It notes that digital assets are increasingly valuable but difficult to organize and access across locations. A hybrid approach using both on-premise and cloud-based digital asset management systems can address current needs while allowing flexibility. Such a system would centralize assets locally for security and efficiency but also use cloud platforms for worldwide access and scalability. Metadata is crucial to enable efficient search of assets.

What’s Content Manager
Why do organizations need to use Content Manager
Target organizations
Records management involves the systematic control and management of organizational records throughout their lifecycle from creation to ultimate disposition. Both paper and electronic records must be efficiently and effectively managed. Key aspects of records management include determining appropriate retention periods and formats for storage, as well as ensuring long-term access to and preservation of important records through use of metadata and records management software. Effective electronic records management requires support from management, training of staff, and use of classification systems and retention schedules to integrate electronic and paper records management.
Do you have any idea What is enterprise content management means? Simply put, ECM is the framework for automated digital document management: the collection, storage, management, organization, and distribution of documents and files so that they are accessible to the appropriate people and processes in your systems.

The document discusses two approaches to managing domains in a data mesh architecture: the open model and strict model. The open model gives domain teams freedom to choose their own tools and data storage, requiring reliable teams to avoid inconsistencies. The strict model predefines domain environments without customization allowed and puts central management on data persistence, ensuring consistency but requiring more platform implementation. Both have pros and cons depending on the organization and use case.
ECM and content services platforms are very common. Above all, both provide the ability to store, manage, store and distribute content within the organization.
1. The document provides an overview of best practices for implementing enterprise-wide data encryption and protection. It discusses challenges like explosive data growth, evolving compliance requirements, operational complexity, and increasing threats.
2. The document recommends a data-centric security approach that applies protection to data itself regardless of location. This includes discovering and classifying sensitive data, encrypting data in motion and at rest, and centralized key and policy management.
3. Effective data security requires discovering where sensitive data resides, encrypting that data, managing encryption keys centrally, and implementing access policies to control data use.

Graspan: A Big Data System for Big Code AnalysisAftab Hussain
We built a disk-based parallel graph system, Graspan, that uses a novel edge-pair centric computation model to compute dynamic transitive closures on very large program graphs.
We implement context-sensitive pointer/alias and dataflow analyses on Graspan. An evaluation of these analyses on large codebases such as Linux shows that their Graspan implementations scale to millions of lines of code and are much simpler than their original implementations.
These analyses were used to augment the existing checkers; these augmented checkers found 132 new NULL pointer bugs and 1308 unnecessary NULL tests in Linux 4.4.0-rc5, PostgreSQL 8.3.9, and Apache httpd 2.2.18.

Measures in SQL (SIGMOD 2024, Santiago, Chile)Julian Hyde
SQL has attained widespread adoption, but Business Intelligence tools still use their own higher level languages based upon a multidimensional paradigm. Composable calculations are what is missing from SQL, and we propose a new kind of column, called a measure, that attaches a calculation to a table. Like regular tables, tables with measures are composable and closed when used in queries.
SQL-with-measures has the power, conciseness and reusability of multidimensional languages but retains SQL semantics. Measure invocations can be expanded in place to simple, clear SQL.
To define the evaluation semantics for measures, we introduce context-sensitive expressions (a way to evaluate multidimensional expressions that is consistent with existing SQL semantics), a concept called evaluation context, and several operations for setting and modifying the evaluation context.

1. A Newgen Guidebook for Government Agencies
6 Signs
Your Legacy Electronic
Records Management System
Needs a Digital Facelift
6 Signs
Your Legacy Electronic
Records Management System
Needs a Digital Facelift
2. The bottom line is that your existing system is not enough to meet the
evolving citizen needs. This eBook will help you identify the gaps in your
current records management system and gain detailed insights into
how a modern EDRMS can help.
The last decade was a period of digitisation—a
period that witnessed many government
agencies adopting electronic documents and
records management systems (EDRMS) to
automate and streamline their records.
However, the pandemic made organisations realise
that their existing systems were not equipped enough
to help them ensure business continuity and achieve
broader digital goals. Furthermore, there's a big shift in
the expectations of citizens, especially millennials, who
want to interact via their preferred channels. All this
requires government organisations, like yours, to
democratise their services, i.e., enable citizens with
anytime-anywhere information across multiple
engagement channels while ensuring security and
authenticity of records.
3. Lack of seamless
integration
Tedious manual
classification of
individual records
Lack of control across
multiple repositories
and content sources
Difficulty in managing new file
formats, such as large videos
and social media records
Inability to meet
security and
compliance guidelines
Inability to leverage
modern cloud-native
architecture

Six Signs Your Existing Records Management Process
is Hurting Your Organisation
4. 1. 2. 3. 4. 5. 6.
Lack of Seamless Integration
What Do You Need?
Business users use various tools, such as SharePoint, Outlook, Office,
and Teams. This is primarily due to their nature of work and the
simplicity that these interfaces offer. A legacy EDRMS, which is not
well-integrated with these applications, increases the overheads of
the records management, resulting in low efficiency and productivity.
A modern EDRMS that helps you streamline information while
making relevant content available to the right user at the right
time, regardless of location or channel. The system allows you to
perform various activities, including locating, accessing, and
retrieving metadata, contents of records, or a combination of both.
Furthermore, the system enables seamless management of
records and content across multiple systems, such as SharePoint,
SharePoint Online, Microsoft365, etc.
5. 1. 2. 3. 4. 5. 6.
Tedious Manual Classification of
Individual Records
What Do You Need?
Document classification is a challenging task as you receive a large
number of documents from various sources for further processing.
Manually classifying all the documents as per your record
management guidelines can be cumbersome, error-prone, and
time-consuming.
An in-built intelligent document classifier, powered by cutting-
edge technologies, such as artificial intelligence and machine
learning that enables layout-, object-, and content-based
classification, including capabilities around enriching metadata.
It can offload a lot of work from the end user, making the process
faster and more accurate. Additionally, the classifier allows access
to contextual information to ensure smarter decision-making,
improved workforce productivity, and superior user experience.
6. 1. 2. 3. 4. 5. 6.
Lack of Control Across Multiple
Repositories and Content Sources
What Do You Need?
One of the biggest challenges that government agencies face today
is the proliferation of shared files and ungoverned repositories. The
changing regulations further add to the complexity. There's an
absence of a central mechanism for defining governance policies
and empowering record managers to ensure compliance
consistently—to the extent that during litigations, legal hold can be
enforced on relevant information across systems. Non-governance
increases the risk of penalties.
A federated record management system that offers a unified
view of information, enabling record managers to create a policy
for records across repositories while helping them search,
manage, and view records in a consistent manner.
7. 1. 2. 3. 4. 5. 6.
Difficulty in Managing New File Formats,
such as Large Videos, Social Media Records
What Do You Need?
Content has evolved from paper-based documents, pictures, and scanned
and digital documents to e-mails, web content, social media posts, and
audio and video files. However, your existing system may not be equipped
to support video communications, making it a cumbersome task to stream,
store, and transcode the videos. Similar challenges crop up with other file
formats, including social media records and high-velocity messages, as they
demand special handling, such as managing threaded communications.
An ideal records management system that supports different content
formats, including physical, electronic, email-based, audio, video, and
social records. The system also supports multiple file formats, such as
eml, doc, ppt, xls, pdf, pdf/a, tiff, jpeg, mp4, and mp3. It has audio and
video transcoding support, making it easy to play on various devices.
Furthermore, the system allows for seamless classification and

Inability to Meet Security and
Compliance Requirements
Managing records and ensuring compliance with government
policies and procedures can be challenging. It is critical to consider
the long-term vision and ensure data privacy and residency while
automating the records management process.
What Do You Need?
A modern digital record management system that provides
centralised security and integrity of records. It ensures compliance
with various records management standards, such as DoD
5015.02, VERS, ISO 15489, and ISO 16175.

Inability to Leverage Modern
Cloud-native Architecture
Due to the inherent monolithic architecture of EDRMS, it poses
difficulties in migrating the systems to the cloud. When such
systems are lifted and shifted, they fail to leverage cloud-native
capabilities, including security, cost-effectiveness, scalable
storage, and optimised content delivery, especially for video files.
Furthermore, the absence of containerisation, support for
continuous integration (CI/continuous deployment (CD through
DevOps, and various other features hurt organisations' day-to-
day operations.
What Do You Need?
A cloud-native records management system that leverages
lightweight container-based microservices architecture and
provides a higher degree of scalability. Furthermore, it enables
simplified operational management, high security, flexibility, and
resilience.
